    Hi everyone, we want to share that we've released a change to history for each time an invoice is sent.

    Invoice history will now show the primary recipient email whenever an invoice is sent. This includes the initial and any subsequent send of an invoice.

    We appreciate this has been a pain point for everyone that's joined in the idea here and hope this visibility improves your experience in invoicing.

    We'd like to confirm how this works;

    • This record is only applicable from here on in, there are no updates to any historical entries for sending.
    • History will show the email of the initial recipient entered in the 'To' field any emails that you include as a CC or BCC option will not be shown.

    Hey community, thanks for your continued interest and feedback. Just wanted to pop in here to share that in current state you could include the Delivery Date in the Description field for each line on the purchase order, and this will appear on the order your supplier receives.

    However, if anything changes in this space, we’ll update you on this idea!

  3. The print date that now appears at the bottom of reports is useful for some reports and circumstances, and I understand this date is now turned off for Published Reports.

    However we do not 'publish' our financial statements - we send our financial statements to clients in a practical and informative pack instead. This is a more efficient, professional and streamlined approach for us.

    Hi team, while this may be something we look to do in the future unfortunately we were not able to move along with the work the team had started exploring here.

  4. There is a significant design flaw in the new Files UI:
    1. The delete button will remove an attachment on a single click, rather than prompting a confirmation.
    2. The 'View' file button is directly next to the delete button increasing the chance of accidentally clicking delete instead. Given the point above there's no way of recovering the attachment as clicking it will instantly remove that file.

  7. Repeating Invoice: Sales Overview Screen - add a Last Updated Date to the Overview Screen

    Purpose: We use repeating invoices for the Auto Pay feature but most invoices need some form of adjustment before being sent each month. With a list of repeating invoices that goes on for pages it would be great to see the last date/time each invoice had been updated so that if you are interrupted during the monthly updating you can tell where you are up to when you come back to the Sales Overview screen, rather than needing to keep…

  8. Transactions posted after a period end affecting prior periods

    Lock dates had not been set and as a result, there has been a few entries in to the last financial year.
    How can I locate these entries?

    I have tried a transaction report, but there are no parameters that I could enter.
    Ideally.

    Example -
    Our year end is 31st August.
    I would like a report that looks for transactions entered between dates 1/4/22 - 21/9/22 that have a transaction date up to 31.8.21 (last year end)

    Hi Kellie, you might find History & notes useful for getting the insight you're after here. 

    Though it's not possible to filter by the transaction date - You can set a date range like you've mentioned to view activity that has occurred post your orgs year end and ability to filter by Item types so you just view the item types you're interested in.

  9. Set a particular contact field (e.g. account number) as a mandatory field, so that an invoice cannot be issued without that field having been added to the customer account.

We use two tracking category's depending on which country the transaction relates to, the category options are the projects in that country, if a tracking option has been added to the wrong category on an invoice and you need to remove it you can't leave the category blank, on the old invoices and other areas of Xero you have (none) under the category options which you can choose if it is to be blank but this option is not there on the new invoicing

    Hey everyone, thanks again for suggesting this. Good news – the new line item grid is live for everyone now.

    With this update, getting rid of tracking is way easier. You can just hit backspace and tab through the fields, or we've also popped in a 'No tracking' option in the dropdown. We appreciate your feedback through product ideas – it really helps!

  12. Once you close a period, pulled all the accounts and happy with the financial position, you close the period to stop posting to that period. But when you receive a old supplier invoice, which has been accrued in, Xero does not allow you to post the invoice without re-opening the period date. This means, you either reverse your accrual journal to post the older invoice, changing the financial position or manully altering the invoice date, to post it into current period.     Thanks for all the feedback and detail on your needs in the idea here. As you'll see from each others comments there are different points at which businesses would want to be automating this process. Not really a one size fits all approach. 

    As noted in recent comments, we recently made a change for new invoicing flow where (like classic) you can now choose to Send receipt from the payment confirmation that's shown once you apply a payment to an invoice. 

    At this time we don't have plans for automating this flow however we're still attuned to the idea here and will be sure to share if there are any plans made toward this in the future. 

  14. Sometimes I need to add the same tracking category to multiple lines of the invoice. CLASSIC invoice allowed me to simply paste the category in the box and that's it. NEW invoicing now requires me to CLICK after pasting which doubles the amount of time I'd need comparing to CLASSIC. Please bring that possibility back - OR, EVEN BETTER, maybe let us drag the options to apply them to cells below (like it's done in Excel).

    Hi everyone, we're delighted to announce that the new line item grid is now available to all users. This update incorporates several enhancements based on valuable customer feedback, and includes resolving your suggestion, here.

    With the new grid, you can now easily copy & paste tracking information between cells, using 'Tab' to navigate to the next cell efficiently. While the drag-and-drop functionality isn't currently available, this has been raised as a related idea, which you're welcome to support. We'll provide updates on its progress if any arise.

  15. Move the "add last items" in the invoicing screen. Half the time the Billable items button comes up first in its place, but then moves to a lower point on the screen. The problem is if you click on it before it moves to the lower point on screen or just as it does, you end up with the last invoiced items on the invoice that you don't want.

  17. At a quick count there at least three different date selectors used in Xero. This makes it clunky for users and some date selectors are functionally outdated. Examples, the date selector used in Invoices (best) vs the one used in Reports (worst) vs the one used in Leave.

    Use the same date selector(s) across the entire product. One that allows for:
    - Keyboard entry of date(s), multiple formats eg 23/08/23 as well as 23 Aug 2023 (Invoices does this)
    - Shortcuts like 'This financial year' etc - where applicable
    - Quick year jumps (unlike the date selector…

  19. Sometimes clients pays an invoice but then if a refund is issued from that invoice to the same client, in Xero there is no option to add a refund on an invoice, you can only add a payment.
    You can only add a refund on a CN but no always there is a CN available.
    When a company has multiple clients and there is a large movement of funds, refunds and payments it is very difficult to keep track of these and a suspense account has to be used and therefore be reconciled at the end of the year. Is…

    Hi Sara, along with Credit Notes, there is also facilities for Overpayment and Prepayments. Would these commonly fit the scenarios in which you're describing here where large amounts of funds are transferred and perhaps a business overpays their invoices to the business through which a refund is then issued? 

    Bein quite a tied in feature to the payments model I want to be open that we don't have any immediate plans for changing this or adding a new type of transactions that would directly add refunds to an invoice.

    Hi team, while not a 'default' option for this within Xero, you could achieve this using a Custom DOCX branding theme, with an advanced invoice template.

    With the template open in Microsoft Word, you can add the ContactPhysicalAddress merge field where you want their Delivery Address to appear.

    You can add your logo and make any other changes you'd like, before saving the file and uploading it back into your branding theme in Xero.

    You'll then want to select this custom branding theme for your invoices.
