AU Payroll - Include a comparison field in Payroll Reports
Payroll reports - it will be good to have a COMPARISION field on payroll reports just like the P&L - to compare with previous n number of months / periods.
While the grouping / summarizing features are good - they are limited to just reporting on a particular period.
Hence any Comparisions are tedious to run / export and consolidate on excel.
For. eg. I'd like to run a report to display :
Afternoon Shift Loading & Overtime work for a month OR the full FY with monthly columns.

UK Payroll - Option to view leavers in History by leaving date
After the recent Xero upgrade, the ability to view leave dates disappeared from the employees' History. Instead, a column titled "Next pay day" was added, which does not seem useful because the employees have left the company.

Email Settings - customise style
I would like to be able to customise the styling on the invoice emails sent to customers. Changing the colour of the buttons etc.

New Invoicing - 0.00 values appearing in the invoice summary on invoice emails which should not appear
There is system wide error in the back-end template that you use to generate invoice emails. Please refer screen captures attached. You will see that I have two lines in my Invoice 005614 that are text descriptions of services only so are effectively subheadings and have no account code and no "value". They appear correctly in the PDF invoice with a blank in the "Amount NZD" column but they appear incorrectly with a value of "0.00" on the email the customer receives. I'm annoyed at myself that I have never noticed and reported this bug before because it looks these…

Customer Statement - CC/BCC on Outgoing Mails
Ability to add CC/BCC on every outgoing Statement Of Accounts to customers.
Purpose: Internal colleagues or stakeholders allows for a clear record of who received the statement and the context of the communication.
It enables easier response and ensures everyone involved is aware of the situation.4 votesThanks for sharing in product ideas 🙏, as you may have noticed with invoices it is possible to cc and Bcc for sending individual invoices at present. As we continue to build out the Sales experience this may be something we look to expand to other areas of Xero, like Statements.

Payroll - Untick all Employees
For catering companies, or any business with many employees or recurring weekly staff, payroll can become stressful and very time-consuming. This is because all employees need to be unticked before running payroll for only those who actually worked in that specific week. Other companies face the same issue as well. Is there any shortcut to untick all employees at once before preparing payroll for the employees who actually worked in that week?
2 votesHi everyone, thanks for your votes and comments on this idea. It’s clear that a simple 'Untick All' option when creating a pay run would save you a lot of time. We understand that manually deselecting employees one by one is time consuming, especially for those who have a large number of employees but only need to process a pay run for a few. We will keep this idea updated as we move through any design and development phases.

AU Payroll - Employee Remuneration - Ability to view date employee last paid
Payroll report (or add field to existing), "date employee last paid".
We have a lot of seasonal adhoc casuals, it would be good to have a column in payroll reports showing the last pay-period they were paid in. We'd use this to off-board employees we haven't paid in a certain period of time (i.e. 12 months). Projects - Assign New staff to all Projects in Bulk
It would be great to have the ability to assign New staff to all existing Projects without having to open each Project individually. Perhaps a multi select drop down. Currently I am having to open 40 projects and add the new staff member in one at a time.

Reports & Invoices - Display ampersand (&) correctly
Many of my clients are partnerships and trade using the partners initials e.g. J & J Doe but on their reports it displays as %26 and on emails that they are sending with sales invoices, it displays as "& amp;" meaning that when I save reports or they send their invoices, this has to be changed. Having worked in a software house previously, I know that this is a programming issue and one that should have a relatively simple fix so can you please look at this.

Sales - Search for Invoice by Description

I am suggesting that within the Invoicing section of Xero, where a Search can be initiated, a checkbox is required that will "Include Description" - allowing customers to search for an invoice by the contents of the description field.
I understand the performance impact on the overall system of putting this feature in the "Global Search" box, hence my suggestion to make it an "Optional" search via checkbox.
Because the invoice reference field was reduced to 255 characters (https://productideas.xero.com/forums/939198-for-small-businesses/suggestions/49018595-new-invoicing-remove-255-character-limit-for-ref), this would be the only way to be able to find…

Reporting - Trial balance split by category
"Please provide or enable a template that allows the generation of a Trial Balance report with account groupings categorized under the same headings like Profit and Loss statement and Balance sheet."

In the meantime, did you know that you can group the Trial Balance by 'Account Class' or 'Account Type'? Whilst not the exact functionality requested, these options allow you to split the accounts up within the report.

Reconcile Period - Note Date of Accounts Dashboard Tile
When an account is reconciled and the report is created for the period, it would be nice if there was a little summary alert for the end date of the most recent report on the dashboard tile (i.e. reconciled up to and including 28 Feb 2025). This would help to make VERY clear immediately which accounts are reconciled to which date and help to plan which accounts need work or need a report and which are done for the reporting period you are working on.

Reporting - Allow Standard users to publish reports
Provide an option to allow standard users to publish bank reconciliation reports, but not all reports.
As a Xero Advisor, I don't always perform all of the accounting functions for my clients. For some clients we mutually prefer to have them perform the bank reconciliation process each month. This is a standard internal control that isn't always outsourced. Requiring publishing bank reconciliation reports at the Advisor level user seems overkill and limits how advisors can manage levels of service assumed by the advisor and their clients.

Expense claims - Item field
Xero Expense claims do not provide the field "Item" when submitting an expense claim for small items of inventory purchased infrequently. This means the inventory items purchased via expense claims will not show up on the reports "Inventory Item Details" and "Inventory Item Summary" reports" and a separate reconciliation just on expense claims will need to be run in order to account for the true inventory balance.

We know that it's not possible to add an inventory item directly to an expense claim and the current process to track inventory for an expense is to raise a bill instead. 📊 The team is still looking at the best way to address your feedback, and while we can't promise a timeframe just yet, please know that we will be watching this to see how much interest it might generate 👀

Invoicing - Insurance / Surcharge Line at Bottom of Invoice
Summary:
Allow users to add a dedicated surcharge (e.g. insurance, card fee, handling) that appears as a distinct line below the subtotal on invoices, rather than as a regular line item.
Current LimitationAt present, any insurance recovery or surcharge must be entered as a standard line item. This:
Makes invoices look cluttered when the fee is not tied to specific products or services.
Can cause confusion for clients, who expect insurance/fees to be displayed separately (similar to how shipping or payment surcharges often appear).

We understand not having a dedicated field for surcharges or insurance can make it difficult to clearly communicate these extra costs to your customers. Currently manually adding a line item for the surcharge or using a custom branding theme to include the information are the only options💡Right now, we're not planning to add this as a specific feature, as our current focus is on some other features that will benefit a wider range of our customers, however we will monitor this for votes and comments from other users 📣

New invoicing - Remove invoice description character limit
Remove New invoicing description Character limit. Currently the limit is 4000 which isn't enough for large customer invoices.
26 votesHi everyone, thank you to everyone that participated in our teams survey from my last update. We appreciate your insights and these continue to help inform our teams of where they can best focus their efforts, as they continue to develop invoicing.
We don't have any plans at this stage to increase the Description field character limit from 4,000, however we're interested to continue tracking the interest in community and understand what the optimal amount of characters would be for our customers.
If there are any changes we will share an update with you all, here.
