  1. For catering companies, or any business with many employees or recurring weekly staff, payroll can become stressful and very time-consuming. This is because all employees need to be unticked before running payroll for only those who actually worked in that specific week. Other companies face the same issue as well. Is there any shortcut to untick all employees at once before preparing payroll for the employees who actually worked in that week?

    Hi everyone, thanks for your votes and comments on this idea. It’s clear that a simple 'Untick All' option when creating a pay run would save you a lot of time. We understand that manually deselecting employees one by one is time consuming, especially for those who have a large number of employees but only need to process a pay run for a few. We will keep this idea updated as we move through any design and development phases.

  2. When preparing monthly CIS returns on xero you need to create a bill for the subcontractor and reconcile/mark the bill as paid. When you have clients that have on average 80 to 120 subcontractors the bill creation even with a bill template can be time consuming.
    Something to consider is whether creating a bill could be removed from this process and the CIS return be prepared simply from a spend money to a CIS enable contact.
    Also something else that can be time consuming when dealing with this volume of subcontractors is downloading the monthly CIS payment certificates as clients…

  3. Payroll report (or add field to existing), "date employee last paid".
    We have a lot of seasonal adhoc casuals, it would be good to have a column in payroll reports showing the last pay-period they were paid in. We'd use this to off-board employees we haven't paid in a certain period of time (i.e. 12 months). We don't use Xero timesheets, so it can't be done this way.

  4. Trial Balance new report: Be able to run a report by tracking category. At the moment there is only an option to filter but if you have many tracking units you end up running a multiple reports and need to combine them all. Really time consuming.

    My proposal attached - with such report you could do any analysis you want!
    Option to run it by month "compare with" option a dream!

  5. It would be great to have the ability to assign New staff to all existing Projects without having to open each Project individually. Perhaps a multi select drop down. Currently I am having to open 40 projects and add the new staff member in one at a time.

  6. Sales tab - Love the "Billable Expenses", Needs to be above Quotes.
    Need to be able to not bill them where I have a project invoice. Just assign the customer.

  8. For accounts where transactions are posted and then additional transactions clear those transactions it would be great to have a reconciliation feature where these can be matched off (only when they net to zero). The the remaining unmatched transactions make up the account balance. This would save us hours each month.

  9. Suggestions to improve the reporting of GST Audit Beta

    1. Allow us to select which Tax Codes to display in report (default All)

    2. Show the tax code in each row rather than as a report subheader. Useful when there are lots of records for some tax codes

    3. I noticed that we can select Reference field for the columns, but not Invoice No. If the entry's Ref field is blank, the report shows the Invoice No. So this is misrepresenting the report, and showing inaccurate results as no one analysing the report would know if they are seeing the Ref no or…

Many of my clients are partnerships and trade using the partners initials e.g. J & J Doe but on their reports it displays as %26 and on emails that they are sending with sales invoices, it displays as "& amp;" meaning that when I save reports or they send their invoices, this has to be changed. Having worked in a software house previously, I know that this is a programming issue and one that should have a relatively simple fix so can you please look at this.

  11. When an account is reconciled and the report is created for the period, it would be nice if there was a little summary alert for the end date of the most recent report on the dashboard tile (i.e. reconciled up to and including 28 Feb 2025). This would help to make VERY clear immediately which accounts are reconciled to which date and help to plan which accounts need work or need a report and which are done for the reporting period you are working on.

  12. Provide an option to allow standard users to publish bank reconciliation reports, but not all reports.

    As a Xero Advisor, I don't always perform all of the accounting functions for my clients. For some clients we mutually prefer to have them perform the bank reconciliation process each month. This is a standard internal control that isn't always outsourced. Requiring publishing bank reconciliation reports at the Advisor level user seems overkill and limits how advisors can manage levels of service assumed by the advisor and their clients.

  13. When running reports to review Staff costs & looking into account transactions, Payroll journals provide descriptions that don't give correct/clear context. For example, under Employers Pension Contributions, the description provided is "Benefits" rather than Employers Pension Contributions. Or under Employment Costs it just says Earnings rather than "Gross Earnings". A final example was when an employee took unpaid leave, however the only description provided was "Deductions". This does not reflect clear context. It would be helpful if Xero had the means to be able to customise these descriptions or maybe have the option to ask Payroll/Reports to mirror the descriptions…

We understand that you've been using workarounds like exporting reports to Excel and manually editing them to get the detail you need. While this can help in the short term, we recognize it is a time-consuming process that shouldn't be necessary.We've shared your valuable feedback with our product team. As with all new features, we have to balance this against other development priorities. We can't promise a specific timeline, but the more support an idea gets, the higher it climbs on our list.   14. Xero Expense claims do not provide the field "Item" when submitting an expense claim for small items of inventory purchased infrequently. This means the inventory items purchased via expense claims will not show up on the reports "Inventory Item Details" and "Inventory Item Summary" reports" and a separate reconciliation just on expense claims will need to be run in order to account for the true inventory balance.

We know that it's not possible to add an inventory item directly to an expense claim and the current process to track inventory for an expense is to raise a bill instead. 📊 The team is still looking at the best way to address your feedback, and while we can't promise a timeframe just yet, please know that we will be watching this to see how much interest it might generate 👀

    Hi everyone, thank you to everyone that participated in our teams survey from my last update. We appreciate your insights and these continue to help inform our teams of where they can best focus their efforts, as they continue to develop invoicing.

    We don't have any plans at this stage to increase the Description field character limit from 4,000, however we're interested to continue tracking the interest in community and understand what the optimal amount of characters would be for our customers.

  17. On the Profit and Loss report there is no ability to show percentages, if tracking categories are used as a filter. We want to see COGS as a percentage of trading income, and Net Profit as a percentage of trading income.

  18. It would be so helpful if tradesmen could create a printable & electronic job sheet from a quotation containing materials and time scales etc
    This would be amazing as I have to use other software for this .

    Hey Steve, thanks for sharing this idea. We get that it’s an extra step having to create a job sheet in another tool after you’ve already prepared the quote in Xero, and how a more streamlined flow would save you time.

    One option for now is to use Xero Projects to track time and expenses against your work. While we know this doesn't give you that specific printable job sheet for your team on the go, it's the best way to manage the work in Xero right now. Another user has also helpfully highlighted how they use quote templates to create job sheets in Xero.

    Alternatively, as you’ve mentioned, there are options on the Xero App Store that may provide the solution you’re looking for here.

  19. Tronc pay item to be set up as PAYE applied only. Currently there are 2 options but one has PAYE and pension applied, the other has PAYE, NI and pension applied.
    The standard Tronc set up is PAYE only, yet there is not pay item for this.

  20. Please increase the character limit for line descriptions when generating invoices from Projects.

    Right now, if a bill line has a description that exceeds the small character limit, it gets cut off on the invoice. I have to then manually open each bill, copy the full description, and paste it into the corresponding invoice line. Obviously this is extremely time-consuming and inefficient for something that seems like a relatively small backend fix that would make a big difference to everyday usability.

    While increasing the character limit of a bills description when invoicing from a project isn't something we have plans for atm, we can gauge the interest from community in this and will update you if there's any progression.
