  1. A number of my client are service businesses and as such all of the payroll costs should be posted either to a Cost of Sale account for Operational staff or Overhead for support staff. I can achieve this for all costs except for Employer NIC cost, which has to be manually moved. It would be beneficial if the NIC could go to an NIC GL dependent upon the type of basic pay chosen.

  2. Please can you add a fix so that you can amend someone's regular earnings with the same start date if that pay-run hasn't yet been run.

    You used to be able to do this, but recently you cant make a correction - instead you have to put the correct data on the next available date. This creates a second line on the payslip - which looks messy and clearly displays the fact you've made an error. Not something I'd choose to share.

    Hi Georgina, the salary line will only lock once it's been included in a pay run. Is it possible there is a pay run in draft? If so, you'd need to delete the draft pay run in order to edit the salary line.

    If you're having any issues with this we'd recommend raising a case through Xero Central where our specialists can investigate this with you.

  3. Add a box to payroll for an employee's preferred name, for those who don't use their legal name as their everyday contact, it doesn't need to link to ATO, so no major coding, just be there for reference when contacting the employee. I have several clients with staff that use their middle name or a different version of their first name, that they prefer when being addressed, and it being there in payroll would simplify things.

  5. Can we have an audit trail, even if similar to invoices/bills, where we can see the who, date & time of the payslips being sent out for a pay calendar?
    This helps to know the payslips have been sent out and that there is an audit trail for this.

  7. I have clients whose bookkeeper does the payroll and also processes accounts payable/receivable invoices. Currently we can't have submit/draft only invoice access AND payroll access. This means that if they want to do payroll, they also get access to approval of invoices. Can we please create a user role where draft/payroll access is combined?

  9. For employees who use Xero My Payroll, if you are a Payroll Admin user, you can grant employees authority to approve leave. The option for Timesheet approval should also be there, it is available in other countries but not NZ.

  10. You should allow current subscription holders the ability to create reports on all of their data. At the moment if you stop employee staff and therefore downgrade your subscription, XERO removes all payroll reports. So when you need to print a report you cannot without changing your subscription to include payroll again, even they you don't need to pay employees. It costs you a 30 day subscription to print one report. This is a big fault and something I can do in MYOB. Please fix this madness.

  11. In the Classic Invoicing, we could set a negative item amount which was useful to make it clear to clients that we had refunded something. It also corrected the stock levels in the inventory. In new Invoicing, you can set a negative financial amount but you are not allowed negative quantities, as such it is not clear and it messes up the stock inventory levels. You can do it via credit notes but this requires more things to be issued to clients etc.

  12. We currently need to manually enter additions such as tips to several employees which is time consuming. It would be nice to enter all the tips with one CSV import into Xero.

    Hi Charlotte, sorry we haven't responded to your idea sooner. Appreciate your screenshot and raising this with us. I'd recommend this is something our Xero Support team take a deeper look into with you. If you can raise a case with them through Xero Central they have tools to be able to escalate this with our product team if not working as it should.

  14. Ability to send and generate online commencement forms from Xero Payroll.

    Purpose: Employees can complete and submit their own online commencement forms, rather than having to ask the employers to submit it.

    Hi everyone, we're looking into this idea as part of research our teams are doing on managing employees, particularly looking at our customer's experiences onboarding new hires and setting them up in payroll.

    Knowing the interest from our community in this here, we wanted to share an opportunity to get involved.

  15. Overtime needs to be recorded on Timesheets and be included in pay runs for employees on a fixed annual salary.

    We've been using Xero for 5+ years. It's brilliant in so many ways, and this basic functionality is missing, or rather, I expect is poorly coded.

    We have a number of employees on a fixed, 5 day per week, annual salary, which is divided by 12 to generate their pay every month. However, it's not uncommon for them to work overtime: additional hours here and there and sometimes whole extra days.

  17. I cannot be the only Global Platform user that has now been waiting for basic payroll feature improvements in the Global version for over 4 years now.

    Critical features that are not available include:
    - Ability to add logo and YTD balances on pay slips
    - Template payroll emails when sending pay slips (have to type it every time now)
    - Timesheet option that syncs / built into payroll. Or at minimum an import option.
    - Holiday / sick pay / leave tracking
    - Basic employee portal for them to view pay slips and leave balances, and basic core…

    To be open and upfront we don't have direct plans for making changes within the Pay Run feature in the foreseeable future.

    You may like to look into connected apps for a payroll solution that could suit your business.

    We'll be sure to let you know if there's any change around this.

  18. I have been in dispute with HMRC over an amended FPS submission. Having the employee and employer NI contributions broken down would have been a great help to me.

  19. It will be great to have meaningful payroll reports. E.g., the leave overview is a blunt tool, as it shows all employees, including those who have left. The same applies to the Auto Enrolment Summary Report - it is a basic on-screen report with no filters, etc. And, yes, includes historical employees. Where there are filters, these overlook some choices which should be present. E.g., wage type, which payroll runs are they- monthly, quarterly, weekly, etc

  20. Whether or not you agree that emailing payslips should be considered by employers as a mandatory procedure once the payrun is logged, there are some basic improvements that should be adopted regardless of your opinion. If payslips have already been sent the the first improvement is to prompt the user that payslips have already been emailed if a user revisits the pay-run options window and clicks on email payslips. If the pay run has already been posted, the second improvement is to still provide access to an individual's payslip to record a message before emailing.
