  2. We have bureau licences with read only access for clients - however when the bank feed drops they are unable to refresh without upgrading. As they have no other involvement it does not make sense for them to have upgraded access - can we allow them to do this on a slightly improved access level please?

  3. If a staff member has Manager User access to a client file this doesn’t allow them to add users to a file with Payroll Admin unless they have Payroll Admin permissions.
It would be good if people are allowed to MANAGE the access without necessarily having themselves.
Can this idea please get implemented as it will avoid adding administrators with Payroll Admin permissions to our large client list when it isn’t required.

  4. It would be great if it is possible to make a contact private in order to limited the users who has access to a contact, especially when the contact contains private information that should not be accessible by all users.

  5. Currently, due to the lack of an approval option for a quote (which is a different product idea), I will need to provide the quote creator the right to send quotes directly to customer without reviewing (to avoid having another user to have to login, after being notified per email/whatsapp about the draft created, to review the drafted quote and send to client - very inefficient process). Once I provide an user the right to send quotes, they also have the immediate right to send sale invoices although the approval for a invoice is a non-negotiable. It creates the risk…

  6. Being able to customize each user role is quite important as every person in every company does something different. Giving them access to systems they shouldn't have because the User Role they need to do their job allows them access to these other areas is a security risk in general.

Putting in Custom Roles will also allow companies to adjust the Users to their Company Policies for controls.

This is the main reason I am posting this, as we are soon bringing on a new junior accountant where I will need to give them "approval" rights for Invoicing and a…

Appreciate the idea here - Being transparent, developing granular permissions or roles for every feature and action throughout Xero is not in our plans.

Understanding more of the permission sets majority of users need, will help understand where the biggest impact could be made.

I've slightly adjusted the title to suit the needs of the role you mentioned. We'll get a sense of others that'd like this too.

  7. Allow Xero users permission to authorise employee timesheets. At the moment only the payroll administrator or specific employee has the ability to do this. Payroll permissions under settings/users should be expanded to be more granular, with an option to allow users permission to authorise timesheets. Alternatively, under the employee details in Payroll, an option to select authorised Xero users whom may sign off timesheets for that user.

Hi everyone, thanks for your feedback on the ability for employees to approve timesheets.

Payroll is definitely an area we know needs more permission controls. This is something our product teams are beginning to explore and do deeper research of.

We'll keep you updated as our team progresses through the discovery work.

  8. I would like to recommend that standard access users be able to access a very handy "uncoded statement transaction report" that at this point is only available to the advisers role (usually accountants). I am told for advisers it appears on the front page of bank reconciliation. If it wasn't for chatting to an accountant one day about typing out lists to my clients I wouldn't know about it. I guess you don't know what you don't know. This is an extremely helpful tool when trying to send lists to bookkeeping clients / business partners or employee's when you are…

  9. Ability to give payroll admins only permission to staff.

Hi everyone, we appreciate you taking the time to share how important more flexible payroll permissions are for your teams.

It's clear that having granular control over who can access different parts of payroll would make a real difference to how you manage timesheets and leave approvals, as well as restrict access to other sensitive areas.

From research, Payroll is definitely an area we know needs more permission controls for varying roles. This is something our product teams are beginning to explore and do deeper research of. We'll keep you updated as we make progress, and we're grateful for your continued input.

  10. Please adjust the Leave Authorisers in Xero Me to be the employees in the business with Payroll Admin &/or the Authority to Approve Leave.
Currently all user with PAyroll Admin are available for selection - which includes ALL advisors.
As an accountant - we are having to revoke our access to a client's payroll to ensure that the staff in the client's business cannot select the accountant's staff members to approve their leave.

Thanks for your patience; it’s been a little while since you first raised this idea. I wanted to point you toward a similar request regarding granular payroll permissions: [Permissions: Payroll - Payroll admin limited access].

It’s clear that having precise control over who can access specific payroll areas would significantly improve how you manage timesheets and leave approvals.

To help your idea gain traction, please share it with colleagues so they can vote for it too. The comment section is also open for all members to share how this feature would improve their Xero experience.

  11. It should be possible to suspend users without deleting them. This should cut off all accesses but should preserve the account /username itself. This is a basic functionality of user access control which is surprisingly absent from Xero. This preserves the user ID incase someone suddenly leaves the company or is suspended from duties for whichever reason.

  12. Ability to have more flexible permission in Xero Payroll, especially for read only Payroll reports and to give other users permission to approve/decline leave requests.

Hi Community! Thanks for your active and on-going participation in this idea. The volume of comments and votes highlights how important more granular user permissions are for managing your payroll processes effectively.

Improving user permissions and providing greater control over sensitive data is a key area of focus for us. While we have no specific feature to announce today, your feedback is critical in shaping the future of this part of Xero.

Because of the clear need you've all highlighted and our desire to investigate this further, we're moving this idea's status to In Discovery.

During the discovery phase, our product team will be digging deeper into the core problems you’ve raised.

We appreciate your patience as we explore this. We'll be sure to update this thread when we have more to share. Thank you again for helping us understand what matters most to you.

  13. User role - Limit access to user based on year of transactions. I.e. can only view transactions from 2023 onwards.

  14. For internal control reasons the 'invoice settings' section should be only accessible for certain access types. Anyone with Xero access (excl read only) can go and adjust the bank account manually entered on the invoices sent to customers.

It would be great to have this locked the same way bank account admin is for supplier payments.

  15. I have clients whose bookkeeper does the payroll and also processes accounts payable/receivable invoices. Currently we can't have submit/draft only invoice access AND payroll access. This means that if they want to do payroll, they also get access to approval of invoices. Can we please create a user role where draft/payroll access is combined?

Hi Margaret, thanks for raising your idea here.

Just want to add that it's only possible for adviser or standard + reports roles to view, edit or post Manual Journals.

Does that change your idea here at all?

  17. There is currently no record of changes to User registrations in the xero file. This is a failure of audit processes.
A description for each user would be handy to identify the role of each person within the Organisation.
A start and End date would allow for Temporary access arrangements.

Hi team, we appreciate the interest in this idea and how having a record of changes to a users permissions would be helpful as an audit in your Xero organisation.

While this history event isn't in our immediate plans, we are closely considering how and what changes we record history for as we continue to develop parts of Xero.

For the time being we are continuing to keep a watchful eye on the support in this here, and I will make sure to share if there is any news of this for you all here.

  18. Invoice only user role that allows you to pick and choose either or both Sales and Purchase orders. quotes and invoices. At the moment you can only have Sales or Purchase IO otherwise you have to make standard user which is not helpful.

  19. Hi Xero.
Currently, User's with Invoice Only Access can only approve invoices and bills. However they are unable to remove a payment (or part thereof) from an invoice.

This is a problem if the User accepts a payment, then realises that there is an error on the invoice, as they are then unable to remove the amount and fix the invoice.
It would be great if these User's could have this ability without having access to the business bank accounts

  20. We have assigned users to specific projects but in order for them to see the invoices and bills against this project the settings must be changed so that they can access all bills, invoices and contacts to amend.

I would like a feature so that someone assigned to the project can have read only access to the invoices and bills ONLY associated with this project. Allowing them to still run reports and view profitability on their project but they cannot amend invoices and bills or cannot access others that are not their projects.
