  1. New Invoicing - currently wont allow me to send an invoice (as a reminder for payment) if it is in a locked period. Which i don't understand as it is not affecting the accounts in any way.
    It is very time consuming having to download and then email from google, rather than straight from Xero as before.

  2. What's most wrong with the new invoicing template is that the most useful features have been shifted to to the bottom of the layout , so you have to scroll to the bottom to use them. Also the default of approve and send is not the best option , approve would be better ( or perhaps a way to choose that box default would be terrific. Also to attach files , all the way to the bottom we go, thats crazy . also the size of the template is too big , it needs to be more compact its adds…

    It helps for each of the points you've raised to be tracked separately so our teams can consider the votes as a factor when prioritising and planning development, as well as keeping the communication clear of the changes we're making.

    Trying to get a better view of the placement of buttons that you mentioned - would this just be the Attach files option or is there another that you would like to see shifted above, too?

  3. In New Invoicing we can now hide the tax amount column. As this is for organisations that are not registered for tax, the Tax Rate column is also redundant so would it be possible to hide that too? We are set up as No VAT Scheme so both these columns just get in the way and it seems odd that we can mask one but not the other when you only ever need both or neither.

    While we're at it, could we do the same in Billing?

  4. When creating new 'spend money' transactions during bank reconciliation, allow the tax setting to match the tax setting in financial settings, if set to tax exclusive, so that it doesn't just default to tax inclusive.

My Idea: Somewhere to enter a prepaid annual or longterm expense (ie Insurance) that can first go into a Prepaid Expenses asset account and then set to either expense at regular intervals until "used up" or able to manually expense as periods come to a close. This manager would help keep track of all prepaid expenses in one place and would keep a running balance for each item. Viewing options would include being able to filter/sort by item (ie 2023 Insurance Premium), or by type (ie software subscriptions) or by expense account (ie Insurance Expense).

    Hi team, while we don't have a direct feature that would automate the entire process, there is a way to record and do this in Xero.

    You could set up an account for the expense in your Chart of accounts, and reconcile the original payment to this account. You could then set up a repeating bill or invoice template to auto generate and you'd make payments on it to the same account to reduce the balance over a period of time.

  6. IT would be really good to have the capability to add 'optional' items to a single quotation -

    • example #1: supplying in quantities of 10, 25 and 50,
    • example #2: there are five items in the 'basic quote' but the customer may choose to add items 6,7 and/or 8 but these aren't a fundamental requirement to include.

    If there is a quotation tool, then being able to offer customer flexibility is important as issuing multiple quotes can appear unprofessional

  7. It’s not possible to view the original invoice exchange rate in New Invoicing. New invoicing only shows the current exchange rate. I have to revert to classic invoicing to see what rate was used when posting the invoice.

  8. Creating projects in Xero is a great and useful function. Creating estimated expenses inside of the projects is even greater. However, those estimated expenses not showing estimated costs to complete the project is a missing crucial feature for me. Currently the estimated costs do not show in projects summary reports unless there are expenses towards that estimated expense item. This is a major flaw because anyone wanting to track estimated expenses needs to know the estimated costs to complete on all projects.

  9. The new invoicing doesn't work properly with Projects! A disaster for me this morning - trebled the time it takes to do my weekly Projects invoices. When it falls over because it can't find the GL Code to use, and doesn't even have subtotal and total fields....did someone forget about that when they were adding all the new empty space on the screen and screwing the work flow up?

I see you've also come into our Xero Support team and they've suggested booking a time to connect and share screen so they can see the behaviour occurring for you.   11. The Classic version of Invoicing used to inform you on the view of an invoice that was created from a Repeating Invoice when the Repeating Template had been deleted.
    The new version does not give you this information resulting in confusion and wasted time.
    Please see screen shots below.
    This is causing us a major headache as we have lots of Repeating Invoices that have to be cancelled and if a user isn't sure new invoicing doesn't help but allows you to go through the process of trying to delete the template again which results in an error.

  12. It would be great to be able to copy lines when processing spend money and bill transactions. I need to split costs from a single bill or credit card transaction to locations. Being able to copy data entered to a new line and then change the value if needed and apply the location would save time and limit tedium. Thank you

  13. Suggestion for Enhancing Note Visibility in Xero

    When writing notes for any invoice, bill, or manual journal in Xero, the notes are typically placed in the History column. However, this makes them less visible to someone new who might review these documents. If these notes could be added as sticky notes at the top corners of the page, they would be more prominent and could help avoid potential mistakes caused by missing information.   14. When the screen locks it would be helpful to have the option just to logout. Currently if you have timed out but finished working on Xero you actually have to login just to be able to log out which is a waste of time.

Please automatically remove archived contacts from any previous groups, or show those groups on the archive page. the new group invoicing keep including archived contacts and showing errors. the only way to remove people from groups is to restore them, remove them from groups and the archive them again. with over 1100 contacts this is a mammoth task and one i don't have time for. it was all working fine before you changed to new invoicing, you made the problem, you should make the solution.

  16. There is currently only one default setting for NI contributions to be made to. It is though necessary to separate out employee and director costs. Even direct employees and overhead categorised employees. Other pay items allow postings to different ledger accounts but not NI deductions. Would just save a lot of manual journal posting to correct payroll run postings.

  17. Thank you for delivering to keep the existing contact when copying an invoice. Now when you email the invoice the email address is not populated from the contact file. You have to go and look it up to send the copied invoice.

    Please refer to the contact details and pre-populate their contact email addresses.

    Sorry Lynne, It's a bit hard to troubleshoot and get the detail to understand why your contacts details like email aren't coming through to your copied invoice. I've just tested this with Draft and approved invoices being copied and the email of the contact was bought through each time as expected. I'd recommend raising this with our specialist through the Contact Xero Support option in Xero Central for closer inspection.


    Thanks for also checking on this, Olga - that message on defaults application is related to the Sales defaults saved against inventory items or the contacts record but doesn't apply to the contacts personal details. These should be applied when copying an invoice.

    To explain a little more - The reason defaults aren't automatically applied is because the line item fields will be prefilled with the information from the existing invoice that the new one is copied from.

  18. Unallocated leave. The only leave an employee should be allowed to create is leave that has been allocated to them. Unpaid leave if it has been created is automatically an option for all employees despite them not having it allocated to them. And thus the employees choose that leave which also requires no approval, which should also be a thing, why can employees automatically give themself unpaid leave without manager approval? So 2 changes above that I'd like implemented

  19. We are after a report which shows the leave accrual rates for each individual employee in bulk report. I know we can view each individual employee by clicking on their leave balance and looking at the "Hours of leave accrued annually by a full-time employee. However for businesses with a large number of employees, this is very time consuming, therefore we would like a bulk report we can run to view all employees accrual rates in the one report.

  20. New Invoicing has switched the position of Add from file library and Upload files. Whilst this may seem a small change, users are familiar with the order from left to right and I personally keep clicking the wrong one. Changing this order has no streamlining purpose so can it please be changed back?
