  2. Have tax rates added to Pay Items and or a way to add employee tax rate to unscheduled pay runs so you don't have to edit tax rate when processing.

    This will ensure correct tax rate is applied to all employees every time a pay is processed, whether is a normal pay run and or unscheduled pay (bonus etc)

  3. Can we please have an automatic email notification to the subscriber when a organisation adds or removes an employee - This would be required for the purposes of updating billing when the ability to add additional employees for $4 takes place in September 2025.

  4. At present it is impossible to link a payroll item to an Asset Account in GL. This is a limitation that is wrong and should be easy to fix. It is wrong because in some cases the wages are capitalised (for instance when the resources are used in full or in part to construct capital assets). Sure, it is possible to post a journal to move costs from P&L to a Balance Sheet account but it is cumbersome and error prone. I note, a majority of competing products do not have this limitation.

    Hi community, while we appreciate you sharing in the idea here we don't have any plans for developing this capability in the global Pay run product. Instead, we'd recommend using a manual journal to record this.

  5. The problem is if you set a deduction item in payroll on Xero it doesn't give option to pick P&L nominal account, where reimbursements to employees should be coded. The only work around are journals, which is ineffective when you have clients posting payroll themselves and they need management reports each month, so you have to reanalyze and repost their payroll.

  6. When adding a new employee record, allow me to 'create new superannuation' during the process of creating their new record. Currently when adding a new employee record, I need to navigate away from the employee record to 'Settings > Payroll Settings > Superannuation' to add a new superannuation relationship. On the new employee record, when the pop up appears for superannuation, if you could add a spot to say 'Create New relationship' or something under the employee record - I'll buy you a beer.

  8. Allowing the payslips to be emailed before posting to HMRC to check for any errors would be great. We have multiple users involved in the payroll data input and there are usually one or two errors as there are many expenses claims. Being able to do this would make life so much easier for us.

    Thanks for your interest and feedback on this idea, everyone. Currently, you can View Payslips from within the draft pay run by clicking into Options > View Payslips.

    From here you could download and email the payslips from outside Xero.

    Though no plans at present, if anything changes in this space, we’ll update you on this idea.

  11. It would be useful if payslips could be scheduled to be posted to Xero Me on a date after the payroll is run. Eg you may run the payroll mid-month but want employees to be able to see their payslips on the date the payment is made at the end of the month.

  12. Can you please give the option to inactivate past employees/leavers from payroll summary when doing reports. Every employee we have ever had is coming up on the report each time.

    Also how do I set up overtime payments to stay on employee profile instead of using the drop down menu every week.

  13. REQUESTING LEAVE
    Firstly, when an employee is submitting a leave application, they are unable to adjust the number of hours they are taking when submitting this leave when the leave period is for more than one day. This is problematic for part-time employees that may work different hours on different days of their working week.

    Also, employees used to be able to see the number of hours taken but this is no longer the case - why is this?

    Hi everyone, appreciate we haven't engaged directly in this idea sooner and reading through the detail of the original post here we do want to break this down a little to provide more clarity.

    It's correct that currently it's not possible to enter a number of hours leave if the request spans more than a day. We have another idea that's gathering support around this and we'd urge those interested in this to join.

    Similarly, we have another idea based around the permission to approve or decline leave request and provide read-only access to Payroll reports that you can support, here.

    Understanding the importance around being able to see history of events in payroll, you may have noticed we've rolled out payroll history to the employee record-level and most recently you can now see a history of user activity in the Organisation, Calendars, Pay Items, Superannuation & STP Settings…

  14. Please allow payments to be made to an employee after they have left and their P45 has been generated. Sage, for example, allows you to include past employees in a pay run and tick a 'payment after leaving' box which gives the correct 0T tax code and produces the correct FPS submission for HMRC. This is a very basic part of payroll that needs to be included in this system, the option to create a new employee file in order to pay them is not complying with HMRC and is not an acceptable alternative.

  15. As with the financial side in Xero and their history and notes section, it would be very useful to be able to track who has approved leave or timesheets in Xero Payroll. We need site on which manager has approved the leave application or timesheet to mitigate any risk of the wrong people approving these.

  17. Please create a deduction for payroll that can be linked to a bank account. Currently deductions can only be managed via balance sheet and/or by adding reimbursement to enable it to be transferred via EFT. Quickbooks and some other payroll software have this ability and it makes life so much easier and clearer for the emlployee too.

  18. Xero really needs an import feature for Payroll. We don't use timesheets, so have to manually enter all the pay item information manually from a spreadsheet.

    This seems so obvious I feel like I'm missing something?

  19. When an employee has set amounts to be paid to multiple bank accounts, if there are insufficient funds to pay the amounts Xero allocates to the lowest amount not the order of the bank accounts. This means that payments like rent can be short paid. It would be good to have a flag notifying you of this and an easier way to reorganise the payments.

  20. Payroll Employee Summary Report

    Is there a way to have this report show the actual period the wages are for? Currently the report shows "for the period 17 April 2024 to 17 April 2024, which is the date the payroll is paid. BUT the period is actually for 10 April 2024 to 16 April 2024.
