Email Settings - Specify date/time to send transactions
Ability to specify date/time when users’ want to send emails from Xero.
Purpose: So clients/customers can receive the email during the working hours and not at random time.
Hi everyone, I'm pleased to share that we're moving forward with the ability to schedule the send of an invoice from Xero.
We're in the early phase of releasing our new invoicing scheduler to customers, and appreciating the direct interest you've all shown here we've included everyone that's voted on this idea in our initial rollout!
You'll see a tool tip on the invoice page for email scheduling, and be able to choose the right date/time when you go to email an invoice (from the send email dropdown). 😊
We're really keen to hear your feedback.
We appreciate there are asks within this idea for being able to schedule the send of other document type such as payslips and want to be upfront that this isn't in the roadmap at present. However, once our invoice scheduler is out to all, we'll be monitoring it's use closely and consider how this feature may be expanded to other features overtime.

Is there anywhere that we, as customers that aren't been listened to, can escalate this?
Scheduling invoices, like at least 656 of us know, is a basic feature. And while Xero have been busy with bells and whistles that most of us don't want, this rudimentary function of creating an invoice and being able to send at a later date, requires the very smart people at Xero to [dig] "into the work needed to develop a solution, and figure out the best way to make this happen".
This is a basic programming task, and one user below has even offered his services to Xero to do said task.

(It was actually earlier than this but Xero changed systems).
10 years later we are still waiting for this basic feature. I really don't understand Xero's priorities: constant fiddling with the UI , adding useless features that don't help me at all; increasing the price to pay for these useless upgrades.
Xero - please don't ask us to "Keep those comments and votes coming!" if you have no intention of acting on them.

Hi all, like a lot of people here I have been waiting years for Xero to implement this feature and I don't think it is happening anytime soon. A work around is to print the invoice and schedule it to be sent via an email provider like gmail. With an email template it is basically 1 extra step, but gets the job done. All the best!

Maybe if you spent less time making unnecessary changes to the client profile screen format you would have time do something more useful? Like implement the changes we are actually asking for?

I am confused as to why this isn't a priority with many Xero users looking for alternative platforms.
This is extremely important for small and medium businesses.
Please make this a priority for early 2026.

Workaround: future date / post an invoice and schedule it to be sent at the date and time you want.

I can't see why it's not possible to send invoices at a scheduled time. For instance if I'm setting up one off invoices over the weekend why they can't be sent to my clients on a monday morning.
Surely with all the other capabilities Xero can do, this one would appear to be a fairly basic feature to include. -

Hi Everyone,
We just launched https://calendrio.app and we think Calendrio can help with this.
Calendrio allows you to schedule multiple emails for each customer for a specific time in their own timezone. So, for example, if you have a Customer1 in New York and Customer2 in San Francisco, you can send them an email reminder 2 days before the invoice is due at 8:12am, on the day the invoice is due at 11:15am and 1 day after it becomes past-due at 5:30pm.
And they will receive those reminders at those times in their timezone!
If the payment comes through, no future reminders will be sent.You'd be able to include a custom subject and message and include auto-generated beautifully designed card that would have all the details of the invoice and a link to directly open client facing version of it on Xero. So your clients can view, download or pay the invoice directly from the invoice reminders.
Calendrio also helps you share a payment calendar with your clients that will help them never missing your payments in first place! This client payment schedule calendar will update instantly when you send a new invoice with them and will have all the details and a link to pay the invoice, right on the calendar!
(Btw, you can also get your own payment calendar with all your invoices and bills across all your customers and vendors to stay up to date on your AR and AP. Unfortunately, Xero hasn't kept up with functionality for its growing customers and still has a 'one-man' band software. I use this for a 300+ customer nfp and also a charity, which is considering moving as Xero cannot meet our needs. Very disappointing and sad given how exciting it was back in 2018!

We are now paying almost double what we started out paying Xero over 5 years ago, and we are still unable to automate the sending of our invoices because the UK isn't Xero's default timezone.
This is a vital feature.

Yeah I hear you @Nick Courtney-Jones! I was stoked with Xero when we started using it but it's nearly tripled in price since we came on board in 2018! They muck around tweaking stuff that has zero value to most, add features that not all businesses use and structure their tiers such that many are forced to use the expensive ones just to get basic functionality.
We are on a limited timeline if the price keeps going up. Will have to look for an alternative.

Quiet poor how this is still not a thing in Xero!
Its quiet a basic function that should have been baked into the product on launch.
Your customers should not have to be forced to use and pay additional 3rd Party services to get such basic functionality.Lack of basics like this and quality of life improvements to the underlying product is is completely turning me off from Xero given the consistent creep in the price that is being charged. Value prop is totally slipping away.

This is also an issue for repeating invoices. In fact, it is our main issue with this. Our repeating invoices get sent out at 2am. So we have to manually send all of our invoices during working (or waking hours) to avoid this.
Please also apply this to repeating invoices.

Adding my voice to the pile here - this seems like such a basic feature that so many people are crying out for. When the work is done, it would be fantastic to sort everything in Xero and know it's going to be sent like a scheduled email. Please please please, prioritise this. It would make such a big difference to my workflow.

We have been waiting years for this. We have to manually send all of our invoices because otherwise they get sent at 2am which is so unprofessional.
I don't understand why it isn't already setup on a country by country basis. We are all paying the same subscription, but we don't all receive the same service depending on timezones.
Please make it possible to at least only send emails during working hours on working days.

Really keen for this one. I work part time and often one off invoices need to be sent on specific days. Luckily I am able to login and send them when needed, but it means having to login on my days off, instead of scheduling them all during my work hours.
