  1. We often need to create invoices to the same customer with different attention to contacts. Since this field reads in from the customer card, when an old invoice is reprinted it picks up the current details from the customer card, which is inconvenient as we need to research who it was originally sent to and amend the invoice.

    It would save us time, if once an invoice is posted, this field is locked in and does not change.

  2. It would be great if you could download the Employee-year-to-date preview report after payroll finalisation in Australia.
    Currently, this report can only be downloaded as part of the finalisation process not after. After finalising payroll you can only download a CSV file. We missed a transaction when reconciling that was in column BY - we spent hours trying to reconcile a payroll finalisation that could have been easily checked with the Employee year-to-date preview report which is all on one page.

    You can now download the STP Year-to-Date Summary report for a specific employee after STP finalisation, Lisa. 😊

    1. From the Payroll menu select 'Single Touch Payroll'
    2. Click the 'Tax year' drop box in the top right > Select the required tax year
    3. Go into the Finalisation tab > Click 'View report'
    4. Select the required employee/s > Click the 'Export' button to download the report
  3. It would be nice if expenses could learn and assign a specific account automatically to expenses from a regular supplier.

    The process could be:
    1) I take a photo of a receipt
    2) The analyse feature reads the receipt and fills in the date, supplier and amount

    THE NEW BIT:
    3) Expeses realises this is a supplier I've analysed a receipt from recently and codes it to the account I coded it to last time

  4. i was importing invoices raised in Simpro Software to Xero Software, most of the information are not present. Only invoice date, Ref no, invoice no, and amount is present. Description is considered to be important information but that is missing (Job No. is present in Description field).

    Its like double work. While integrating information form other software, xero has to provide nearly all the required necessary information.

    I hope there could be a solution for this issue.

  5. Please can you add a fix so that you can amend someone's regular earnings with the same start date if that pay-run hasn't yet been run.

    You used to be able to do this, but recently you cant make a correction - instead you have to put the correct data on the next available date. This creates a second line on the payslip - which looks messy and clearly displays the fact you've made an error. Not something I'd choose to share.

    Hi Georgina, the salary line will only lock once it's been included in a pay run. Is it possible there is a pay run in draft? If so, you'd need to delete the draft pay run in order to edit the salary line.

    If you're having any issues with this we'd recommend raising a case through Xero Central where our specialists can investigate this with you.

  6. Can we have one more category of user role in Xero (A user role with Ability for only to create all possible drafts + View reports)?

    This kind of user role can help to minimise recording errors when any transaction (Quotation, Invoice, Bill, expenses, transfer, receive and spend money) can have two steps approval. It can provide more verification flexibility /security for the business which managed by more than one person as well.

    View reports can help the initiator to check the effect of the transaction after approval.

  7. Our company's invoicing procedure comprises three steps:
    (1) invoice generation by our own custom software and also pushed to Xero through the Xero API,
    (2) direct debit payments manually added and processed via GoCardless (on their own website, not Xero's integration) for selected invoices, and
    (3) invoice reconciliation in Xero. This process is jeopardized when any alterations are made to the invoices in any of the systems (our database, Xero, or GoCardless), causing inconsistencies and the need for corrective credit notes.

  8. We create multiple invoices with deferred income. Currently I can approve the sales invoice then under "Invoice Options" copy to a new invoice and all the data is pulled over. I can then adjust the nominal ledger to the balance sheet and approve that, then again from the "Invoice Options" I can add a credit note to the P&L. I can then copy again to create a new sales invoice for the date when the income is due to the P&L and create that and once again add a credit note to credit the balance sheet. I realise this might…

    Thanks for sharing your feedback and the detail on how you use invoicing here. Just to make sure I understand fully and can share back with the team - when you say you want to retain all the data. It is currently possible to copy an invoice to a new draft invoice for the same contact, however is it that you are wanting the contacts defaults to be applied to the new invoice?

  9. I need a report that simply lists all sales invoices by date, customer and total amount. It would look very similar to the invoice data that shows up when you go from the dashboard to Business - Invoices. The only way to export this data is limited to 500 transactions. Thats no good to me as Ive got 1000+ sales items a month. This would be one of the most easiest reports for Xero to create and give more joy to your users than you can imagine. But I cant see that its ever been created. Please help. Call…

  10. It would be great to have an option to run a sales report by item which includes draft invoices, delivery dockets, and purchase orders as well.

    For example, I tried to run a sales report on qty of each product sold for the financial year to date and realised this information was inaccurate as we had sold a significant qty as draft invoices (using draft invoicing in lieu of delivery docket functionality), these products were not included in the sales report.

  11. I like the feature that flags potential duplicate bills

    I'd like the feature to also check for potential spend money transactions that instead should have been applied to the bills (same for sales invoices and receive money transactions)

    If the bank statement line date is close to the bill due date, and if the amount is the same - that's enough to flag as a potential duplicate

    It would be wise to make the feature able to be turned off, for the cases where there are a lot of false matches

The ability to match and upload receipts and invoices stored and analyzed on any number of different apps to simple bank transactions downloaded and categorized in xero based on the exact amount and the relative date only. Do this without the complication of further analysis in xero such as matching or paying bills.

    Background and use case: For any business primarily downloading and categorizing expenses from various bank and cc accounts and not using xero to bill customers and create invoices.

  15. I would like to request the Xero add the feature to be able to approve and send customer invoices even when they have reached there credit limit in the new invoicing. Currently this feature is available in the classic invoicing of Xero. Xero are forcing everyone to move to the new invoicing from September 2024.
    We use an external software for our customer invoicing and then import these into xero the following day after the sale has occurred and email the invoices to the customer. Moving to new invoicing currently means that for any customer that is over the credit…

  16. Once a quote has been accepted by the client it would be great if that acceptance was reflected on the customer facing side of the quote. This would allow them to click on the original link sent to them to confirm that their quote is now reflected as "accepted" so for clients who manage multiple quotes and may have to refer back from time to time they are easily able to do so and have a record on their end that their booking (in our case) is confirmed.

    Hi Caitlin, with the online quote link these are updated in real time. So if you send a customer a quote and it is accepted on their end this'll show on the online quote straight away.

    Similarly if the quote is marked as accepted from within Xero, it does take a refresh if the online quote if it's open at the time however it'll also show as accepted on the quote. 😊

  17. We have a lot of personal expenses (reimburseable) and no company expenses within our business - when employees input their expenses it defaults to company money.

    Occasionally these slip through the net and aren't changed prior to approval.

    Can we switch off 'company money' in expenses - or can we set 'personal spend' to be the default option?

  18. I want to be able to create a new leave policy but there is currently no functionality for this. The existing leave policies are limited and do not allow for leave to be loaded from a specific date, only the start anniversary or 1st Jan, or to be accrued gradually. I have some clients who set their leave from the first date of their financial year eg. 1st May each year. It would be useful to either have this leave policy loaded by Xero for provide the ability to create new leave policies.

  19. We are a small business that has just started using Xero, but already have 400+ contacts. Would love the ability to filter the contact list. For example, filter by country (show me all contacts in the UK, USA, etc.), filter by creation date or updated date (show me all contacts created in the last 30 days), etc.

    There is no way to sort and filter the contacts, just endless scrolling through a long list.

    Functionality feature that may not be critical to business operations, but it would make life a bit easier!

    Hi Brian, appreciate it's not a direct filter option like you're asking here however if you often need to filter by say country or another aspect of your Contact perhaps you may consider creating Contact groups? This way you'd be able to click on the group within contacts when you need.

    Being open we don't have any direct plans for adding more filtering to the Contact list atm, but we'll continue to track your idea here and share if there are any plans made.

  20. With the "new look" bills having been implemented, all the different bill options are under a drop down where you select new bill, new CN, new repeating etc.
    I appreciate that this looks tidier or something, but when you're inputting about 20 CNs, having to go through the dropdown for each of them is really tedious.
    Also: after approving a bill there's an option to add another bill directly, but that doesn't happen if the bill is submitted for approval or saved as draft. Can this be implemented?

    There is also no option to go straight to a new CN…

    Hi there, I know it's been sometime since you first raised your idea with us here, and as you may have noticed there have been a lot more changes within the bills to pay space that improve flows and efficiency in managing your bills.

    It'd be good to hear back if you're finding these changes have improved things for you when entering and managing bills - For example rather than approving individual bills, with the quick view you can now quickly scan the detail and approve single or multiple bills at once from the list view, and with New bill drop down available on this same screen, you can + New credit note without extra clicks.
