    In Classic Invoicing, there was a history and notes link between the quote and the invoice when the invoice was copied from the quote.

    At the moment, that same history link isn’t available for quotes copied to invoices in the newer experience. We understand how helpful that audit trail is, especially when you need a clear record between the two transactions, so this is being moved to gaining support for the quote to invoice history workflow.

    However, we are happy to say that this is still available in bills copied over from purchase orders , the link is still available above the history section


  2. If a credit note has been applied to an invoice, Xero blocks us from marking the credit note as "sent".

    Xero then shows this error message:
    "Credit note wasn’t marked as sent.
    Editing is not available for credit notes that have invoice allocations or cash refunds applied, so they cannot be marked as sent"

    According to support this is the intentional behaviour.

    When a credit note has been allocated to an invoice or has a cash refund applied, you can only edit certain fields - specifically the Contact, Credit Note #, Reference, Description, Account and Tracking fields.

    Hi Josh, thanks for sharing this suggestion. We understand how Credit Notes not being able to be marked as “Sent” after allocation can create confusion when the document has already been issued.

    Separating the “Sent” status from allocation or edit activity would help keep tracking clearer and more consistent with how the document is used.

    We’ll continue monitoring interest and use cases shared here.

  3. We would like the option to provide an "estimate" for our Customers, rather than a quote. In our industry, we don't know exactly what items will be required, until we have started the job. If we give our Customers a quote, they expect us to honour the price quoted. An estimate gives us more flexibilty with the specific items we need to order and charge for.

While this feature is not possible at the moment, you are able to use an advanced invoice template to show the quote name as Estimate. You can then switch between either one of the branding themes for when you want it to show as an estimate.

  4. I have been a Xero customer for over 10 years and have referred dozens of businesses to the platform during that time. The primary reason we originally switched to Xero was its simplicity and clean interface. Unfortunately, the recent changes to the Bills section have completely undermined that simplicity.

    The new split-screen layout with the bill list on the left side of the screen is unnecessary and extremely distracting. When I open a bill, I need to focus on that bill only. There is no logical reason to display a list of other bills while I am working inside a…

    Hi team, there are two parts to unpack here:

    1. the new bills split screen, and
    2. the bill payments flow.

    We’ve introduced a new bills quick view that lets users easily enter, scan, review, and take action on bills without leaving the list view. For some users, this completely replaces the older bills UI. The product team is monitoring this closely and may make quick view optional, so users can choose between quick view and opening the full bill. I’ll keep you updated here.

    We’re continuing to support online bill payments and are encouraging setup because it can improve efficiency and simplify payments. There are no plans to remove online bills from the payments flow.

    For users who prefer manual payments, they can still use the Record a payment tab or select a bill in the list and click Make payment above the list.

  5. Add a field for the date the customer requires delivery. I currently use the expiry date, but if I mark the quote as accepted this date disappears.

    This date is crucial for forecasting.

  6. When two users open the same invoice draft on different devices and make changes simultaneously, only the changes made by the last person to save and close the invoice are retained, resulting in earlier changes being overwritten.

    It would be very helpful if Xero could restrict invoice drafts to be opened by only one user at a time, or provide a warning/lock to prevent simultaneous editing and accidental data loss.

  7. Our practice makes use of Xero's ability to import invoices to do monthly utility billing and have found Xero's feedback notice / confirm import page to be VERY useful.

    On this page Xero notifies us if
    - any invoices will not be imported due to errors
    - invoice number already exists
    - any item descriptions and/or prices differ from the Xero org's listed products and services

    Unfortunately, it does not notify the user if any new contacts will be created on confirmation, as imported invoices automatically create a new contact if a matching one does not exist.

    Appreciate the feedback on invoice import notifications. Hearing how a prompt for new contacts could help keep your monthly utility billing clean and avoid unintentional duplicates is really useful.

  8. Description / Pain Points:

    1. Refunds: Manual credit notes are required for Shopify order refunds, which is time-consuming and error-prone for high-volume merchants.

    2. Taxes: Xero only supports reporting for one region. Duties and taxes from other regions must be tracked manually, causing discrepancies and extra work.

    Suggested Improvement:
    - Auto-generate credit notes for refunds.
    - Support multi-region tax reporting to match Shopify calculations.

    Hi Sherry, thanks for sharing this idea with us. We've noticed that there are 2 ideas in here. We've found one similar to the Multi-region tax here, so we've added your vote to it. As support shared, Xero won't automatically create credit notes for refund via the Shopify integration, so we'll keep an eye on the support your idea gets here.

  9. Until recently when I saved a packing slip the default name was eg 'Packing Slip Inv - 4080'.

    Then recently after you dated your system the packing slips are now called eg 'Invoice Packing Slip Inv - 4080'.

    Can you change it back to remove the word invoice as it can cause confusion and staff may send the wrong document to suppliers and customers as both look like invoices.

    I am changing the name manually but it was simpler and clearer before Xero added the word 'invoice'

  10. Currently Quotes are not able to be sent directly for e-sign acceptance (i.e. clients will need to print physical copy of quote, sign and email back unless they have access to adobe sign). It would be an improvement if quote can be sent to Xero Sign for signing and audit trail. Alternatively, it would also be great if clients can accept/decline from the quote email.

  13. Purchase Orders - ability for the suppliers that you send the Purchase Order, to view the document online and have the option to import the Purchase Order to Quotes and Sales Invoices.

    The Purchase order area of Xero feels a bit underdeveloped at the moment. However, one strong step would be to allow Purchase orders sent by Company A from their Xero account to be transferred to Company B's Xero Sales area at the click of a button (giving an option of Quote or direct to sales invoice).

    Hi there, we appreciate your suggestion. It's a thoughtful idea that touches on a key part of the procurement process. We understand that the current method of emailing PDFs and relying on suppliers to recreate the information on their side requires some manual work.

    An online view of purchase orders, along with the ability for suppliers to convert those into a quote or invoice in Xero, would help make this a much smoother experience for everyone involved.

    At the moment in Xero, purchase orders can be converted into bills, which you can then send to suppliers, and quotes can be converted into invoices to be sent to customers. However, there isn’t a way for suppliers to view a purchase order online and import it into their organisation as a Quote.

  14. Re: New Invoicing - Reduce Number of steps and clicks (The original thread has had comments turned off, so I can't comment that it has made more steps, not less...)

    What has happened here...it is now taking eight tab clicks to get from Reference Number to the first box to input the item code...last week it was six...so the number of click has increased, not decreased.

    Also, when inputting an item code, I have multiple codes that have the same base code with different suffixes...is there are way to just get it to the shaded part that you select the…

    Hi everyone, thanks so much for submitting and supporting this idea. It’s clear from your feedback that having greater control over invoice edit layout, like showing or hiding fields or adjusting the column size, would make a difference on your workflow.

    We understand how important this kind of flexibility is, and we aim to support a wide range of businesses. Right now in Xero, there are some options available. You can choose to hide or show certain columns on the invoice layout, such as tracking, discount, and amount. But we know this doesn’t cover everything, and many of you are looking for more customisation.

  16. BRING BACK CLASSIC INVOICING
    We are extremely frustrated with Xero's recent change to email branding, which now forces our invoices and communications to include the Xero logo. This change makes our company look unprofessional and cheap, as if we are using a third-party service rather than managing our own finances.

    Branding is crucial for maintaining trust and credibility with our clients, and this decision undermines that. As a result, we are now reverting to manually sending invoices outside of Xero to maintain our professional image—adding unnecessary time and effort to our workflows.

    We want to be transparent that we will not be bringing back classic invoicing, however we are still committed to developing and bringing further improvements to new invoicing that we know matter to our customers. You'll find a few ideas that have been raised across the forums here that are in the progress of being worked on by our product teams.

  17. Currently one can only post 50 lines in an invoice. It should be unlimited as some clients have at least 200 lines or more depending on their line of business.

  20. There are new options now under 'Approve' on the new Sales Invoice. The majority of my invoices are created post-purchase, so I create the invoice, approve the invoice, then usually need to go back to the Invoices overview. I want to see added 'Approve and return' or 'Approve and close'. Currently it takes me three clicks to get back to the invoices, because I need to click on Approve, then 'Invoices' from the breadcrumb, then to 'All' since it defaults back to Awaiting Payment. (Why doesn't clicking 'Invoices' from the breadcrumb take you back to the All tab?? Surely that…

    Hi Trudi, while the Business menu option I mentioned in my last update remains the best flow for what you're after here currently.

    I thought it may be useful to share that we've recently released some keyboard shortcuts for common actions in new invoicing that may help improve your efficiency when invoicing. Our product team have added small prompts to highlight these in the product while our customers familiarise, and if you’d like to view the full list of options you can see them all on Xero Central
