Reconciliation - Allow credit notes to show and be selected on the find & match screen
Ability to show and can select credit notes on the find & match screen.
Purpose: To save time rather than having to go in and allocate the credit note against an invoice then going back to the bank reconciliation screen.

Hi community, first off thank you for the continued interest and feedback surrounding this idea. We’re continuing to build on the bank reconciliation experience in Xero and recognise the ways this feature will help improve the efficiency, flexibility and transparency of transactions in your business. Our team have done a lot of exploration into being able to surface and match Credit Notes when reconciling your bank account in Xero, and this is now in development.
We’ll shift the idea here into ‘Working on it’ and continue to update as there’s more detail of this to share.

Hi all, should we do this ourself. Make a Multi Tenant SaaS App to handle credit notes and payments.
🧱 Architecture Overview
1. Frontend (User Interface)
Web app where users can:
Connect their Xero account via OAuth 2.0.
View credit notes and payments.
Configure matching rules (e.g., auto-apply by date, amount, or supplier).
Approve or reject suggested matches.
2. Backend (Business Logic)
Handles:
Authentication and token management.
Fetching credit notes, bills, and payments from Xero.
Applying your custom logic to match credit notes to payments.
Creating journal entries or transactions in Xero via the API.
3. Database
Stores:
User accounts and Xero tokens.
Matching rules and preferences.
Logs of all actions for audit and rollback.
4. Xero API Integration
Uses:
GET /creditnotes, GET /payments, POST /journals, etc.
OAuth 2.0 for secure, per-user access.
Webhooks (optional) to react to new credit notes or payments in real time.
🔐 Multi-Tenant Considerations
Each user’s data is isolated and secured.
Tokens are stored encrypted.
Role-based access control (e.g., admin vs. viewer).
Optional: allow users to invite team members. -

They're VERY busy working on SUPER important updates... like changing the appearance of the invoicing UI for absolutely ZERO benefit to actual bookkeepers... why would they prioritize functionality over making our screens work against us and each tiny function just a little bit slower to make our days in the office more complicated and less efficient?
12 years isn't that long! Can't you see this vital change has been logged as "in development"? That means they're working on it and we shall just have to wait a little longer, fingers crossed before we're all retired.

It’s been over three years now, from 2022 to 2025, and there’s still no meaningful progress. These are basic, fundamental bookkeeping processes that should have been prioritised long ago. Instead, development efforts seem to be focused on UI tweaks, while the core accounting and compliance functionality continues to lag behind.

When a customer payment or supplier payment are in the bank reconciliation, you can only allocate invoices. However if the payment has a credit invoice it would be good to be able to allocate them then, rather than going into the customer and supplier account and allocating. When there are lots of credit invoices this is a very long process.

Xero when are you going to update us?
It's been over a year and now I've been notified of another price increase when you can't even offer this basic functionality! It's so incredibly infuriating having to match so many credit notes each month. You're not saving me time, you're costing me time!

Could you please allow credit notes to apply to the payment instead of to an invoice (payable). Also if the credit notes are listed on the batch payment print out it would be easier to match invoices paid, credits claimed for the file clerk - ie each invoice/credit note would be listed on the pay stub

When reconciling the bank accounts on the “ match item” screen show all invoices and credit notes for that supplier so they can be allocated to the same payment. Instead of having to go back into the account, find the credit note and allocate it before a payment can be made. The same way you can on Sage.

Also want batch credit note payments to customers. Same as how we pay accounts payable.

Can you please update your software to include matching credit notes when matching invoices to bank payments. Having to allocate the credit notes separately is so time consuming and annoying. Please, please update this. This is one thing Sage does so well.

It would be helpful if you could batch allocate credit notes to a bank payment or have the option to select credit notes when matching off payments as having to manually add payments to credit notes is very time consuming.

When reconciling a bank account using find and match, to be able to match the receipt of money to a Supplier where this is the payment from a supplier to pay off a credit note issued by that supplier or the refund of an over payment made to that supplier. Currently creating the receipt against the credit note individually is very time consuming.

As some businesses are paid in lumpsum via another payment system. It would make sense that there should be a setting adjustment/amendment in the event that both invoices and credit notes need to be matched towards the lump sum amount.

Unlikely to be any update on this whilst they are all far too busy ruining what was a perfectly good invoicing module and replacing it with NEW INVOICING.
Sadly once that's done you know they are coming to ruin the purchase ledger side of it ..... be careful what you wish for!
