User Role - Restrict access to individual bank accounts
To have the ability limit some users to access some bank accounts within Xero org.
Purpose: To limit some staff to not be able to see the information about the client’s bank balance.
We appreciate everyone that's contributed here. Needs in more incremental permissions for bank accounts, have been clearly highlighted in your feedback - from protecting the confidentiality of payroll information to securely delegating reconciliation tasks for specific accounts.
Leaning in from our last update, our product teams have conducted lots of research of existing user roles, to highlight the most critical areas work is needed to power up our customers use of Xero.
Reporting and inventory are our first areas of priority, and you may have seen recent updates across ideas for these areas.
Permissions to bank accounts is another area that stood out in our research, but has more dependencies and will take longer to develop.
We'll keep you updated as our journey with roles and permissions evolve and there's more in the space of banking to share with you all.

Is this on the cards at all? We really need a practice manager, but I only want her to see one bank account, particularly to send invoices and allocate payments. Is this possible?

Need to limit user access to bank. User can see credit cards and reconcile but cant see current and deposit accounts.
also be good to limit nominal codes users see

I need a user to be able to see payments from customers (and preferably to suppliers) but not have access to the (seperate) account that deals with payroll. This is clearly a very popular wish.
The User roles permissions choices are extremely limiting. -

It is astounding Xero has not implemented this as a standard feature. Xero's all-or-nothing approach to user access for bank accounts prevents business owners from utilising administrative staff to reconcile transactions unless they reveal every financial aspect of their business. What a crazy scenario! It is time Xero escalate this request to their development team for implementation.

It is insane this isn't already available. I have staff who I want to process client payments so they need to be able to see the client facing incoming EFT account , however, I don't want them seeing expenses / outgoing wages / retained earnings.

This would be an amazing addition for my business. I have admin staff who I don't want to give access to all areas, but would be happy to give them access to hubdoc and our STRIPE feed so they can reconcile client payments only without looking at our other bank accounts

This would be a great feature to have. Not all administration staff do not always need to see everything that, for one is none of their business and the other that mistakes cannot be made by allocated a payment to the incorrect bank account. Please figure this out.

Being able to choose access just to one bank account and be able to drill down to just certain areas such as invoice approval would be very helpful.

This would be so great.
I need to choose which bank account can be accessed but having accounts received and account paid to be an option as well would make everything SO much more manageable.
Currently having to retain these tasks as they cannot be delegated due to sensitive company information which cannot be hidden is very frustrating.

This is still a crucial aspect my company would love to see added. Restrict users to view particular bank accounts and only be able to reconcile the accessible bank accounts transactions.
If there is a transfer between bank accounts, then they can only reconcile the side that they can see. I am sure it could be more complicated than that, but that would be the fundamental starting point for us! -

Been a Xero user since 2012/13. Have wanted to have roles for over 10 yrs so staff can do basic reports, or transactions, without having full access to all business bank account data (this is crazy). For over 10 yrs, Xero says "we'll look into it" but no real action or response. There are multiple product 'idea' requests here all about the same thing - we don't want ALL STAFF to access bank account details. Last time Xero said "we're only geared to sole proprietors" - not exactly an encouraging response since they brand themselves as the solutions for small business. Any updates on this Xero??

This is ridiculous that this isn't a feature yet. A simple check box for allowing which bank account a certain user has access to would be great. Also would be great to be able to limit a user to reconcile AR and not AP within a certain bank account. Seems a no brainer for any small business that has someone else doing some admin work.

I've always thought that Xero is beautiful software for a one man business but struggles to grow as a company grows and this issue is that in a nutshell.
On the other hand, when I get terribly frustrated with these Xero pain points I review other bookeeping software (ready to launch lol) and every time, Xero is the best of a bad bunch. All of them have "quirks", changing goalposts and workarounds (including some really struggling with multiple windows open, something Xero excels at).
Every change to any online software requires processes and procedures for businesses to be changed - and that's hard for businesses.
Anyway, I complained about the new invoicing on TrustPilot & that got some "spin" feedback from Xero, but at least they do pay attention.

I think the reality is that whoever is responsible at Xero for making this happen is not reading this thread. We are merely blowing our hot air into the ether.
Maybe it's time to move these comments onto a larger platform, such as X.com, Facebook, etc....

This would be a very helpful addition.
Though I think it’s now 10 years and counting for this request of a simple separation of duties function.
It’s easy to see how other function improvements that can generate new income streams for Xero could take priority.
So it’s hard to see how this very useful function request could be an income generating priority – perhaps until a ‘beautiful’ user sues Xero for not prioritising the security of their bank account – Where will I code that loss amount to?
