  1. When changing the year end for a client, it would be nice if previous year's could be locked in dates, fixed assets, etc.
    Once the year end is changed, it seems to amend the dates for the previous year in all reports too, if (for example) the new year end means the current "year" runs to 13+ months (such as when the year end is extended): it's hard to get the comparative period in any popular reports to show the previous year as it was filed.

  2. It would be great if you could download the Employee-year-to-date preview report after payroll finalisation in Australia.
    Currently, this report can only be downloaded as part of the finalisation process not after. After finalising payroll you can only download a CSV file. We missed a transaction when reconciling that was in column BY - we spent hours trying to reconcile a payroll finalisation that could have been easily checked with the Employee year-to-date preview report which is all on one page.

    You can now download the STP Year-to-Date Summary report for a specific employee after STP finalisation, Lisa. 😊

    1. From the Payroll menu select 'Single Touch Payroll'
    2. Click the 'Tax year' drop box in the top right > Select the required tax year
    3. Go into the Finalisation tab > Click 'View report'
    4. Select the required employee/s > Click the 'Export' button to download the report

  4. I would like to request the Xero add the feature to be able to approve and send customer invoices even when they have reached there credit limit in the new invoicing. Currently this feature is available in the classic invoicing of Xero. Xero are forcing everyone to move to the new invoicing from September 2024.
    We use an external software for our customer invoicing and then import these into xero the following day after the sale has occurred and email the invoices to the customer. Moving to new invoicing currently means that for any customer that is over the credit…

    Thanks for your feedback. We know that having the option to submit a bill or invoice for approval directly from the Xero Accounting app would significantly improve your workflow. As noted in the comments, users have the option to log into the web version of Xero on their mobile devices allowing them to submit bills and invoices for approval. ⭐ This allows you to perform the approval process on your phone, though it's not as seamless as a native app experience. At this time, we have to prioritize which features we bring to the mobile app. The primary focus of the Xero Accounting app is on quick, simple tasks, like creating basic invoices and submitting expenses. Complex workflows, such as bill and invoice approvals, are better suited for the desktop version due to their complexity and the constraints of the smaller mobile screen.We will continue to review and consider this…

  6. The 'new' format has made it exceptionally tedious to accept payments and send receipts. PLEASE streamline it

    • Put the send receipt link back on the payment confirmation page
    • Allow easy tab/character type to select things
    • Open PDFs in browser with the print feature triggered like every other commerce website does. LESS CLICKS!

    Old Style.

    1) Approve the Invoice
    2) Click into payment section. Tab to select account (assuming current balance and date), tab to Reference to enter Check #, and click Add Payment
    3) Click 'Send Receipt' link to send an email invoice to customer (with additional upsell messaging)…

    HI team, appreciate your feedback here however there are a few ideas in the one. There was a recent change that we've made for the first point here where you'll find confirmation and option to send receipt is now shown once you've added a payment to an invoice. 

    In relation to printing an invoice - from feedback we received the team have updated this flow so now a PDF of the invoice will be directly downloaded when you click Print, rather than having to go to a separate browser tab. If you'd like this to be a direct action to print from the invoice itself you can follow and join this idea.

    In relation to keyboard entry and tabbing through invoice fields, you can use Tab to move to the next field over and Enter will open the field so you can enter data. We have a larger idea

  7. Sales Overview screen needs improving to show percentage increase in invoices sent, month on month. Attached is an example to show how it needs to be drastically improved to be like. Companies basically could raise capital off this screen - come on Xero! Please improve the screen to be like this example.

  8. HMRC's guidance on invoices in currencies other than GBP, found at https://www.gov.uk/guidance/foreign-currency-transactions-vat-and-tour-operators lists specific requirements that need to be met when creating an invoice in a currency other than GBP, namely:
    1. "the total net value of goods and services at each VAT rate" needs to be shown in GBP (as well as in the foreign currency)"
    2. "the amount of VAT, if any, at each rate" needs to be shown in GBP (as well as in the foreign currency)"
    3. the currency conversion for VAT purposes needs to be calculated in one of the following two ways:

    Hi all, apologies we've not responded here before now. Checking in with our team on this our current invoice templates do accommodate what's needed here.

    With the standard invoice template you can select to 'Show currency conversion as' 'Net amounts with tax totals', which display a currency conversion table with the net amounts and tax grouped by tax rates or tax components. A base currency equivalent is also included. You can see more information on displaying currency conversion on Xero Central.

    We also provide a highly customisable DOCX invoice template that can be used to provide more detail if you choose.

  9. In the same way that we have 'Approve & View Next' for invoices in the draft and awaiting approval sections, it would be useful to have a 'Skip to Next' function in the event that you are missing information or unable to approve at that time. This would certainly save several clicks and make the process more fluid.

    Hi team! Our new quick view feature in bills allows you to simply view your bill and it's details without having to leave the list view.

    Move from one bill to the next using the arrow options and once you've reviewed make bulk actions by selecting multiple bills and using the list bulk action options like Batch pay, Approve, Add planned date, Print or Void 🥳

  10. It's currently not possible to export the Income Tax Self Assessment figures for the MTD for Income Tax quarterly submissions as a PDF to include them in a documents pack for client's approval via e-signature in Xero.

    This would be helpful from April 2026, so accountants can gain client's approval prior to submission with HMRC.

  11. Classic invoicing feature missing from new invoicing format

    Some of our clients like to prepay so there are often credits to use. Upon approving an invoice, the classic used to say there was a credit available on that contact, click here to use it. There is no such feature on the new invoicing to indicate there is a credit available you have to go and manually check. As well as not informing you of an available credit, if you look at the new approved invoice there is no way apply an existing credit (only to create and apply a new…

    Hi Claire, when you approve an invoice for a customer that has available credit, you'll receive a prompt. If you choose to 'Skip for now', you should see an option to 'Apply credit' on the approved invoice. I've attached a screenshot of these in new invoicing. 

    If you're not seeing either of these options, I'd suggest double checking the name of the contact the credit note has been created for, and raising a case with our specialists at support to take a deeper look into things with you. 

  12. Immediately after creating an invoice, you approve it, then a series of boxes appears at the bottom of the screen allowing you to receive the payment. Once payment is applied you can send the receipt to the customer. This is ESSENTIAL for accepting cash payments or any payment made at the time of delivery but before sending the invoice. Please add this feature from OLD invoicing to New invoicing.

    Hi Fiona, it's not necessary to send an invoice before adding a payment. Once an invoice is created in new invoicing the default option is 'approve and send' but 'approve' can be selected instead. A payment can then be added and receipt sent, with a similar workflow to classic invoicing.

    Atm there's no way to set the default approve option for an invoice. However, this has been raised as an idea across here if you'd like to add your vote. 🙂

  13. UK HMRC often carry out routine checks on compliance with PAYE and National Minimum Wage. In one NMW check we have been asked to provide them with a list of the names and NINOs of all staff employed by us between two specified dates. To make it easy they dont use tax years but calendar dates

    We need a standard payroll report that allows us to export a list with the employees name and NINO. The only way to create this at the moment is by a manual trawl

    Currently you can generate a Pension Contribution Report which includes the employees name and NINO 🙂 When creating the report - under Columns select the fields you'd like to include in the report as well as the date range. Once created, you can export it in PDF, Excel or Google Sheets. 

  14. Custom Report comparing supplier expenditure per month - actual payments rather than total invoice that was entered on this date. Unless you are an accountant apparently this cannot be done - does that mean i have to pay an accountant just to get this report functionality? I am paying for Ultimate atm thinking I would have the ability to do everything, sadly this is not the case. Yes I have been on xero support who were not helpful in the slighest, tbh she had to check twice and then emailed to say the above!!!

    In the meantime, you can check out or Cash Flow Manager report that will help predict your businesses’ financial overview, cash in and cash out. However, please note that information on cash payments in the previous three months is required to predict the cash flow projection.

    As you're possibly aware, Xero doesn't currently have specific features for Nepalese businesses, so for now we'd suggest using the Global edition.

  16. Bank Reconciliations Report - There should be a report that enables you to extract all bank statement transactions and list out for each the actual accounting transactions they have been reconciled against. This should be by date range and then include all the same options as 'accounting transaction reports'.

    This would be super helpful for audit, month end reviews, be able to identify different transaction types, review complex issues arising if a supplier or customer disputes etc..

    The data is there, yet as users we are not able to get the data out.

    Seeing one by one is not enough.

It would save time and avoid accounting errors if a new document type existed (akin to Bills) that can be sent to recipients (contacts) generating the accounting transactions appropriate for distributions such as dividends and appointments from trusts. Those transactions would be on equity and assets accounts (not expense accounts and accounts payable as is the case for Bills).

    It would be great if such processing could be applied to contacts in bulk (e.g. a shareholders register) but the possibility of accounting for distributions singly would be a good start.

  18. I’ve integrated Pabbly Connect with Xero to automatically create invoices. The workflow in Pabbly shows a successful execution, but not all invoices are actually being created in Xero.

    Has anyone else experienced this issue?
    Is there a way to debug what might be going wrong between the successful webhook execution and invoice creation in Xero?

    Additional Details:

    The webhook receives all required data including customer, line items, and invoice date.

    Pabbly workflow shows "Success" status after sending data to Xero.

    However, when I check Xero, some invoices are missing entirely.

    No error message is shown in Pabbly.

  19. Hi. We are an International company with various subsidiaries in the UK and overseas. We are using a bespoke accounting system which is not even cloud based. In fact all on the spreadsheets. Designed to serve the purpose. However, It took me a while to persuade our managers to move onto something more advanced, user friendly, that would create all accounts on the platform, not on manual spreadsheets. 
    There are a few downsides I am facing on Xero. This software doesn't have any built in accruals and prepayments invoice system, that could do the accruals and prepayments for you usins the date

    Hi Svetlana, thanks for sharing your feedback and thank you for trying Xero. We appreciate you explaining how this could support your international operations. While Xero currently supports managing multiple organisations separately, consolidation of the reports is currently done outside of Xero. With regards to the accruals and pre-payments, we recommend raising a case with our support team as they would be able to look into it a bit more.

I need to be able to download payments files from Zero in CSV or XML format and then automatically upload them in bulk in our bank system.
