Invoicing - Ability to turn off auto suggestions
What happend -
I imported invoices with an invalid account number. When I went to review the imported invoices in draft, the new invoicing AI technology selected suggested account codes for me, almost to fast for me to notice the account code was blankWhy this is important -
The "review draft invoices after import" step is critical in getting it right - I should be able to review exactly what I imported to see where the mistakes are. I can see this being an issue with integrations where invoices are imported via the APIWhat Xero can do - …

New Invoicing - one click tracking fill from contact default
On classic invoicing, when you click the account category space or the tracking category it would fill in from the contact default, or account default or some default. But on new invoicing it only fills in if you tab.
12 votesThanks for the added detail, Becky. This is good to know when sharing back with the team. While this may be something we look closer at down the line, I want to be open that we don't have direct change planned in the near term.
Understand it's a few more clicks at present, potentially to save tabbing 8 time clicking on the Tax Rate column and then tabbing once may save a little time atm. Completely get it's not a resolve though.
Account Team - Is it possible that this would be when you're copying an invoice to a new draft invoice? If so, and you select the same Contact defaults aren't automatically applied and you'd need to remove and re-add the contact on the new draft invoice to trigger defaults to be applied. Otherwise, I'd recommend raising a case with our team of specialists for a closer look as…

Customer Payments - Payments on Account, instead of Overpayments/Prepayments
You can only allocate payment on accounts to a customer ledger on Xero by clicking 'Overpayment' which is very long winded. Please can this be simplified to select the customer and then allocate straight as a 'payment on account' and then this can be allocated to the invoice once this is uploaded.
In addition, if there is money out that gets contra'd against money received from a client, there is no way of coding this to the customer ledger.

Invoice templates - Prevent past invoices from updating when a template is amended
Amendments to Invoice Templates.
If you make amendment to an Invoice, the amendment should only be applied from the date & time of the amendment & should Not apply the amendment to all your previous Invoices on your records already sent!
Note, currently the only way around this is to create a new template with the amendment.1 voteThanks Ian, for submitting your idea!

New invoicing - Make the "Approve" button floating at the top of the screen
We have monthly invoices and we have multiple lines, sometimes 100+. With the new invoicing, the approve button is at the top of the screen and I have to scroll to the top every time I got to check the total prior to approving. Can you please make the 'approve' ribbon fixed at the top of the screen when you scroll down?
5 votesThanks for your feedback, Dane. This isn't something we have direct plans around atm and we'll track the interest in having this option as a floating button, here.
You may find using the 'Home' button on your keyboard helps to quickly navigate back to the top of page for now.

eInvoicing - Ability to use for non VAT registered businesses
Massive oversight by Xero.
E-Invoicing only available to VAT registered companies as you have to enter a VAT number. What about all the non-registered companies?
Why can't you select that you aren't VAT registered and be able to benefit by E-Invoicing?11 votesHi everyone, we appreciate interest from non-VAT registered businesses that'd like to make use of the efficiencies eInvoicing brings.
As the UK do not have a standard business number, this creates complexity in being able to identify and register non-VAT registered businesses on the Peppol network.
While this is an idea that we'd like to continue to gain interest from our community in, we want to be upfront we don't have any plans to support eInvoicing for non-VAT registered businesses in the near term.
We're actively advocating for this with the UK Government as part of their recent e-Invoicing consultation.

Quotes - Option to Accept part of the quote and Decline the remaining lines
Hi, I would like to be able to complete quotes correctly please. So for example, QU-6767 was accepted by the customer. The customer later decided that only one line of the quote was required, which was invoiced. I would now like to mark the remaining part of the quote as declined.
It would therefore be helpful to have more options for the quotes system, to be able to mark the quote as partially invoiced and the remaining as declined, even after the quote has been accepted.
I create monthly reports of accepted, declined and invoiced quotes. It would be helpful…

New Invoicing - Autosave in edit mode
New Invoicing Autosave function - Does not work in Edit Mode
When you create a new invoice the autosave function is there.
However, if you approve an invoice and then try to edit it, then the autosave is not there and you must manually click update.
Can you please make this feature more consistent. Either everything is autosave or not autosave. Having some aspects will create confusion and lost data6 votesHi all, we appreciate the interest and hearing how you find autosave a useful feature when invoicing. At this stage, we don’t have any plans to roll out autosave to the editing of an invoice once it’s been approved.
We’ve made some recent improvements to autosave within the draft state of an invoice that we wanted to share with you - Our product team has optimised how invoices autosave to help reduce the lag, meaning invoices load and save faster. Thanks again for your feedback.

Invoicing - Issue warning when unit price is Nil
It would be great to have the ability that Xero gives you a warning when an item line in Invoicing has a $0.00 in the unit price before been approved.
We have had clients that missed completing the price and then the Invoices are sent out.
It would be handy if they got a reminder that this is $0.
Thank you2 votesHey, just a quick update on this. We don't have any immediate plans for this, but we've reviewed your idea and now it's up to the community to get behind and support it. Make sure you share your idea with any colleagues that this could benefit so they can add their votes and comments about how this would help them, too.

Invoice - Display entry count in 'History and notes' section title
Transaction "History and notes": show in the title how many notes exist. This will avoid having to click the drop down arrow head to check every time. e.g. "History and notes (3 entries)".
3 votesHi Peter, we get why being able to see the number of entries in the History and notes section at a glance would be helpful, especially when you're quickly checking for activity on an invoice.
It might seem like a small change, but we can see how it would save time and make things just that bit easier when you're managing lots of transactions.
This idea is now in the Gaining Support stage, which means we’re keeping an eye on how much interest it gets. Feel free to add your vote or share how this would help you, the more context we have, the better. We’ll keep this thread updated with any news.

Invoices - display autopay label to users who do not have standard/advisor roles
Current user role permissions require the Standard or Advisor role to use the auto pay feature for invoices. However, this role also reveals financial information that a sales rep should not have. Our sales reps, therefore, have Invoice Create/Edit capabilities. Within these capabilities, or perhaps as an optional toggle, I would like them to be able to set up auto pay and see if it is active so they can get it set up for clients as part of the closing process.

New Invoicing - Include org name in PDF document name
New Invoicing - have the document name of invoice include who it is from.
PDF will show INV-02335OrangeCross.pdf
INV-[inv number]_[organization ref max 10char].pdfGreat for me as an exporter of invoices but more importantly as an importer

Invoicing - Pin the Contact for entering multiple invoices for the same customer
When entering a number of invoices for the same customer or vendor it would be great not having to reenter the name for each entry. Recommend the ability to "pin" a name for multiple entries under the same name.
2 votesHi Kari
Thanks for sharing this idea about pinning the Contact when you enter multiple transactions for the same customer.
Now it's up to the community to get behind and support this. You might like to share your idea with any colleagues that this could benefit so they can add their votes and comments to support your ideas!
NB. We need to keep ideas for the different areas of Xero separate. If you'd also like to see this feature when adding supplier bills, we'd need you to raise a separate Product Idea for it, so the community can also vote for that to support it.

Oustanding supplier invoices
Being able to access supplier invoices using the link in the email. Currently we can only access the invoice related to the email. When trying to view other outstanding invoices, I get the message that I don't have permission to view that page and to have my access upgraded even though I have full access (bar subscriber). It would be great to be able to, as a bookkeeper, access other outstanding invoices. A lot of clients will use the link, see that they can access the other invoices, and not see an issue.

Quotes - Quote status between Accepted and Invoiced
After the customer accepts the quote, we need to book the work in. It doesn't get invoiced until the work is complete. It would be helpful if we could add an "Expected Start Date" to quotes after they've been accepted, or at least be able to mark it as "Booked".
3 votesHi Brian 👋 Thanks for for letting us know the changes that matter to you, especially when it comes to managing the progress of your quotes.
We've reviewed your idea to add more detailed statuses to quotes between the 'Accepted' and 'Invoiced' stages, and it can now gain support from other community members.

New Invoicing - add "Hide invoice summary in email" option
Despite several separate requests on this forum, New Invoicing's email still begins with an invoice summary, unlike Classic Invoicing.
For us, relationship and communication are more important than asking for payment so Classic Invoicing's email is perfectly set up with our message first and the invoice following.
New Invoicing's email reverses this with the money part writ large at the top.
Andrew Chadwick described it better than I can in the post linked below. The idea has been marked as Delivered but, respectfully, it hasn't been. His and my points still stand.

Invoicing - Include PDF attachment when emailing invoice
When Xero are emailing out their invoices please can you go back to attaching the invoices as a pdf as it quicker to be able to forward them rather than having to sign in and save them as draft, especially when you are having to do loads for clients.
53 votesThanks for sharing back on this, everyone. We'd like to confirm the way the options works now when sending in new invoicing - This is triggered by previous behaviour.
So, when you send using new invoicing, the selection for 'Attach PDF' is driven by the last invoice you sent. If the last selection was unticked the next invoice you send will automatically be unticked, and vice versa.
What's worth noting is that this is a browser based setting. For example if you change computers or browsers your setting will revert to default where both options are unticked. As you'll see from my recent update on this similar idea this is something we may explore further down the line but we don't have any immediate changed planned for.
We also appreciate your feedback relating to where a customer's taken when clicking Review and pay. Our team have done a lot of research…

Invoice List view - Upload invoices (like you can with bills)
Having the ability to upload invoices in the same manner as the recently introduced bill upload would be great addition for those users who run industry POS software that generates sales their invoices and stock and ordering management.

Invoicing | Contact - Default address based on GPS
Hi,
My business often delivers the same or similar services to repeat customers. It would be useful if Xero could default the contact address based on GPS Location, and then even propose default invoice items and pricing to make the invoicing process easier. This reduces the risk of invoicing mistakes and adds efficiency into the process for invoice creation. Also helps with contact payment process improvement.2 votesHey Nathan, thanks for sharing this idea. Using GPS to automatically fill in a contact’s address would save you time and make invoicing on the go much smoother.
It’s a smart way to reduce manual entry and help keep addresses accurate.
This feature is now in Gaining Support. If you think it’d be useful, please add your vote or comment. Hearing from all of you helps our product team understand what matters most.
Keep an eye on this thread for any updates.

Invoices - Prevent sales invoice lines being posted to Overhead or Direct Costs nominal account codes
A number of users mistakenly post lines on their sales invoices to expense nominal codes, for example when recharging their mileage to a customer they credit this to Motor Vehicle Expenses instead of using their correct Sales account code.
Most other accounts/bookkeeping packages prevent this by default by only allowing sales invoices to be posted to sales nominal codes. Xero however allows sales to go to virtually any nominal account of the user's choosing, leading to this error cropping up quite often.
Could we have a way to restrict sales invoices only being posted to sales nominal account codes?
