New invoicing - Attaching supplier invoices
On Classic, we could attach supplier & subcontractor invoices to our invoice when we sent it to clients. We haven't been able to do this since moving to the new invoices. We've reached out to Xero regarding this and the help we have been given has been generic and not at all related to the problem we've sent screenshots about. Very disappointing. 2 votesHi Glen, sorry to hear you've not had the best experience recently when seeking help. Generally our team are happy to arrange a call if requested and do offer screen meets to troubleshoot issues.
We know some customers were finding the upload files option a little tricky in new invoicing and recently we released a enhancement that now allows you to drag & drop files anywhere on the screen (rather than directly onto the Files attachment window). I believe this should resolve the issue you've noted, and would recommend giving it a try but please do respond to my update if you're still having any difficulty with this.

online payments in invoicing
Would be great to be able to turn off online payments for specific customers.
Would also be good to be able to choose which online payment methods we accept or dont accept rather than currently having to take them all or nothing.2 votesHi Joe, thanks for raising this here. We've made some updates to how you manage online payments so this can now be done on an invoice by invoice basis.
If you go to your Payment service settings you'll be able to set up all the payment services you'd like to offer, then on the individual invoice you select Set up online payments so you can choose those that you are providing on that invoice.

New Invoicing - Show stock level when adding a Tracked inventory item
When typing a quote, available stock used to show (when you typed a figure in the "quantity" field (if available stock was less than required the open window would turn red) but it doesn't now. It would be great if this feature were also added to invoices (and quotations as before) so that one didn't need to check stock on a different page for each item being invoiced. I note that it shows when typing a credit note, so it must be possible!

Invoicing - Select default for 'Approve' Button e.g not 'Approve & Email
Can there be a system setting which controls the default option on Invoices for the Approve button.
It is currently Approve & Email and we would like to have the default as just Approve.If it was a system setting companies could chose best option for them.
411 votesHi community, we’ve just released some new keyboard shortcuts to new invoicing, that cut down the number of mouse clicks and help you perform actions on your invoice with some simple keyboard entry options.
There’s a range of different shortcuts that you can explore, and in particular a few that I wanted to call out for ‘Approve’ options that I know will be of most interest to you, here;
- Approve (Ctrl-Alt-A OR Cmd-Opt-A on a Mac)
- Approve & add another (Ctrl-Alt-O OR Cmd-Opt-O on a Mac)
- Approve & print PDF (Ctrl-Alt-R OR Cmd-Opt-R on a Mac)
- Approve & email / send eInvoice (Ctrl-Alt-E OR Cmd-Opt-E on a Mac)
While you get used to the combinations of shortcuts our product team have added small prompts to highlight these in the product, and if you’d like to view the full list of options you can see them all on Xero Central.

History needs to show when an invoice has been copied and which invoice it has been copied from and to.

New Invoicing - Update total line amount when unit price is deleted
at the moment in the new invoicing system, if a price is deleted from a line and not replaced with 0.00 it is not automatically zero'd out so the the line total remains what it was before the price was removed. should automatically update as soon as the number is removed.

Invoicing - Choose which columns to show on the Invoices screens
It would be great to be able to choose which headings are visible on the default invoices view. There are some customisable reports which allow you to run a report with your preferred view. But for others such as repeating invoices there are no options.
Our company has different teams, so for these it would be good to customise the column headers, to show the contact groups the client belongs to. This would allow us to forecast what upcoming invoices are due for each team, so that they can allocate resources accordingly.

Invoicing - Add a QR Code to view the invoice online
QR Code on Invoice that goes to same web location as the 'View your Bill Online' link on Invoices.
Currently, a Xero Invoice can have a link displayed for easy/direct payment by customer.
I would like to see the option to include a QR Code, embeded within the EMAIL sent to customers, and on the PDF attached to the Email, that translates to the same link, allowing for easy payment of printed invoices at time of delivery.
Great for 1st time customers, Pay on Delivery or COD customers.

As a business owner wholly committed to providing exceptional customer service, I've encountered significant issues with the new email invoice template that I believe warrant urgent attention from the Product Team.
Focus on Experience, Not Payments: Our aim is to immerse our clients in a seamless service experience. By prominently featuring payment details in the email, it inadvertently shifts the client's focus from the quality of service to financial transactions. Clients should have the option to review detailed financials at their discretion by accessing the invoice themselves.

We appreciate the new view may not be to everyone's liking. If you'd prefer to strip this back, you can edit your Sales invoice Email template/s to uncheck the option of 'Include action to online invoice and detail summary' as shown in my screenshot.

Invoicing - Option to highlight selected invoice lines
It would be great to see an option of being able to highlight in red or yellow a particular line on your sales invoice for the client to specifically take note of, because at the moment when I add a note for clients to see I write it in capitals but it still gets ignored. Whereas if it was highlighted they may take more notice of it.

New invoicing - Make the "Approve" button floating at the top of the screen
We have monthly invoices and we have multiple lines, sometimes 100+. With the new invoicing, the approve button is at the top of the screen and I have to scroll to the top every time I got to check the total prior to approving. Can you please make the 'approve' ribbon fixed at the top of the screen when you scroll down?

You may find using the 'Home' button on your keyboard helps to quickly navigate back to the top of page for now.

New invoicing - "Add billable expenses" not available
Previously we were able to "Add billable expenses" to a "Copy to draft invoice". However, this feature is no longer available/showing up as an option when creating the draft invoice. Instead I have to save the invoice as a draft and re-open, then I'm able to add the billable expense.
6 votesHi team, thank you for your feedback and sharing about this with us here. I can confirm our team recently released a change to fix the issue some users were experiencing like you've described here where the Add billable expenses option was not appearing.
You should now see this appear when creating an invoice for a contact that a billable expense has been assigned to. If you do continue to experience any issues with this, please do raise a case with our Xero Support team who have tools to be able to investigate and escalate with our product team if needed. Thanks

New Invoicing - Show quantity in Item drop down
You've finally forced us into the new invoicing. Lots of promises were made to fix what was broken with it. Unfortunately these promises are just as broken as the new invoicing. Here's what needs fixed:
When a new invoice comes up automatically set the focus to the name field so it's ready to receive data. Have to click on it.
Fix the date field. If I use the down arrow key it opens up the date widget But then using the left and right arrow keys should move the date off of the current date to either tomorrow…

In order for others in community to know what they're voting for and help our product teams get understanding of the specific changes our customers would like to see it's best that these are tracked separately on product ideas site. There are existing ideas for some of the points you've raised here.
Relating to your point on the date field - I'd recommend connecting with our specialists to confirm the behaviour that you're getting and the specific date field this is related to. Once you press enter or space after opening the calendar widget you should be able to use your keyboard arrow keys to navigate the calendar.

Include the option to add an attachment to a sales invoice note.
Would be helpful for credit control purposes.

Invoicing | Default Invoice Date to last entered
It would be nice when entering transactions, for the date field to remain as the last entered date, at least while staying on the transaction page. It is frustrating having to enter the date each and every time when entering transactions. I understand a lot of people are working in there, in real time, and that it is beneficial that the date is always "todays" date, however, when entering stuff for a client from the previous month, this gets annoying.

New invoicing - When sending show organisation's trading name at top of invoice
The email template has changed which accompanies the invoice to the customer. We have a legal name plus a trading as name which people know us by. Currently the legal name is showing up boldly at the top of the email which it didn't before. We would like the trading name to be in this place so as not to cause confusion to our customers, or have the ability to remove it entirely as it has the logo there displaying the correct name.

This is on our teams radar, and is something they may look into longer term however we want to be open that it's not in the current roadmap.

Reference column in the Allocate Credit to Invoice view.
Purpose: To save user's having to open the credit note to see what invoice to apply the credit to.

New invoicing - Pay now link in email
We use many xero accounts, and for two of them, when accessing the invoice link, the invoice appears first, followed by a "PayNow" card payment option in the top left corner. However, for the other two accounts, the card payment window appears first without the invoice, which causes inconvenience to customers. (Of course, there is a download option at the bottom right.) Please change the settings to make the invoice appear first.The specialist can't fix this, and the different output seems to be a xero system issue. Please fix it soon.
4 votesHi everyone, within Email Settings you can edit the email template and deselect 'Include action to online invoice and detail summary'. This will strip back the look of the email a bit but this means the pay now, or Review and pay link will stop showing and instead you can just include the link to view the online invoice for your customers.

New invoicing - Use persons name from Contact record (rather than contact name)
We would like to see customers contact person's name appearing on the invoice we send. One customer can have different people/contacts for different projects/invoices. Currently we can only pull out the PRIMARY contact's name to the invoice, which means if we would like to add a different name, we have to REMERMBER to edit customer's primary contact to a different person. It is very time consuming and easy to forget too.
Is there any ways we could simply add a contact person against each invoice instead of against each customer? It could be any extra fields we can use, even…9 votes
