    Thanks for your feedback and for pointing out how the term "Reconcile" can be confusing—especially for those new to Xero or bookkeeping.

    We get that using clearer terms like "Categorise" or "Allocate" might feel more intuitive and help reduce confusion when working through bank reconciliation.

    Hi team, we appreciate the feedback here and how an easier method of sending Remittance would be useful for some users.

    Thanks for sharing your idea about expanding this feature to include credit notes (and not create them as bills).

    Now it's up to the community to get behind and support your idea. Make sure you share it with any colleagues it could also benefit, so they can add their votes and comments too!

    In the meantime, it's possible to bulk import credit notes using a CSV file, but not via this feature.

    Hi Alan, thanks for sharing this idea. This would be useful for situations when a payment fails, allowing a nominated user to be notified as well so action can be taken quickly and avoid being locked out.

    A simple workaround for now is setting up an email forwarding rule from noreply@post.xero.com

    or subscription.notifications@post.xero.com

    to your bookkeeper or Billing Contact. It’s not a permanent fix, but it can help make sure the right person sees the alert sooner.

    I’ve moved this idea to Gaining Support so we can see how many in the community would value more flexibility in who receives these notifications. If this would help your team, please add your vote or share your experience—it really helps us understand the impact.

    Thanks everyone for your feedback on the invoice print option. We know how much our customers value efficient workflows, and appreciate you sharing your thoughts on how the current "Print PDF" button works. 

    For those of you looking for a smoother printing experience, a helpful workaround is to set your browser to automatically open PDFs in your preferred viewer after downloading. This can save you a few clicks in the process.

    In the interest of transparency, a direct print PDF functionality that go through the download step isn't in our development plans.

    Hi community, we appreciate the continued traction this idea's received, and do want to provide clarity and set expectation.

    Your feedback has been valuable in understanding the needs of using description only lines to; add subheadings, provide context for grouped charges, and ensure your invoices are easy for your clients to read and understand.

    To reconfirm, atm - You can add one-off description only lines as you enter an invoice. However, if you add detail to any other field the line will be treated as a 'financial' line and you'll need to include Qty, Unit price, Account and Tax rate.

    • We know some users have set up and saved inventory items for description only lines they commonly use, however as the item code field is used for inventory items the line of the invoice is treated as 'financial' meaning you'll then need to include Qty, Unit price, Account and Tax…

    Hey everyone, thank you for all your feedback. We’re on a long journey to provide more granular access and controls within Xero features that our customers need.

    As you may have seen in some of our recent updates across other user roles ideas we’re currently in the process of adding more permissions within Reporting and Inventory. Further to this our research has highlighted Payroll and Banking as areas that more controls are most needed, and are on our agenda as we continue to develop permissions and access to features.

    Your feedback here and through direct engagements with our teams have been extremely insightful, and we appreciate all your inputs.

    I'll continue to provide updates on the development of roles for features as we progress.

    I agree with Anne,

    We need to be able to have way more control over who has access to what. One of the features we were told is coming was being able to give users access to one of the bank accounts for instance and not all of them. We have clients with bank accounts specifically for day to day supplier and customer transactions and separate accounts for savings/investments accounts and for payroll. Some of the users need access to the day to day supplier and customer account, but not the rest.

    The other big issue we have is the creditors clerks not being able to view the payables age analysis themselves and the same for the debtors clerks or debtors/creditors managers. We need to be able to give them access to these reports according to their functions, because constantly asking for reports from someone who has access influences the flow and speed of them fulfilling their roles and adds a task that they used to have to someone else's to do list that has other things to focus on.

    One more thing that our clients all mentioned would be great is to (for instance) be able to give someone access to COD customer invoicing without giving them access to the rest of the customer information. That way they can start prepping people to take over should they get promoted instead of throwing someone in the deep end without any experience.

    I would also love an update. My one client is a manufacturer and has a whole Sales, Planning and Finance/Admin team needing to access different types of reports or features. Some read only, some for processing. I've actually started considering splitting the company in two in order to give the Debtors/Creditors manager access to the reports she needs to be able to access to do her work efficiently. But this isn't a proper solution since we need to prepare management statements monthly. And we get asked for up to date statements regularly for securities or guarantees.

    Desperately hoping this will come into effect soon. I can't think that it's such a difficult feature to build into an amazing and advanced program like Xero... If Quickbooks and Sage (even Pastel) can do it... I'm pretty sure Xero can too.

    It is really quite a big drawback for me for an amazing accounting platform such as Xero to not give the administrator access to narrowly defined user permissions. I had a rule with my clients on Sage - once an invoice is sent out to a customer, if you need to make changes do a credit note. It's something so silly, but I LOVED that I could tick that they can't edit invoices after it was sent out.

    I love Xero and what it can do. But I really feel Sage was better in terms of giving people access to different areas and things in the accounting software and also with helping you set the permissions in a way that supports your internal processing controls.

    I haven't read through all the comments, but I recently moved all our clients to Xero and this is one of the only things (that and not being able to do Supplier Recons on Xero) that they have with the software so far. I get that it's a tricky thing to do. But that's literally the only place where I'd say Sage has a leg up. I could edit permissions and roles for days for every type of scenario by ticking/unticking each ledger/accounting area.

    In most setups people have a debtors and a creditors department and then an accountant or someone else processing the bank etc. I need my one client to be able to do budget reports and cashflows, but I don't necessarily want her to see the other reports before I'm done checking and processing on my side.
    They also need their Debtors Clerk to have access to the Aged Receivables report and the Creditors Clerk to the Aged Payables. They have to check these reports every other day, but we can't give them access to Standard as they aren't allowed to see the bank accounts. And for someone constantly needing to send it to them is a big hassle. Could you just move the Aged Receivables and the Aged Payables Reports to the Business: Invoices & Business: Bills to pay drop-down menu/tab?
