STP Finalisation - Add a prominent warning before finalising to confirm the year
The lack of warnings, pop ups or anything relating to accidentally finalising STP for the wrong financial year is pretty disappointing.
I work on a large screen and didn't see the tiny little 2025-26 drop down menu top right. I've selected the employees to finalise and proceeded with the wrong year. At no point was there a warning, note, message or anything to bring light to it being the wrong year.

Xero Accounting App - Ability to sort quotes order
In app version, when we click omn Quotes then we see 2 options to choose- numer of quotes sent & number of quotes to invoice.
When we click on number of quotes to invoice then we see all the quotes converted to invoice. But they appear as increasing order means oldest quote on top, we should have option to change the order i.e newest quote on top.2 votesThanks for sending through your idea and highlighting what’s important to you.

NZ Payroll - format figures on payslips to be two decimal points
Suggestion to format payslips in Payroll so that the earnings quantity and earnings rate are limited to two decimal points for ease of readability for staff.

Xero Accounting App - Add item from Product & Services to Bill
On the Xero mobile app it would make life easier for small entrepreneurs who are always on the go to update products purchased and update their inventory from a receipt that they capture on mobile app. This feature is only available from a desktop computer where persons need login from their computer to enter Bills or expenses for the purchases of inventory products. At the moment this is possible through the Sales invoices. Please make it available through purchases as well

Batch payment - Warning if contact has not be paid in the last year
It would be great to have a warning pop up when creating a batch payment if a supplier has not been paid in ie 1 year. Recently a Supplier was paid however in the 2 years since they were first added into Xero (and no bills paid since) the business was sold and the bank account changed. Additionally if Hubdoc could read bank accounts and a warning pop up if they differ from that in Xero.

NZ Payroll - Adjust hours automatically in 1st pay run to recognise employee start date
Xero defaults to full pay period hours for a new employee in the 1st payrun even if the employee start date (already entered into Xero) is part-way through a payrun. This doesn't make sense and is too easy to overpay a new employee in this way, if a manual override has not been done. Ideally, Xero would calculate the expected hours for a salaried employee based on the start date, but another idea would be to flash up a warning before finalising a payrun with employees that have a start date listed within the pay run period.

Projects - Closed Projects Appearing when you select to add a Project
I thought that once a project was 'closed' it remains closed and does not appear anywhere except in the closed tab of projects however this is not the case. I tested and was able to allocate an invoice to a closed project.
Suggestion:
a) closed projects remain locked out; you can only allocate to them if you re-open - they should not even appear in any selections
b) If they must remain where they are then a pop-up warning appears if you try to allocate this way there are no mistakes in accidently allocating to a closed job1 voteHi Kelly, thanks for sharing your feedback. At the moment, Xero Projects lets you assign certain transactions to closed projects so businesses can clean up allocations after the work is done. Closed projects are marked as “Closed,” which helps distinguish them from those in progress. We have added this to the Gaining Support for more traction.

Bills - Flag a Bill as 'in dispute / query'

In lieu of a direct feature for this we wanted to highlight some of the options discussed by the community here:
- Add a note to the bill: A detailed note on the bill itself can serve as a clear internal reminder of the dispute.
- Utilise tracking categories: Creating a specific tracking category like "Disputed Bills" can help you filter and report on these items.
- Adjust the due date: Temporarily extending the due date can prevent accidental payment while the dispute is being resolved.
- Update the reference to add a notation such as [reference number] - Do not pay
- Adjust the planned date to be very far out in the future
We know these options won't fit all needs here, and we are invested in continuing to develop Purchase and more specifically bills in Xero to suit your needs.

Xero Projects - Have an option to "mark all untracked expenses as invoiced"
We have a large project with countless numbers of invoices assigned to the project. I would like an option to be able to "mark all untracked expenses as invoiced" so that we can see what has already been invoiced to the client and so that we can work out more accurate profitability figures. At present, each individual invoice needs to be marked off separately and this can take hours to mark them all off, particularly if the project is large.
Xero currently provides an option to "Mark all times as invoiced", so having the option of "Mark all expenses as invoiced" seems logical.We have a large project with countless numbers of invoices assigned to the project. Receivable Invoice Detail Report - Show Same Description Format that was entered on Invoice
The way an invoice displays on an invoice it so very different to how it appears on the Receivable Invoice Detail report - it is ridiculously different (and in many cases, unreadable).
Can Xero please honour the spacing entered in invoices (for a reason) on the Receivable Invoice Detail Report.
Not really understanding why this wouldn't automatically be the case.
2 votesThank you for your idea. While we appreciate the suggestion, we've decided not to add this feature to our current plans. For users with a large number of invoices, the report would be too big to be useful. This would really only be a good option for users with a small number of invoices.
If you'd like to achieve this, you could consider using add-ons.

User Role – Enhancement to Invoice Only (Sales) for Payment Management
We are encountering a limitation within the current user roles that is hindering our Sales team’s efficiency in managing customer accounts.
The Issue:
The existing 'Sales (Invoice Only)' role does not provide the necessary permission for sales staff to amend, edit, or delete payments applied to invoices. This is critical for adjusting client balances quickly during the sales and collection cycle.
The only alternative role grants full access, including Purchases/Accounts Payable, which we cannot provide to the Sales team due to internal control policies.
The Request:
To ensure our Sales staff can manage the revenue process without accessing sensitive financial data, we require the creation of a customized user profile that allows:
Full access to Sales & Invoices (create, amend, edit, delete).
Full rights to apply, edit, or remove payments against customer invoices.
NO access whatsoever to the Purchases module, Bank Accounts, or General Ledger entries.
Could you please confirm if you can create this granular, customized profile for our sales users?

Make projects better
Projects - Make the entire Projects experience better. Today is May 17th 2024, there are currently 300+ ideas, suggestions, and requests here related to Projects, few of which have even been responded to by Xero. It seems clear that Projects is the red-headed step-child of the Xero platform, always the last to the table when the development team starts talking about updates.
For those of us who run project-based businesses, the features requested on these pages are CRITICAL to our ability to understand how our business is doing. I'm calling on Xero to put more energy into building out Projects now, not "some time in the future," now. Many of the requests are simple - we need a field to add notes, we need a field to add an ID number, we need an address field. I know that making changes to any database can cause ripple effects through the whole system, but come on, I've been with Xero for 3 years know and as far as I can tell there have been zero improvements to Projects since we first came on board.

AU Payroll - Add 'Save & Next' button to top of employee pay details screen in Pay Run.
In Xero Payroll, it would greatly improve efficiency if the "Save & Next" button appeared at the top of the employee pay details screen, not just at the bottom.
For businesses with detailed pay setups (multiple earnings lines, deductions, reimbursements, etc.), scrolling to the bottom of every employee’s pay screen just to click "Save & Next" is time consuming and disruptive to workflow.
Adding this button to the top would:
Streamline navigation during pay runs
Reduce unnecessary scrolling
Improve accessibility for users reviewing multiple employee pays in one session
This small UI change would make a big difference for payroll admins managing large teams.

Budget Manager - Compare actuals for 9 months
Budget manager currently only allows you to include actuals for 3m, 6m and 12m. Most businesses do quarterly forecasts and hence also need 9m....why isn't this included as a default option ?? It should be...please !

Reporting - PDF Preview - fix the scroll and zoom behaviour
The PDF preview pane is fantastic... except a page can be lengthy and it doesn't let you scroll on it.
If I hover my cursor on the PDF preview and scroll (using the scroll wheel of my mouse), it zooms. I almost never need to zoom on it. If I needed to Zoom I would hold control and scroll, like I would on any other browser page.
I have to move my cursor to this skinny panel either side of the page to be able to scroll, or grab the skinny scroll bar (to the right, not the left).
Get rid of the dumb zoom function. Fix the scroll behaviour.
While you're at it, move the + & - buttons for zooming, to the top of the PDF preview screen, then you can keep everyone happy.

UK Payroll - Journal summary
I would like to be able to firstly differentiate my payroll journals from other journals and then produce an end of year report of the payroll journals.
How you could facilitate this:

Purchase Orders - Mark an order as Delivered
Once a Purchase Order is created it would be great if there was a feature to allow you to mark the PO as delivered. Currently there is no way to see what ones are complete and what ones are still outstanding. This may need to be extended to allow individual line items on a PO to be able to be marked as delivered.
