Expenses | Ability to copy an existing expense
Expenses - Clone or Copy an Existing Expense
My team have asked if we can make a 'copy to new Expense feature' from an existing Expense. Most of the expenses they enter are similar and just have a different amount and different receipt image. It would save them a lot of time if they could clone an existing Expense. Thank you.
12 votesHi team, it's possible to Duplicate an expense receipt within Xero Me mobile app. 😊
Your employee can open a Submitted or Approved receipt, select options and they'll see the ability to 'Duplicate'. Alternatively, for a complete Claim simply opening the receipt and scrolling down they should see the option to Duplicate.
In the draft receipt they'll be able to change whatever details necessary before submitting for approval.

Bank Feeds - In-app alerts for current and historic outages
If Xero or a partner organisation should encounter issues which may lead to data integrity issues, we should receive an email alert or some kind of notification.
e.g. issues with Bank Feeds whereby there are duplicate or missing transactions. This has occurred a few times and we have only discovered, retrospectively, about the issue.We don't use Xero each day and certainly don't visit the Status page every day, such issues may well not come to light... by the time we visit the Status page a problem is quite likely to have been resolved and the status shows as OK,…
9 votesHey team 👋 We're thrilled to announce a change that we've made that addresses your idea here. We've added notices for bank feed disruptions directly on the Bank Accounts widget on your Xero Dashboard!
If there's a known issue, we'll tell you about it right then and there, allowing you to plan your day accordingly and know when to be extra vigilant with your reconciliation. We're also considering expanding this feature to include a wider range of real-time disruption alerts in the future.
We thank everyone who contributed to this idea and shared your experiences. Your feedback is what drives improvements like this. 🙂

Balance sheet - dollar value variance on reports
Ability to show a variance column as a dollar value on a balance sheet report to show changes over the year and make it easier when inputting this data into another system for preparation of financial reports.

AU Payroll - Add Payroll as optional extra for starter plan
PAYROLL AS AN ADD-ON IN AUSTRALIA
Please allow payroll as an add on in Australia. The very basic plan is enough for most small businesses and sole traders, but the jump in price just to add one apprentice is prohibitive. I feel small businesses and tradies are not catered for well. We often don't need all the bells and whistles, but just something basic. To pay my apprentice via Xero will cost me an extra $360/year which is ridiculous.

Reporting - Add a column for contacts' phone numbers
I would like to be able to run a report that simply has overdue invoices, name, phone number, email. Ideally sorted by sales. Similar to the list I get when I am doing Statements but with a phone number in it.
4 votesHi team, apologies we've not updated the idea here sooner. With the Aged Receivables Summary report you can add a column for phone number, and you'll also find a common format from the left panel called 'customer credit limits' which show a list of limits and available credit by customer.

Inventory - Bulk update/import stock quantities
Ability to have bulk updates and import stock quantities into Xero.
Purpose: To save users time from having to adjust/update inventory one by one.
58 votesMe again! Here to share that bulk adjustments are now available in organisations. 😊
Save yourself time after a stock take by creating, reviewing and submitting your inventory adjustments in bulk.
From Product and Services page, just select your items, then next to 'Create item' click the drop down and select Create adjustment. From here, you can enter the count of each item on the page and Xero will automatically calculate the difference. Alternatively, you can export enter your data and then import to create a bulk adjustment.
You'll then be asked to review, before submitting the bulk adjustment.
To compare or view previous adjustments just switch across to the Adjustment History page.

New Bank Reconciliation report - Include note for foreign currency exchange
Exchange rate on bank reconciliation report
For foreign currency bank accounts, the old bank reconciliation report used to include a note stating that the exchange rate per xe.com that was used to translate the bank balance to the home currency at the report date. This was very useful information to include, as it confirmed the rate and the source of where that rate was obtained. This is not included on the new format bank reconciliation report pack. Bills to pay view - Ability to customise which columns are shown
This is NOT an idea, more of feedback for the new layout in Purchases/Bill section.
The new layout is terrible!!
3 votesHi team, a while on since this idea was initially raised we have made more improvements to the bills list view. You'll find you can now choose which columns are shown in the table, as well as choose where in the table these sit.

Invoices - Payment terms to default to customers existing payment terms when the issue date is changed
When you create an invoice the payment terms default to what is set for each customer (ie. 45 days from end of month, 60 days etc) however if you then change the issue date of the invoice, it defaults back to 30 days for every client regardless of their terms. We are looking for it to caclulate to each clients correct terms whenever the invoice date is changed
3 votesHi team, with some recent changes we made to the date picker in new invoicing you should find this is now working correctly for you. When creating a new invoice the default due date is triggered by the invoice settings, or where set for an individual contact this'll be the date used, also as noted in my update here - now if you update the issue date after a due dates entered, it does not automatically update the due date when you make issue date changes.
If you're still finding any discrepancies in what you're expecting I'd recommend raising a case with our specialists at Xero Support so we can get more detail and confirm the behaviour you're getting.

Invoices - Option to bulk upload line items
Ability to upload invoice lines into sales invoices (like journal upload) When you have to produce large multi line sales invoices the ability to upload from an excel file would be a huge timesaver instead of having to enter each line individually.
2 votesHi team, as noted earlier - You can import invoices with a CSV file. If you'd like to add multiple lines for the same invoice you just need to use the same invoice number for each row of the file. See our help and tips on the formatting of the file. 😊

Reports - Add custom Watermarks
Would be nice to add multiple permanent Custom Watermarks to your reports (i.e. one that says "For Internal Management Purposes Only" or something similar).
2 votesHi team, thanks for sharing with us here. Custom Watermarks are available for Practices when using Export > Styled PDF.
You'll see a Watermark option with a few pre-selections or the ability to add a Custom watermark where you can enter the text you want including; letters, numbers, common symbols and punctuation marks.

Reports - Delete custom reports
We need the ability to delete a custom report. Many times a custom report is necessary for a period of time then no longer needed. I see no way to delete it. That would be VERY helpful.
2 votesHi Suzette and Tristan, this is already possible 🙂. A user with the Advisor role in an organisation can select to delete a Custom, Drafts, Published or Archived report from the relevant tab in the Report Centre.

Xero Mobile app - Ability to Delete/void invoices
Need to be able to void/delete invoices on mobile app. (Not have to do it via xero on computer)

It is easier those for admin employees who work sitting at the office.

AU Payroll - Remove the letter "t" from Sept in the month field
Remove the letter "t" from Sept in the month field as all other months are only 3 characters long
1 voteThanks for your idea here, Rolf. Can't quite confirm the exact date this changed but you should now find the abbreviation for September in Xero Payroll has been changed to the 3 character long version 'Sep'.
If there is a specific place you're still seeing 'Sept' referenced please do let us know here and I can follow this up with our product team.

AU Payroll - Access to Employee YTD Summary
It would be great if you could download the Employee-year-to-date preview report after payroll finalisation in Australia.
Currently, this report can only be downloaded as part of the finalisation process not after. After finalising payroll you can only download a CSV file. We missed a transaction when reconciling that was in column BY - we spent hours trying to reconcile a payroll finalisation that could have been easily checked with the Employee year-to-date preview report which is all on one page.1 voteYou can now download the STP Year-to-Date Summary report for a specific employee after STP finalisation, Lisa. 😊
- From the Payroll menu select 'Single Touch Payroll'
- Click the 'Tax year' drop box in the top right > Select the required tax year
- Go into the Finalisation tab > Click 'View report'
- Select the required employee/s > Click the 'Export' button to download the report

AU Payroll - Detailed pay run journal report
A detailed pay run journal report would be much more useful than the current summary version. It is especially unhelpful that selecting the entry in an expense account just takes you to the pay run - it doesn't show you what is coded to which expense account. With many employees this can take a long time to find errors or to manually journal multiple costings

VAT201 - Export return to PDF
It would be great to have the ability to Export the VAT 201 to PDF, or the Summarised version to Excel.

Bills - Auto-populate fields when Files is used to create the bill
A number of bills are received via supplier portals rather than by email. The simplest entry point into Xero is therefore to drag and drop the pdf into the "Files" area of Xero and then create the bill. However using this method doesn't auto-populate any of the information for the draft bill like when using the email to Xero method.
I'm sure all the functionality is there for this suggestion : It would be great if files could be dropped into a specific "Bills" folder from which then Xero a) automatically created draft bills and b) auto-populated fields on these…
27 votesHi team, sorry it took us a while to round back to this idea! I am pleased to confirm that Upload bill is now available to all organisations which will automatically populate some fields of your bill based on what it can extract from your uploaded file.
More recently we have made this feature more prominent by uplifting in the New bill menu 😊
Appreciate there are some users in this idea that would like a Contact defaults to be applied to bills created through this flow and we have a separate idea you can join around this for any updates. Thanks!
