Bill - Copy a paid bill to a Credit Note
Hi,
You can only create credit notes to Invoices or Bills if these aren't marked as paid on Xero, or by creating them as new items from contacts or using upload via Hubdoc.
I think it would be beneficial to allow the creation of credit notes from bills or invoices that are already paid. Very often, there is a requirement for a credit note to be created when the bill/invoice is already paid. Adding the feature to allow creating credit notes based on the information already recorded on paid bills/invoices would save a lot of time in dealing with creating new credit notes.

To provide a little more clarity here, it’s currently possible to create a Credit note within an individual awaiting payment invoice or bill. This’ll copy the contents of the invoice/bill into a Draft Credit note where you can edit if needed. To save many users time, once approved the credit is auto applied to the related invoice or bill, but you can remove this if not applicable.
We appreciate this feature is not available for a Paid Invoice or Bill and we understand the importance of this for some organisations.
To help our product teams get a better view of the interest for the feature in Bills and Invoices it would help to track these through separate ideas - I’ll change the title of this idea to reflect Bills and we have an existing idea for this on the Sales Invoice side that I’d encourage anyone interested in this to vote for.
This is something we’ll continue to consider for Bills longer term but isn’t in the agenda atm. If there’s any updates we’ll share here, and respectively on this idea for Sales invoices. 🙏

I thought I was the only one that wanted this and raised it at least 6 years ago. I have an ecommerce business so all my invoices are paid before goods are delivered. Xero keeps making changes that they say are from "Customer feed back". nearly every time I need to run a report you have to do an in-depth bloody search for what was already there. They need to listen to customers and apply the rule "If it ain't broke - don't bloody fix it" I seriously doubt anyone in the management have ever run a small business. They are ******* off customers and their own consultants who promote and run Xero for their clients. I thought MYOB was bad at creating updates - Xero has claimed that prize - well done!

Sorry, Kelly, but it seems you misunderstood the point of the idea that users were voting for.
We don't need to be educated on the possibility of creating credit notes from unpaid items. Instead, we need the opportunity to create credit notes by copying paid items into them.
Imagine a retail shop: when goods are sold, they are paid for immediately. If a customer comes back a few days later to request a return, it would be much simpler to copy the contents of the paid items into a credit note rather than manually entering them.
The same principle applies to most bills. When you purchase goods from online retailers, you typically pay for them immediately. However, if you need to return an item, it can be frustrating to navigate through your paid bills and use the copy/paste feature to create a credit note. A simple button that allows you to copy a paid bill into a credit note would make the process much easier!
I agree with Shannon W. Every idea I’ve voted for that would make life much easier tends to receive the same response - “not planned.” The prices of your software have doubled since I started using Xero, yet it appears you still cannot afford to hire professionals to address the most important matters for your users! -

Surprise, surprise. Every idea I have raised or voted for that would benefit me as a small business owner ends with the exact same response: Long term this isnt an agenda item...
Meanwhile, updates are released and celebrated which have zero impact on me.
I get it - you're no longer focused on small business owners. We're just a burden and should start looking elsewhere... Thanks for making us realise our worth as a customer. -

The absolute gall to say "To provide a little more clarity here, it’s currently possible to create a Credit note within an individual awaiting payment invoice or bill." when the product request is clearly for a PAID bill AND the complete disregard and lack of understanding for how the real world works, is out of this world.

It baffles me that this is not an option.
Currently trying to credit an invoice that was paid two months ago and to have to go through all the steps and create from scratch is painful.
Not to mention that as I started with trying to create from invoice I've also created an unnecessary invoice that has, of course, magically autosaved ... so now I have to void that as well. -

I am literally on the phone to Xero now. I have only been using the system two months and it blows my mind that this is not feature on the software. Hopefully w can get enough votes to make this happen.
I said to the lady on the phone, if it was me creating an accounting software the first two things i would be ensuring as a feature is payment and credits. Fingers crossed this happens.

I still cant believe this is not a feature. The functionality already exists - you removed it for paid invoices. Just stop blocking it and allow it. I am about to credit another 20 line invoice now and I am frustrated! The invoice was for 12 months but they have cancelled after 6 months and I have agreed to credit the remaining 6 months.

I agree. It's so time consuming having to re-enter the details from that bill. It'd be great to still be able to create a credit note from that bill, and just apply it elsewhere/leave it as credit on that contact's file.

Absolutely should be an option to copy the bill to a credit note. On occasion, a bill can be paid when it should not have been. Or a new bill comes out with differing amounts. We should have an easy option to create a credit from that original bill.

In our hotel business we often get situations when a customer pays for an invoice but later the booking gets cancelled and a refund is applied. If the invoice is already marked as paid, the only way to to create a completely a new credit note and manually copy all the details of the invoice. When the invoice contains a lot of information, this becomes combersome. Having an option to copy the invoice to a credit note would come very handy. Thank you.

This is an absolutely vital feature!
In an ecommerce business, if a customer makes a return for a refund then we need to generate a credit note. It would save so much time to be able to copy across the original sales invoice details as the refund is generally the same amount in reverse, or if not, the line items which are not for refund could be removed.
I can't believe this feature doesn't already exist! -

We should be able to turn an invoice into a credit note, when having a minus figure.
Currently, when raising a multitude of sales invoices, I will copy and paste the previous invoice and change the figure to match my internal report. However, when I come across a minis figure, I will have to manually go through invoices> new credit note and copy all the information from the description over and post the credit, then go back onto invoices>new invoices for another new invoice, and keep fluctuating between the two constantly.
It would be beneficial if a positive figure on new invoice kept it as a sales invoice, and a minus figure the system could pick this up as a credit note :)

I issue and receive credit notes and because I am a wholesaler, I receive many bills per month from the same suppliers and send many bills to the same customers. I pay bills in batches and receive payments in batches. Neither my suppliers or customers allocate credit notes to specific invoices on batch statements or remittances. That is an internal thing on both ends. It is not unusual for me to receive or issue a credit note on an invoice that has been previously paid. When I receive a credit, it looks exactly like a bill, except with a credit balance. It REFERENCES the original invoice or in some case multiple invoices. I like the idea of being able to allocate the credits to the invoices in the system, but but would like to be able to show the credit notes in the same list as invoices that I’m paying, but with negative balances. This is much easier for accounts payable and receivable clerks to process. In addition, if I do receive a credit note for the exact amount of a bill before the bill is paid, and I allocate it, both the bill and the CN show to be paid but there is no report to show my supplier. Then I get a late notice for the bill, AND show an outstanding credit with the supplier.

That is precisely what I idea is, as you mentioned above, to have the ability to copy the information from paid invoice to a credit note.
Our suppliers or customers (I mean both sales and purchases invoices) are often paid within days of issuing an invoices). On a few occasions goods are returned, no credit notes are issued by suppliers, or customers dispute their invoices, so it will be easier to copy details from paid invoices to credit notes rather than entering all details from scratch. That will save us a much time.
I think the perfect example is mentioned below by Natasha Hamlet:
"Completely agree with this. We have an e-commerce website where the invoice is paid on completion of the order, if we want to produce a credit note because an item is faulty or needs to be changed, this has to be then done from scratch rather than just using the information from the invoice. Its just an extra step that could cause errors that isnt required." -

Yes, need this - we have often had instances of supplying a part, sending our customers an invoice which gets paid by their accounts department and then they return the part as it was no longer required, so instead of being able to select the original invoice and create a credit note, which will then be taken up against the next months payment.
If only we could allocate credit notes against payments (in and out) and not just invoices!!!!!!! -

Agree that this is an absolute no brainer. I occasionally need to faff around doing this for clients (and it is a faff) and it makes zero sense.
Stop wasting time redesigning reports and making "solutions" for MTD for IT etc and doing something useful like sorting functionality in your core product like this.

It's not currently possible to copy an invoice to a credit note. When I've already generated an invoice with all the inputs the only way I can do this is to write the whole thing out again, which seems dumb (unproductive) to me. Hopefully this will be rectified soon.
