Repeating Invoices - Use updated inventory Unit Prices on repeating invoice templates
When you update the inventory selling price of an item you expect that this is reflected when a repeated invoice is generated. This is not currently the case. The price is ONLY updated when you edit the repeated invoice. Please have an option box on the repeated invoice that allows inventory price updates on generation. Currently waste hours and hours and make mistakes every time an inventory item changes price. Logged support cases about this for years but trying here now. Huge time saver.

Stripe - Pass full fee amount to customer
For volume based businesses, we lose money (30c per transaction) on the stripe fee we pay vs what we can pass onto the customer (because there's no option currently to just pass on the full fee, just a %). That % can't legally be higher than what we are charged, and we can't add the 30c fee to the % anywhere in settings. When we're processing 1,000 transactions per month, we lose $300 to fees. For a small business, this isn't justifiable. Most small businesses that have high volumes are low cost, so they rely on volume of sales to make profits.
Simply adding the 30c line item to invoices is also not an option as again, for a volume based business, it's too onerous and time consuming and we'd spend more in wages doing that than the amount recovered.
We need to able to pass on the full cost to the customer - please make this setting available or change the fee structure to exclude an additional cents component and just keep it to a flat %.

AU Payroll - Auto amend ABA date for back dated payroll
auto amend the ABA date to the current date for back dated payrolls
6 votesHi community, appreciate your sharing in community here. Atm if you're wanting to change the payment date for an unscheduled pay run, you can edit the payment date while the pay run is in draft status. We don't have any plans for automating this.

Hubdoc - Tags Should be Visible in Xero
We tag documents for organisation in Hubdoc, but have no visibility of these in Xero, which makes no sense. These don't need to be editable, but it would make sense that it showed what tags were on an invoice. Even if this was detailed in the history of the invoice. This would be a massive time-saver!
2 votesThanks for your idea on making Hubdoc tags visible in Xero, Natascha. We can definitely see how having that visibility on an invoice would be a massive time-saver.
We're grateful for your engagement and for letting us know the changes that matter to you.
We've reviewed your idea and now it can gain support from other community members. Along with votes, others can now comment to share additional detail about how your idea could improve their experience with Xero.🙂

Projects - Display potential project margin and variance
To display the potential project margin % and variance from expected invoice and costs as baseline to compare with actual performance. OR allow the project report to be customised to add calculated fields. So staff can instantly see the potential of the project, and look to adjust if necessary before sending to quote or invoice.

New invoicing - Retain formatting and special characters in Contact 'To' field
It's good to see you have extended the period before removing classic invoicing because I still need to revert to classic for certain features that are missing from the new system, namely:
- The ability to copy invoices to Bills and PO's - this is an important feature that I use regularly
- Send invoices via Xero network - again this is a feature that has been useful especially for invoicing between subsidiaries.
- Save and continue feature, I don't like the auto save feature because it continues to update the history and notes while I am still adding details to the invoice and is adding excessive notes that are unnecessary.
- In the email feature it adds the word "amp" when the symbol & is used in a contact name - this never happened with Classic invoicing.
In short there is nothing in the "new" invoicing system that I found to have made this process all worthwhile, it has been nothing short of frustrating and brings to mind the old adage: "if it ain't broke don't fix it!!"

6 votesAppreciate your feedback here, Helen. We already have existing idea that we've added your vote to for the first 3 points you've shared. You'll receive any updates of progress for these separately. I'll just adjust the title for your idea here to reflect your last point around the formatting of a contact name. We'll let you know if there is any change planned for this, here.

Invoice Reminders - Ability to send over due reminders from the Sales Overview Invoices page
Posting this again as admin totally missed the whole point in their response and gas lit the idea then closed the comments off like they had done something amazing.
Replying to the admin response:
Yes. Of course I am aware you can send automatic reminders and that is great if everyone is paying through a payment system and is automatically captured. Yet for businesses like mine where 99% of people are small businesses and pay by bank transfer, one must still manually go and consolidate payments. So automatically sending out reminders is redundant if you have to manually check everything anyway and no, as a small business, I can only reconcile when I have time. I don'[t have someone checking xero 5 days a week. This should be pretty obvious and the condescending response by admin shows how out of touch xero is with business needs.Original request:
Please set up an option on the invoice page to send over due reminders. It is very cumbersome and time consuming being required to open the invoice
click email
click edit
Click the correct email template
click send
find the tiny box that says sent (make this bigger and green)A more efficient method is to have a column on the invoice page with a heading that says "send over due reminder" with a tick box next to each invoice.
We can then tick all the over due invoices, it will automatically populate the over due email. Have an icon at the bottom that says send and wallah, we are done.
Just cut down a 5 minute task to 5 seconds. Times that by 50 or more individual over due emails and we have saved an hour.I don't know, but this kind of stuff seems obviously logical. As a new user to xero, it is like stepping back into the 20th Century accounting.
Stream line, simplify and reduce the amount of actions as much as possible.

We understand how time-consuming it is to re-send each invoice individually, and we appreciate you sharing your idea again on how this feature would help you get paid faster. Our product team is currently reviewing this idea, and we'll keep you updated on its progress. We're always looking for ways to improve cash flow management in Xero and appreciate your patience.

Projects - Invoicing time spent with fixed price tasks
We use the project and task options for all our projects.
Each of our tasks within individual project folders have fixed prices. These fixed prices are often of a substantial amount, with projects scheduled to run up to and at times over a year.
We invoice each task/project for time spent each month till the project is completed.
I would like to have the option to invoice against time spent at the end of each month on each fixed price tasks within each project.
This is currently proving to be a nightmare with options for invoicing time spent only being available on hourly rate tasks. We use the project and task options for all our projects.

Being open we don't have any planned changes for your idea here, however it'd be good to get a sense of interest from others in community that'd like to price projects in this manner.
We'll keep an eye on this here, and share if there are any updates.

If you've already integrated this with your organisation and looking for further capabilities to what it offers we recommend reaching out to their support directly (listed under the additional info section of the Xero app store).
As they designed and built the integration they can confirm what's possible and would need to make decisions of if this is something they'd be willing to expand their integration for.

NZ GST - Export file to include "GST Return" in naming convention
The new modernised GST returns in Xero no longer export the report name in the exported file name. The document only has the client name and date, not the report type anymore. Should say "XXXX Ltd 30 11 2024 GST Return", whereas it currently only says XXXX Ltd 30 11 2024". Inefficient to have to manually add the words "GST Return" for each report produced in Blue Xero when sending multiple documents to clients. Is there a way to get it back? Within the document itself it says the report type, but would be preferred to be included in the file name too, when exporting a lot of documents

NZ GST - Sort by multiple columns
NZ GST returns - add multiple sorting
Currently, I can only sort by one column. When I click on Account, the transactions are sorted by account name. But when I then click on Contact, the transactions are sorted by contact name, and the account names become unordered. It would be great if I could sort by multiple columns. For example, first by account, then by contact.1 voteThanks for letting us know about how this could be improved for you.

New Invoicing | Contact - Change default selection on tab from "add new"
Currently trying to use the new invoicing, but I'll start typing a contact name then tab across before seeing the contact pop up, since I use this contact daily. Under the old invoicing, it would just find the contact once I hit tab. Under the new invoicing, a new contact is created. And since the invoice is saved immediately, this new contact is also saved, so once I finish with the invoice, I then need to go and archive the contact that was created.
Can we change the defaults or something to fix this?
It does the same thing with products - I type in the product code that I know exists since I enter it daily, it can't find it so by the time I hit "tab" it'll attempt to create a new product.

Currently our team are working on some improvements to the To field in new invoicing and the contacts card that appears when selecting a contact. We understand some of our customers make use of the keyboard much more than the mouse and in reviewing the flow when using Tab the team will be making a change to make selection of a contact and movement to the date field smoother. I'll come back to confirm the detail of the change when this is released.

Notification - Advisor to receive email when W9 request is completed by vendor
When we send a W9 request to a vendor via Xero the only way we have to know if they have completed the W9 request is by logging back into Xero and manually navigating to that vendor to check in on it.
It would be great if admins/bookkeepers could receive a notification when the vendor completes the W9 request.
Having that email notification of a vendor completing a w9 request would also enable us to trigger other automations.

Invoicing - Ability to edit /add the reference from the invoice overview page
id love to be able to edit the reference field from the invoice tab. Also the ability to build edit the reference field from the same tab would be helpful. We use that field to know the category the sale is in. So some of our work is shipped, or its to a specific event.
1 voteWe're always grateful for your feedback and love hearing what features you'd like to see in Xero. We understand that being able to update the reference field directly from the invoice list page would save you time. While this isn't on our immediate roadmap, we're monitoring the demand for this feature. We'll be sure to post an update here if anything changes ⭐

New Invoicing - Feedback
What I like that you added:
* Saving as draft!
* New Due Date drop-down selections (e.g. 14 days)What I do not like:
* No "add another invoice" option after save + print PDF, more clicks now
* When save + print PDF, now opens a new tab that needs closed, more clicks
* Cannot "copy" the invoice line "item" - I usually create many lines that I used to be able to copy & paste the "item", now more clicks
* Too much whitespace and font too large, I want to be able to see the data w/o having to scroll - while it is nice you allow turning off some fields (e.g. discount) please allow resizing fields, changing overall font size, or somehow make a "compact view"What I like that you added:

We recognise that some things will be different, so we encourage you to spend some time familiarising yourself with the new version. We also believe all small businesses and advisors around the world can benefit from Xero, which is why we’re deeply committed to accessibility. We’re confident that in time, new invoicing will become easy to use and that you’ll enjoy the benefits of us being able to provide much more value on that platform quicker. There's some improvements we have made to enhance workflow. For example when you create a new invoice the cursor will begin in the Contacts field, from here you can tab through all fields of your invoice to enter detail. We’ve also developed smart suggestions for due dates based on common dates people use most, or you can use Xero’s keyboard shortcuts to save time entering dates in Xero. If you have set a default due date in your invoice settings this will be applied when using new invoicing.
Not being focused on a single idea alone, we’re going to close this thread, but please rest assured that we are taking on board your valuable feedback and there are even a couple of existing ideas mentioned in your feedback that you could join to monitor progress on, such as being able to reduce the number of steps and clicks involved in new invoicing, New Invoicing - Add line number, Invoice | Less clicks for printing PDF and sending receipts, and Invoicing | History - Show detail of action made.
Our invoicing product team are very keen to keep improving new invoicing and encourage you to start a new idea if you’re unable to find an existing one that matches your needs.

Expenses - Edit Submitter when awaiting approval
The expense reimbursement function should include an option to change the submitter after the request has been sent for approval, rather than declining the request and re-enter just to be able to update the submitter name in case of 'submitting on behalf'
Additionally, it should allow exporting the entered expenses into an Excel file to verify whether everything has been entered correctly. Currently, exporting is only possible once the request has been approved. This feature is especially important when there are numerous expense lines.
Furthermore, the screen layout feels a bit cramped. Could the input fields be arranged in a single line to make recording easier? The attachment screen could be made smaller, as attachments can be zoomed in if needed.

New invoicing - Searching items by start of field
New Invoicing - Type in Item - please change back to only searching start of field, as per old invoicing.
Now that typing in the Item field in the new invoicing brings up every item with that word or part word in anywhere, we either need to learn all the codes, or make sure our items all contain totally different words. It takes ages to find the item required.19 votes -
Customer Statements - Consolidated statements for a group of Contacts
We have dozens of parent companies with underlying subsidiaries who place separate orders for separate locations, all under the parent company's credit line/name. These all split into different contacts in Xero when they come in from our order processing system. We need Xero to support hierarchies/parent-child relationships/nested orders, so that all purchases can be aggregated to the parent company, both for tracking overall credit use and for sending consolidated statements that include all purchases from all "children". We work with BigCommerce who has a BundleB2B feature that allows these kind of parent-child hierarchies on the client-facing side, but we can't use it because Xero can't support that structure. Please consider accommodating. It's extremely time consuming to have to pull & send multiple statements for one company every month, and have to manually add up all their spending to determine if they've exceeded their credit limit.

UK/AU Payroll - Option to select/deselect 'Other Previous Earnings' feature on payslips
Remove the feature of 'Other Previous Earnings', or an option of allowing us to choose whether to have this feature. Grouping all previous pay items into 'Other Previous Earnings' in the same financial year is confusing and our employees won't understand what it is for. Please get rid of it!
