  1. Xero told us Global Pay Run would be retired from 23 July and advised us to download Pay Run data but did not tell us to pay employees before that date. I approved a pay run a few days ago, intending to pay it at end of month in the Bills to Pay module, which has not been retired. But now those bills and deductions in Bills Payable are greyed out and inaccessible. Xero did not tell us about this. Please let us pay off those bills in Bills Payable otherwise they will be stuck there indefinitely.

Thanks for reaching out and sharing your concerns regarding Global Pay Run payments, Jonathan. Understand that you're looking for guidance on how to manage the pay run bills you approved prior to Global Pay Run becoming read-only.

For any Pay Run bills that were not marked as paid by July 23rd, you can post manual journals to adjust the balance of non-system relevant accounts. While it's not possible to post manual journals directly to system accounts like Accounts Payable, there are other ways to make these adjustments. We have a helpful article on Xero Central that outlines the steps to do this.

  2. Where payslips are emailed to an email address that is invalid and returns a kick back message.
Xero to forward kick back message or advise Payroll ID that sent emails out of a problem for an employee's email so that invalid email can be investigated and amended.

We also use Xero Me for employees however not everyone sets this up on receipt of invite and just prefer to receive email advices.

  3. When running reports to review Staff costs & looking into account transactions, Payroll journals provide descriptions that don't give correct/clear context. For example, under Employers Pension Contributions, the description provided is "Benefits" rather than Employers Pension Contributions. Or under Employment Costs it just says Earnings rather than "Gross Earnings". A final example was when an employee took unpaid leave, however the only description provided was "Deductions". This does not reflect clear context. It would be helpful if Xero had the means to be able to customise these descriptions or maybe have the option to ask Payroll/Reports to mirror the descriptions…

Hi Sophie ✨, thanks for your feedback on this idea. We're well aware how the generic descriptions in pay run journals can be confusing when they don't align with your specific payroll settings. We understand that you've been using workarounds like exporting reports to Excel and manually editing them to get the detail you need. While this can help in the short term, we recognize it is a time-consuming process that shouldn't be necessary. We've shared your valuable feedback with our product team. As with all new features, we have to balance this against other development priorities. We can't promise a specific timeline, but the more support an idea gets, the higher it climbs on our list. Please continue to vote and comment on this and similar ideas to show your support. We'll be sure to provide another update when we can✨

  4. It will be great to have meaningful payroll reports. E.g., the leave overview is a blunt tool, as it shows all employees, including those who have left. The same applies to the Auto Enrolment Summary Report - it is a basic on-screen report with no filters, etc. And, yes, includes historical employees. Where there are filters, these overlook some choices which should be present. E.g., wage type, which payroll runs are they- monthly, quarterly, weekly, etc

  5. When adding second line items in super. If (I did this so I know it is easy) you add a second SGC line for a fixed amount as well as a statutory amount it would be great if xero asked a warning question 'are you sure you want to add a second SGC contribution. OR if just isn't allowed. My understanding is a employer additional contribution would be the correct line item if employer and salary sacrificing if employee (pre or post tax). This will avoid an accidental overpayment of SGC.

  6. Right now there’s no functionality in Xero to record credit card account in an employees records, by adding this feature would allow payroll to be paid directly to a credit card.

Hi everyone, appreciate your interest in a shared calendar for Payroll in NZ. With payroll products being worked on quite separately we have split this idea out from this one, so we can track the interest for this in each product and keep you updated.

Being open this isn't something we have immediate plans for in NZ payroll, however we're keen to continue to track the interest and can keep you updated if there are any developments.

  8. It would be helpful to edit the layout of the Overview payroll dashboard, as you can do with the normal Xero accounting dashboard.

I can't understand why the 'pay employees' widget is at the bottom, surely running payroll is the primary function so why isn't that at the top? Not all business use the leave and timesheet function, they should be considered secondary.

  9. As an approver of timesheets i see there are couple of issues which can make the process water tight.

1.Ability to see approved time sheets (siimilar to leaves). Currently once the timesheet is approved for an individual there is no way to check what has been approved

2.Ability to run a report for all employees that have been approved or alternatively ability to allow access to certain reports to the approver.

  10. When you view a payrun, the breakdown at the top shows: Earnings, Taxes, Superannuation, Net Pay, Status & Payment Date.
When you view the details for any of the employees there is an additional field for Reimbursements at the top of the screen.
It would be great if the reimbursements total was also shown on the pay runs summary screen to quickly review and identify the total.
Especially when the clients run their own payroll and we are just reconciling.

  11. Xero needs to have an option in either Income Type or Tax Scale for employees on the Seasonal Worker Program, ie PALM Workers, so that the system automatically taxes them at the flat rate of 15%.

At the moment I have approx 33 such employees and I must adjust their tax in every single payrun.

The ATO have a specific code (W > P) that should be used for these workers under STP Phase 2 reporting. I refer you to the table at the following website page: https://www.ato.gov.au/Business/Single-Touch-Payroll/In-detail/Single-Touch-Payroll-Phase-2-employer-reporting-guidelines/?page=5#Tax_treatment

  12. It would assist us if the Leave Accrued Report could also show the employee's start date. Long Service Leave is only applicable to staff from the 5 or 10 year mark for us in NSW but to ascertain whether staff are eligible for it is requiring external spreadsheets that have to be manually adjusted each month. Xero already has the functionality to enable this so it can't be hard to action.

  13. Australian Payroll - sick leave on payslip - want to show balance without accrual in the payrun, and to be able to do this after employment has commenced. Currently this is only possible if you allocate the full balance to employee's at the start of the employment. Historically this has not been done and it needs to be changed to avoid staff confusion and having to reset the leave each payrun.

Hi team, being open we don't have any plans around this atm. Currently to do this you would set the leave type calculation to 'No calculation required'. This will allow you to set the balance and have any accrual column showing.

  14. figures can be entered into both fields at the same time. It should not be this way. There is not enough explanation as to how the salary sacrifice options work

Thanks for raising this idea about the setup of Salary Sacrifice in NZ Payroll.

We can certainly see how having both the salary sacrifice and employer contribution fields available for input at the same time could be confusing and potentially lead to errors. Your feedback on making the process and its rules clearer is valuable.

We're grateful for your engagement and letting us know the changes that matter to you. We've reviewed your idea and now it can gain support from other community members. 16. You should be able to edit any payrun that hasn't been 'filed' regardless if it was the last one or not. I enter several unscheduled payruns and I've noticed an error in one but I can't fix it because it wasn't the last payrun posted. The "work-around" Xero recommends is to File it and then re-post a counter fix. This feels redundant and unnessary extra work. Essentially its saying I can post an inverse of the original to cancel it out which isn't a tidy way of doing work.

Hi Jamie, just coming back across your idea here. In Xero Payroll as of right now if you've a posted pay run that you need to make adjustments to, you can revert this to draft and make the required changes.

The only time we wouldn't recommend doing this is if the pay run's been filed with the ATO.

Once it's been filed we'd recommend using unscheduled pay runs to make any changes. This is because reverting a filed pay run to draft will cause issues in the reporting to the ATO.

  17. If there's an error in a payrun that causes STP filing to fail, that payrun shows up in STP finalisation for that financial year as something to fix. Given that filing STP just gives the YTD totals to the ATO, this means that even if I've fixed what caused the error, by doing a correcting payrun (as per Xero instructions), I will still be told that it needs fixing when running the STP finalisation for the EOFY. As will my client, who has now attempted to file the same payrun six times and is getting rather stressed about it, even…

  20. Have an option in settings to only allow employees to access their payslip and not create. Our employees enter their timesheets into a job management system which is synced to xero for actual payroll and timesheets however on occasion they accidentally create a payslip in xero me and it creates a heap of issues down stream
