User Role - Allow users access to specific reports
Ability to only allow some users to access specific reports.
Purpose: Because in some organisation, only some people can only see the information for some reports.
Heya team, we're now actively testing how reports could be grouped and accessed, and we'd love your input in this, so we can design a better report grouping structure that supports role-based access in reporting.
Get involved! Complete a quick 15-min online activity to test how reports are grouped and accessed:
- Part 1: answer questions about the current report grouping
- Part 2: explores a new grouping and role-based report access
👉 If you're interested, please go through the link here.
Thanks again for your support and contributions to developing a solution that works best for majority of our customers!
(Just to note - If you’ve already gone through this activity, there's no need to do it again — our researchers may have contacted you earlier 😊)

I love your software except for this major issue!!
As Xero continues to promote the software to small businesses, Xero should consider that businesses require employees to work using the Xero software but do not want to share all the confidential financial data with the employees. Would you want to allow an accounts payable clerk or an accounts receivable clerk access to your profit and loss statement. The answer should be no. Xero should make this a priority and not leave it on the back burner. -

from a credit control point of view it would be great to add aged receivables to the sales invoice only access and like wise for payables just for segregation of duty and responsibilities

Hi everyone, as our business models increase along with staff financial literacy comprehension, this user access and role is more and more required.

This is critical for us too - If Xero could separate banking from reports it would make things a lot easier. We have staff that need stock reports or Project reports and currently I have to ask the owner to manually do them and export them. Quite problematic as he's not always available when these are needed.

People who enter invoices and bills but can't access banks should be able to have permission to see AR and AP reports even if they are not permitted to see other reports

A client of mine, a large earth-moving equipment business would like certain employees to have access to some reporting but not be able to view the bank. Currently, Xero is setup to combine the bank with all reporting. This means that some employees who need reports such as Aged payables, can also see the sensitive information in the bank. Not a good thing at all for this client. Would be great to have more combinations of user permissions.

Thank you for your comment.
The lack of defined user access and reports is a definite problem. I have found a solution… it’s called MYOB. Our larger clients all require distinct roles separating senior management from clerical staff. Xero is great for small clients, owners processing their own file. However, any client with serious growth potential should be using MYOB. We have recently assisted a client migrate back to MYOB and we won’t recommend Xero to any client with a turnover exceeding $5mil (and some smaller), nor to those with potential to grow. -

Hi Team,
This is really a critical issue for us as well!
Can Xero have the function to give users to different report? -

This is really a critical issue for us as well! We are new Xero users but I would say if you have invoice and billing only rights at least you must have acces to the Customer and Supplier bill activity reports so that they can reconcile with the account statements of the suppliers especially? Please please Xero it must not be so difficult for you guys to do this?

How ridiculous. Most small businesses are not "1 man bands" or solopreneurs etc. What will you all be switching to? I've been using Xero since 2010 (!!!!) and will be switching this year if possible (even though I'd prefer not to!) because we need different access levels to reporting. Kind of shocked this isn't even in the pipeline as it's so basic, but oh well. I'm not thrilled about Quickbooks, but maybe it's evolved a lot over the past 13 yrs...
Also pretty disappointed that Xero wouldn't even comment on such a highly voted issue that's almost 10 yrs old.

HI Everyone, I have been in touch with Xero admin today, and they advise that this is a feature that they WILL NOT be looking at, anytime soon, nor in the future. So if we want user security, we will need to change to another accounting package. Xero was only ever developed for small family or one man band businesses, and is not capable of changing or growing to meet business growth requirements. This is really disappointing, I submitted this discussion 7 years ago, and they still refuse to look at a solution.

Hi Stephen, not in the pipeline as you say. Made a comment on this years ago as well. Head in the sand. Time to move with our feet I believe.

Will Xero ever make comment on this thread - or give users some idea if this is on the future development programme. If its not an imminent fix then its best to know now. It would also be interesting to hear the reason this cannot be easily implemented. On the phone I was unofficially told it was because Xero was created for the small business owner 'one man band' type business. This is not good enough as this is not how the software is being sold or promoted, yet this appears to be the only valid reason or excuse for such a major issue for all non solo business owners who use Xero. This was first reported in 2015 - 8 years ago!

currently looking at other packages that can offer this function as the fact Xero doesn't is starting to have a real impact on our business.

The gap between IO and standard roles is too wide. There needs to be ability to allow access to certain reports without access to all or bank.

I agree the gap is too wide. From a GDPR point no employee should ever be able to see another employees expenses but as soon as you approve everyones expenses they appear in the bills to pay screen for all to see - even those with Invoice Only Approve and Pay. Also on Invoice only - no one can add products or edit products in inventory.

This is critical. Employees at different levels need access to different things. Since there is no distinction in security, no employees have access.
These reports can drive a business, give us the power to do that.

Not having this is crippling. It's such a basic feature that is offered by Xero's competitors. It's extremely important to our organization.

This option can benefit our company greatly, we have several users, and all have different specific responsibilities
