Permissions - User Roles to Submit and Approve Quotes and Purchase Orders
It is really basic, the permission control is not flexible and give more options. How about to give multiple choosing box for permissions. I want to create a user and give him permission to create and print quotations and a purchase order permission to create and submit for approval. Because the purchase approval permission i want to give to the manager levels only.
124 votesHi everyone, thanks for sharing your feedback on this idea. We appreciate you explaining how important more flexible user permissions are for your businesses. We understand having granular control over who can create, submit, and approve quotes and purchase orders could help many of you implement better internal controls and protect sensitive financial information.
This idea is now moving to In Discovery, which means our product team are reviewing the viability of the idea as part of wider development of the permissions/user role functionality in Xero. We'll keep you updated here as we learn more.

User Permissions - Access to reconcile without viewing balances
It would be really useful if you could give a user permission to be able to reconcile and post bank transactions, but not see the bank balance.
338 votesHi community, your ongoing interest in giving users the ability to reconcile without viewing account balances is welcomed.
We understand why this level of bank permission control matters. As recently mentioned in my updates on this idea, while we do have current work for user roles underway there is more complexities to developing permissions within the banking space and this isn't on the immediate roadmap.
As we continue our journey to evolving roles within Xero we'll be sure to share any progress for permissions in bank accounts with you all, here.

Expenses - Multiple levels of approval
We need to upload an Approval Matrix/Approval hierarchy with a scope depending on "Location" and "Total amount" with 2 levels of approvers for "Expense claims" (EC) & "Purchase Orders" (PO).
With that, we are looking for automation on sending the EC & PO automatically by the system to the correspondent Approver depending on the scope through email.87 votesHi team, we appreciate wanting more flexibility in expense permissions and that for some businesses a multi-level approval process is necessary.
Though we are continuing to develop Xero expenses to encompass more tools and features our customers are after, we want to be upfront that we don’t have any plans to change expense permissions on our current roadmap.
We will continue to assess your feedback and consider ideas like this as our plans evolve. If there is any change we will share an update.

User - Give users access to specific invoices/quotes
We need to give specific users access to specific sales.
We have made our employee have draft only sales access, but now we cant collaborate invoices and quotes there should be an option to give users access to specific invoices & quotes, not the total sales in and out7 votes -
Bills - Ability to select user to approve draft bills
Being able to allocate draft purchase invoices to different users for approval

User role - Restrict option to add or delete Bank Accounts To Subscriber user role
It is concerning that Bank Accounts can be added or deleted by users with "Standard User Access or even "Advisor" in some cases.
Considering the whole Xero Accounting system revolves around Bank Feeds, the ability to add a bank account, activate Bank Feeds or even delete a bank account should only be a function available to the Software Subscriber.

Invoice - Ability for users with Invoice Only user role to add prepayments
Users with the Sales (quoting and invoicing)/ Invoice only role to record prepayments in Xero.

User - Bank feed refresh for read only users
We have bureau licences with read only access for clients - however when the bank feed drops they are unable to refresh without upgrading. As they have no other involvement it does not make sense for them to have upgraded access - can we allow them to do this on a slightly improved access level please?

Permissions | Ability for Manage users to assign Payroll Admin
If a staff member has Manager User access to a client file this doesn’t allow them to add users to a file with Payroll Admin unless they have Payroll Admin permissions.
It would be good if people are allowed to MANAGE the access without necessarily having themselves.
Can this idea please get implemented as it will avoid adding administrators with Payroll Admin permissions to our large client list when it isn’t required.42 votes -
User - Restore deleted user
Once a user is deleted it would be helpful to have a list of deleted users, where you can then restore from if needed.

Permissions | Contacts - Private or limited access to certain contacts
It would be great if it is possible to make a contact private in order to limited the users who has access to a contact, especially when the contact contains private information that should not be accessible by all users.

Quotes - Restrict users to send quotes but not invoices
Currently, due to the lack of an approval option for a quote (which is a different product idea), I will need to provide the quote creator the right to send quotes directly to customer without reviewing (to avoid having another user to have to login, after being notified per email/whatsapp about the draft created, to review the drafted quote and send to client - very inefficient process). Once I provide an user the right to send quotes, they also have the immediate right to send sale invoices although the approval for a invoice is a non-negotiable. It creates the risk…

User Role - Reconcile without access to approve invoices
Being able to customize each user role is quite important as every person in every company does something different. Giving them access to systems they shouldn't have because the User Role they need to do their job allows them access to these other areas is a security risk in general.
Putting in Custom Roles will also allow companies to adjust the Users to their Company Policies for controls.
This is the main reason I am posting this, as we are soon bringing on a new junior accountant where I will need to give them "approval" rights for Invoicing and a…
79 votesAppreciate the idea here - Being transparent, developing granular permissions or roles for every feature and action throughout Xero is not in our plans.
Understanding more of the permission sets majority of users need, will help understand where the biggest impact could be made.
I've slightly adjusted the title to suit the needs of the role you mentioned. We'll get a sense of others that'd like this too.

UK Payroll - Allow Xero users permission to authorise employee timesheets
Allow Xero users permission to authorise employee timesheets. At the moment only the payroll administrator or specific employee has the ability to do this. Payroll permissions under settings/users should be expanded to be more granular, with an option to allow users permission to authorise timesheets. Alternatively, under the employee details in Payroll, an option to select authorised Xero users whom may sign off timesheets for that user.
58 votesHi everyone, thanks for your feedback on the ability for employees to approve timesheets.
Payroll is definitely an area we know needs more permission controls. This is something our product teams are beginning to explore and do deeper research of.
We'll keep you updated as our team progresses through the discovery work.

User Role: Ability for standard users to have access to Uncoded Statement Lines
I would like to recommend that standard access users be able to access a very handy "uncoded statement transaction report" that at this point is only available to the advisers role (usually accountants). I am told for advisers it appears on the front page of bank reconciliation. If it wasn't for chatting to an accountant one day about typing out lists to my clients I wouldn't know about it. I guess you don't know what you don't know. This is an extremely helpful tool when trying to send lists to bookkeeping clients / business partners or employee's when you are…

Permissions: Payroll - Payroll admin limited access
Ability to give payroll admins only permission to staff.
Purpose: To make the staff have fully access to Payroll but not other parts of Xero.
121 votesHi everyone, we appreciate you taking the time to share how important more flexible payroll permissions are for your teams.
It's clear that having granular control over who can access different parts of payroll would make a real difference to how you manage timesheets and leave approvals, as well as restrict access to other sensitive areas.
From research, Payroll is definitely an area we know needs more permission controls for varying roles. This is something our product teams are beginning to explore and do deeper research of. We'll keep you updated as we make progress, and we're grateful for your continued input.

Xero Me - Payroll Authorisers to NOT include advisers
Please adjust the Leave Authorisers in Xero Me to be the employees in the business with Payroll Admin &/or the Authority to Approve Leave.
Currently all user with PAyroll Admin are available for selection - which includes ALL advisors.
As an accountant - we are having to revoke our access to a client's payroll to ensure that the staff in the client's business cannot select the accountant's staff members to approve their leave.36 votesThanks for your patience; it’s been a little while since you first raised this idea. I wanted to point you toward a similar request regarding granular payroll permissions: [Permissions: Payroll - Payroll admin limited access].
It’s clear that having precise control over who can access specific payroll areas would significantly improve how you manage timesheets and leave approvals.
To help your idea gain traction, please share it with colleagues so they can vote for it too. The comment section is also open for all members to share how this feature would improve their Xero experience.

User Roles & Permissions - Ability to suspend users
It should be possible to suspend users without deleting them. This should cut off all accesses but should preserve the account /username itself. This is a basic functionality of user access control which is surprisingly absent from Xero. This preserves the user ID incase someone suddenly leaves the company or is suspended from duties for whichever reason.

Payroll: User Roles - Options to give permission to approve/decline leave and read only Payroll reports.
Ability to have more flexible permission in Xero Payroll, especially for read only Payroll reports and to give other users permission to approve/decline leave requests.
Purpose: To have more options and flexibility in assigning users to Xero Payroll.
143 votesHi Community! Thanks for your active and on-going participation in this idea. The volume of comments and votes highlights how important more granular user permissions are for managing your payroll processes effectively.
Improving user permissions and providing greater control over sensitive data is a key area of focus for us. While we have no specific feature to announce today, your feedback is critical in shaping the future of this part of Xero.
Because of the clear need you've all highlighted and our desire to investigate this further, we're moving this idea's status to In Discovery.
During the discovery phase, our product team will be digging deeper into the core problems you’ve raised.
We appreciate your patience as we explore this. We'll be sure to update this thread when we have more to share. Thank you again for helping us understand what matters most to you.

Bills - Give approvers access to limited suppliers
Xero access - Limited permissions for approver
In the process of bills approvements we need the approvers to have limited access to suppliers (if they can access xero currently access allows them to see everything on the system). For example:
approver A has limtied access to supplier B
Approver C has limited access to supplier Dapprover A could not see information regarding supplier D and approver C could not see information on supplier B.
This would help us to avoid having an extra software that handles approvals when everything could be done through xero.
