Expenses - Option to submit NIL mileage claim
Allow users to put in mileage claims at a nil rate per mile.
This would allow the invoicing team to pick up mileage to charge to clients that is not claimed by operational staff: for example, where operational staff have a vehicle provided by the company.3 votes -

When you mark a PO as billed and copy to a draft bill the files attached to the PO don't remain with it and attach to the draft bill. Very annoying that you have to re-save the file and re-attach it to the bill

6 votesHi community, appreciate your sharing in community here. Atm if you're wanting to change the payment date for an unscheduled pay run, you can edit the payment date while the pay run is in draft status. We don't have any plans for automating this.

AU Payroll - Access to payroll reports when downgrading subscription
You should allow current subscription holders the ability to create reports on all of their data. At the moment if you stop employee staff and therefore downgrade your subscription, XERO removes all payroll reports. So when you need to print a report you cannot without changing your subscription to include payroll again, even they you don't need to pay employees. It costs you a 30 day subscription to print one report. This is a big fault and something I can do in MYOB. Please fix this madness.

Hubdoc - Tags Should be Visible in Xero
We tag documents for organisation in Hubdoc, but have no visibility of these in Xero, which makes no sense. These don't need to be editable, but it would make sense that it showed what tags were on an invoice. Even if this was detailed in the history of the invoice. This would be a massive time-saver!

Invoice Reminders - Ability to send over due reminders from the Sales Overview Invoices page
Posting this again as admin totally missed the whole point in their response and gas lit the idea then closed the comments off like they had done something amazing.

Yes. Of course I am aware you can send automatic reminders and that is great if everyone is paying through a payment system and is automatically captured. Yet for businesses like mine where 99% of people are small businesses and pay by bank transfer, one must still manually go and consolidate payments. So automatically sending out reminders is redundant if you have to manually check everything anyway and no, as a small business, I can only reconcile when I have time. I don'[t have someone checking xero 5 days a week. This should be pretty obvious and the condescending response by admin shows how out of touch xero is with business needs.Original request:
Please set up an option on the invoice page to send over due reminders. It is very cumbersome and time consuming being required to open the invoice

find the tiny box that says sent (make this bigger and green)A more efficient method is to have a column on the invoice page with a heading that says "send over due reminder" with a tick box next to each invoice.
We can then tick all the over due invoices, it will automatically populate the over due email. Have an icon at the bottom that says send and wallah, we are done.
Just cut down a 5 minute task to 5 seconds. Times that by 50 or more individual over due emails and we have saved an hour.I don't know, but this kind of stuff seems obviously logical. As a new user to xero, it is like stepping back into the 20th Century accounting.
Stream line, simplify and reduce the amount of actions as much as possible.

Manual Journals - Setting to turn off "Show journal on cash basis reports"
As default, can you please turn off the check box "Show journal on cash basis reports"

If you've already integrated this with your organisation and looking for further capabilities to what it offers we recommend reaching out to their support directly (listed under the additional info section of the Xero app store).
As they designed and built the integration they can confirm what's possible and would need to make decisions of if this is something they'd be willing to expand their integration for.

NZ GST - Export file to include "GST Return" in naming convention
The new modernised GST returns in Xero no longer export the report name in the exported file name. The document only has the client name and date, not the report type anymore. Should say "XXXX Ltd 30 11 2024 GST Return", whereas it currently only says XXXX Ltd 30 11 2024". Inefficient to have to manually add the words "GST Return" for each report produced in Blue Xero when sending multiple documents to clients. Is there a way to get it back? Within the document itself it says the report type, but would be preferred to be included in the file name too, when exporting a lot of documents

Invoice Email - Ability to edit "Review and pay" banner
The "Review and pay" banner misleads recipients into thinking they can make electronic payments, but we're not using e-invoicing and have it turned off. Another major issue is that it causes significant delays in loading or, in some cases, renders the invoice completely inaccessible. The banner in the new invoicing should be named "Review" rather than "Review and pay" or be editable to suit different needs.

Bills to Pay - Duplicate bills notification but they are different dates
Bills are listed as 'duplicate' even tho they are monthly recurring bills so even tho the amounts are the same, the dates are different. Is there any way of these monthly bills not being listed as 'duplicate'. wastes a lot of time checking.

NZ GST - Sort by multiple columns
NZ GST returns - add multiple sorting
Currently, I can only sort by one column. When I click on Account, the transactions are sorted by account name. But when I then click on Contact, the transactions are sorted by contact name, and the account names become unordered. It would be great if I could sort by multiple columns. Xero - Version for Local Government
Hi Xero team,
I’m reaching out from a regional local government in Western Australia. We want to use Xero and appreciate its simplicity and usability. However, we’ve found that Xero’s current design is limiting for local government requirements — particularly in terms of transaction volume, internal controls, audit reporting, governance, and integrated project accounting.
I believe there’s a compelling opportunity for Xero to consider developing a dedicated “Local Government” edition or expansion, especially tailored for smaller regional councils. There are over 500 local governments in Australia, many of which are seeking modern, cloud-based, ERP solutions that balance simplicity with the robust governance and reporting requirements of the public sector.
If Xero were to build compliance-friendly modules for public sector accounting (multi-fund reporting, approval workflows, grant tracking, audit trails, etc.), you’d be well-positioned to offer an affordable alternative to the more complex and expensive ERP systems currently on the market.
I’d be happy to provide further context from the local government side or connect you with peers who are facing the same constraints. Please let me know if this is something your team would be open to exploring further.

2 votesHi Alex, thanks for suggesting this. We understand that local government entities operate under different rules and standards than private businesses, and that can make using a general-purpose accounting system more complicated.
While Xero’s designed mainly for small to medium businesses, we’ve seen some local government users make it work by customising their Chart of Accounts and working with accountants who understand the specific reporting needs. That said, we totally see the value in a more tailored solution that better supports the public sector.
This idea is currently in the Gaining Support stage, and your feedback is essential in helping us assess demand. We’ll continue to track the conversation and share any updates should the demand for this idea grow.

Notification - Advisor to receive email when W9 request is completed by vendor
When we send a W9 request to a vendor via Xero the only way we have to know if they have completed the W9 request is by logging back into Xero and manually navigating to that vendor to check in on it.
It would be great if admins/bookkeepers could receive a notification when the vendor completes the W9 request.
Having that email notification of a vendor completing a w9 request would also enable us to trigger other automations.

Invoicing - Ability to edit /add the reference from the invoice overview page
id love to be able to edit the reference field from the invoice tab. Also the ability to build edit the reference field from the same tab would be helpful. We use that field to know the category the sale is in. So some of our work is shipped, or its to a specific event.

Invoice - Preview attachments from send window
When emailing invoices with attachments, it would be helpful if we could view attachments, just as a double check.

Contact – check bank details reminder
Last Paid Date flag for Vendor or Check bank account details alert.
Increasing there is a need to check bank details for Suppliers - to make sure haven't changed. If a Supplier hasn't been used for many months, Xero doesn't prompt the bank details to be checked. We have had cases where the supplier changed owners and bank accounts but not informed us. The bank details weren't checked. it would be useful if we could have an alert or flag that prompts a check after 3 or 6 months.1 voteThanks for sharing this idea – it's a really practical suggestion.
We get how easy it is to miss checking bank details, especially for suppliers you haven’t paid in a while. A quick alert or reminder after 3–6 months of no activity could be a great way to help catch changes (like new ownership or account updates) before a payment goes through.

Expenses - Edit Submitter when awaiting approval
The expense reimbursement function should include an option to change the submitter after the request has been sent for approval, rather than declining the request and re-enter just to be able to update the submitter name in case of 'submitting on behalf'
Additionally, it should allow exporting the entered expenses into an Excel file to verify whether everything has been entered correctly. Currently, exporting is only possible once the request has been approved. This feature is especially important when there are numerous expense lines.
Furthermore, the screen layout feels a bit cramped. Could the input fields be arranged in a single line to make recording easier? The attachment screen could be made smaller, as attachments can be zoomed in if needed.
