  1. When a company changes their payroll frequency to a new calendar there is no prompt to adjust the leave accrual.

    For instance, I recently changed my client from Fortnightly to Monthly Calendar.
    I adjusted each employee to the new calendar.

    On their Leave tab in the set-up of the leave accrual it asked the question:
    Hours a full-time employee works in a Fortnightly pay period
    When I changed the calendar to monthly this question changed to:
    Hours a full-time employee works in a Monthly pay period
    There was however no prompt to adjust the answer, the previous answer just transferred…

  2. "Days paid" on timesheet defaults to number of days loaded in "Salary & Wages".
    It needs to be overridden to actual days worked for the week when a timesheet is approved. Many staff work more or less days than the average and changing each one manually is incredibly cumbersome and has a huge margin for error

  3. With the current financial climate, employees are suspending their KiwiSaver contributions. The Inland Revenue (IR) allows the Employer to continue with the company's contribution voluntarily.

    At this stage, it is not 'officially' possible for the employer to contribute to KiwiSaver if the employee is on a Savings Suspension in Xero.

    The employee is on a Savings suspension, then the company cannot contribute either. Also, when on a savings suspension Xero requires an expiry date, IR does not always provide a date; instead, advising us when to recommence the KiwiSaver.

  4. When transferring from another payroll system, Xero has not accounted for the user case of an employee starting with a negative entitlement.
    A lot of businesses allow employees to use annual leave as it's accrued and do not always enforce the 12 month stand-down as per legislation. As a user who has just entered 12 months of payroll information for a transferred employee, I should not then have to calculate what the balance now is.

  6. Ability to show or report the variances/differences between the draft payrun and the prior period payrun.
    This would save a huge amount of time going through each payslip to ensure the usual pay is being processed and nothing has been accidentally added or missed.
    Especially when you have a large number of employees.

    Hi team, while it's not possible to view the previous pay periods figures for comparison in the current pay period, you could open the previous pay period overview in a separate browser window. Meaning you can compare the two pay runs without having to go back and forth between them.

  7. PAPDIS Pension reports for submission should include ALL employees not just those who have not opted out as the pension provider (creative) I submit to need all the information as they do the pension assessment on everyone every month. I have to manually edit the csv downloaded every month which can lead to mistakes.

  8. Small businesses are now much more global and have employees in multiple countries. Therefore payroll should also accomodate for multi currencies, otherwise several different payroll sytems need to be used. DEEL is available in multi currency so it would be logical that Xero Payroll is also

For clients we have with director only payroll, if we could schedule all the filings and pay runs to be done automatically and we just get a pop up box just before they go to confirm nothing has changed for a number of different clients rather than one at a time? I believe Sage Payroll are working on this and Keypay payroll system can already do this too. Just wondering if there's anything on the radar for Xero to to the same?

  11. Many organisations pay staff tax free money when they work away from the office more than 24 hours. Currently there is no expense claim format that allows this type of reimbursement to be entered.

    Is it possible to have flexibility to create our own expense templates?

  12. Hi there,

    I am using payroll manager currently for all my client payroll services, and xero does not provide reports like HMRC monthly payment, P32, I can see it but can not download it to send to my client for payment. Also no employee wage report whereby my client see all deductions/additions and pay net wage to all staffs.

    Please check this software https://moneysoft.co.uk/payroll-manager-overview/ this is far best software so far and probably all accounting practices are using it because its user friendly and provide too comprehensive report to clients and employer

    Please improve your xero payroll like this payroll…

  13. When using Xero Payroll as an agent it would be better to be able to hide the agents Govt Gateway ID as well as the password. Could it be updated so that when you tick that you are submitting as an agent, both parts are hidden from the client?

  14. Now that you have a function to create a Non-employee SubContrator who is paid Superannuation only here are some suggestions as currently it is a very labout intensive and manual process especally since STP2

    • ability to populate the contractors details eg address, email, phone number from their Contact as they have been paid for an invoice via Bills
    • pay items that alows you to enter the invoice value so the super is calculated - at present, new STP does not allow you to trick the system anymore so 10.5% SG has to be manually calculated
    • ALLOW SPACES IN ABN field…

    Thanks for sharing with us in product ideas, Alison. It really helps for each idea to be separate so we can gauge interest in the specific feature community would like to see, and users know exactly what they're voting for.

    Reading through your feedback, you should find you can now copy and paste an ABN that contains spaces. It also appears there is an existing idea for tracking contractors Super contributions that I added your vote for and you'll be kept updated if there's any progress for.

    I've slightly adjusted the title of your idea here to reflect your first point, however you're welcome to start others for the remaining ideas that you'd like to see us develop. 

  15. Student Loan Tax Calculation
    Xero tax sets out the calculation of Income tax and NIC very well.

    Unfortunately, the system is obscure in relation to displaying the calculation for Student Loan Tax which is important for an increasing number of young people coming into financial maturity.

    We need to provide adequate assurance both to them and the increasingly aggressing Student Loan Company to avoid penalties and unexpected bills.

    I request that Xero includes a breakdown of the calculation on the Summary computation report.

  16. An Employee's payslip gives the current pay period earnings, deductions and net take home pay. It's missing YTD earnings and deductions information on a payslip. Please consider including the same in your future updates. Thanks, We are a Canadian based business.

    Hi community, we’re making some changes to Global Pay Run to help you manage your payroll more effectively;

    - From 23 July 2025 Global Pay Run will become read-only. You'll still be able to see all your past payroll information, however you will not be able to process any new pay runs after this date. 

    - Global Pay run will be retired after April 2026, at which point you'll no longer be able to access pay run. 

    We appreciate your input on how we can improve Xero for you, however with this change coming we don't have any plans to further develop Global Pay Run, and will move any ideas related to this on the site to Not planned. 

    If you're from a region where we offer dedicated payroll products (AU, NZ and UK) specifically designed for your regions unique requirements, you may want to explore transitioning to Xero

  17. If Xero Expenses' OCR reader doesn't find a date in a photo/receipt, it sets it as 19 Feb 2022 (from reviewing a number of Expenses in my organisation submitted in December 2022 that don't have visible dates).

    It would be more helpful to set the date as the day the Expense was initially created.
    The submitter is likely to have incurred the Expense on the day they take a photo of the receipt.

    As it currently is, if a period isn't locked and the Approver isn't checking dates, they may inadvertently post entries to the wrong period, even a historical/filed…

  18. UK. We employ temporary staff who do not accrue leave while taking paid leave they have previously accrued. The only way to reflect this in Xero is to manually adjust the leave balance. I would like to be able to add a pay item of paid leave that does not accrue further leave.

  19. With the payroll linking RTI with HMRC (UK), it would be really helpful if the pensions could do the same, not just with Scottish Widows but more providers.

    This would really streamline the whole payroll process and save so much time.

  20. Can we please have a report that will breakdown annual leave and leave loading. When there is a lot of employees that take leave for a quarter is time consuming to have to drill down into each employee to work out the leave loading to ensure that the SGC amount is reconciled.
