History & Notes - Xero Mail - Log of mail sent via Xero
Have a log or register of all emails sent from a Xero organisation with detail of content, recipients, senders, and date of send.
Purpose: Validity when being queried by customers about a transaction, verifying payments and collecting debtor payments. Proof of interaction.

Hey community, we get the vying interest in this and how having a copy of the invoice sent within Xero would help when following up with debtors, or in disputes.
As many of you have pointed out, the best option that exists within Xero for now is to use the 'send me a copy' checkbox. This gives you a solid record in your own email inbox to fall back on. While it takes a little setting up you could create a filter in your email inbox to route these to a specific folder for reference.
Another smart tip as shared here could be setting up a dedicated email address to file these automatically, and keep things organised.
Though not a solve for the body of the email that's being asked here, a change that we recently made for invoices is that all sent invoices will include the primary To: email address in History & Notes, including where an invoice is resent. Adding the ability to quickly confirm who an email was sent to.
We know a full log of the email body is the ultimate goal for many of you, however we want to be transparent that this is not something we have planned in the next 12 months, however we're watching this idea sharply and will share any new updates right here if anything changes.

A summary page of outgoing correspondence via Xero - for example, statements going to a particular contact, any automatic invoice reminders that have gone out etc. Purely anything that is outgoing from Xero to be easily viewed so if a customer calls, you can quickly pinpoint what has triggered their enquiry.

omg..... i don't know if it sent, as its not the first email sent via this invoice, so it doesn't register the second and extra emails sent to this customer. and like others i read now, i have lost all content of how the email read!

Mindboggling, I now have a massive amount of information I sent to a customer just vanish into the ether, I assumed there would be a record of sent emails because the contrary seems like an impossible feature to omit.
the send me a copy feature is just a mess of a solution that I will have to use, given the importance of the customer interactions please default this to an on state and give a warning that the body of emails sent with invoices gets treated as trash.

Do we have any update on this we should not be having to send these to our email to send down, this still doesn't prove its got to the recipient?

If I understand correctly, this feature was first requested 12 years ago in 2013 and again in 2022. It seems incomprehensible that Xero would still not enable users to view emails they have sent.
It is high time you make this available - just read the comments below from 2025 alone! -

Thank you Sharon . I will do in future - i was trying to avoid a huge folder that ill need to be edited. And of course an item can be deleted as complete and a problem arise months down the line.

A supplier queried that I had sent two purchase orders, when in fact I had sent one, then a revision of it (and I always mark it as revised) . The notes confirm that it had been sent (but no details) . I have now asked the supplier to go through their emails from 7 months ago as they issues two bills.

This is ridiculous, I cannot retrieve a comment made in the email body about a cost for something outside of the attached quote, now I have to ask my client what price I quoted after they have agreed the quote.
Get this sorted, everybody needs to be able to have the ability to view a previously sent email if they need to.

We add supporting detail to every bill sent in and it would be helpful for the bookkeeper to see this with the attachment so they have all the information they need

Please add in a filter or a new section to the 'History and notes' showing the emails sent from the system. Sometimes we customise the email content when chasing payments and I want better visibility of what's been said to customers. This would also highlight the amount of activity and time spent on accounts receivable.

It seems crazy that we can't check emails sent. I had no idea we wouldn't be able to and wouldn't have started emailing quotes via Xero had I known this.

Honestly I have been religiously selecting send me a copy but for once I forgot to client send a copy and i am staggered that i cannot retrieve this email. This has to be a critical update. What are you waiting for??????
