    Small request....
    Can you please add the option to highlight text or bold text in line items on the quotes page. We often have multiple people working on/adding to a quote, which is sometimes built over several weeks or even months. It would be great to be able flag another staff members attention to an item or a note left in the line item by highlighting or changing text to bold.

  2. I work in purchases and desperately want to see in the suppliers page where there are multiple bills, a calculation at the bottom of each column (Paid, Due & Total) rather than having to manually calculate each column. The reports page to get this information is too complicated and longwinded. Just show each column totals would make my job so much easier!

  3. Currently limited to sending einvoicing via the peppol network to UK customers only, which is no use if you have international customers requiring eInvoicing (and registered with peppol). Can you enable einvoicing from the UK to EU and other countries on the Peppol network?

  6. As a hire industry I have 1 off invoices for the month or invoices that get set up and will use copy to draft when the end of month happens as hire continues.
    A few things that would be good is I only know at the end of the month when I come to roll over what that value will be at the end of the month. Why can the invoices that are going to rollover have a coding system so when the start of the new month happens I know how much in value may role over and will…

  7. When copying an invoice, it should display “New Invoice” instead of “Edit Invoice,” as it did in classic invoicing.

    Currently, showing “Edit Invoice” makes it difficult to track which invoices have already been copied. Please change this so copied invoices are labelled as “New Invoice” for better clarity and usability.

    Thanks Anishta, appreciate wanting more visibility when you're working on an invoice that has been copied from another invoice.

  8. On sales overview (invoices), it would be really good to have "scheduled" in the "sent" column - where an invoice had been scheduled to be sent by email, but not yet been sent. A column showing the date they are due to be sent would be even better.

    If not as above, it would be really handy if you could click on a tab for "scheduled" so you get a list of invoices that are scheduled, and the date they are due to be sent (like the 'scheduled' folder in Gmail).

    Great to hear you're finding use in the Invoice scheduler, Xav. Being a new feature that's still being rolled out to customers working this feature into other areas like the invoice lists view hasn't been planned just yet, however it would be good to get a sense of the wider interest in this here.

  9. Xero already has a really useful function for Bills where users can easily view unassigned items. It would be extremely helpful if the same functionality could also be added to Sales Invoices.

    For companies managing a high volume of projects and customer invoices, it is very time-consuming to manually open each invoice individually to check whether it has been assigned correctly. A dedicated “Unassigned Sales Invoices” filter or report would make it much easier to identify invoices that still need assigning and would help prevent errors or missed allocations.

    This would significantly improve workflow efficiency for businesses handling multiple projects…

  10. invoices need dates adding , date of work carried out / on hire - off hire dates , the invoices currently only show the invoice date with no other dates added unless doing manually . we have had to stop sending our invoices from xero as customers need dates to match jobs so have had to revert to our old system just for invoicing , surely this could be added

    Thanks for sharing your feedback on this idea and explaining how important it is for your invoicing workflow 🙂

    We understand that only showing the invoice date can create extra manual work, especially when your customers need to see the date work was carried out, or on-hire and off-hire dates that match the job. Having to add these dates manually, or use a separate system just for invoicing, adds unnecessary time and complexity.

    We’ve reviewed this idea and moved it to Gaining Support so other customers can vote and add their comments.

    We’ll continue to monitor the support this idea receives and update the thread if there’s any progress to share.

    Hi Dejan, thanks for bringing this idea to the community. We understand the request for a way to manage bonds or security deposits within the invoicing workflow, including holding the amount separately and releasing or applying it later. This can be useful for businesses that regularly work with deposits alongside standard invoicing.

    The idea is to introduce a clearer way to track and manage security deposits through a dedicated hold and release process, rather than relying on manual workarounds such as liability accounts or journals.

    For now, deposits are typically managed using standard invoicing and liability accounts, with manual tracking used for holding and returning funds where needed. We appreciate this can add extra steps depending on your workflow.

  12. At present, the invoice issue date in Xero needs to be manually monitored and adjusted for each client. Since clients have different required invoice issue dates throughout the month, staff must rely on memory or separate reminders to ensure the correct date is used when creating invoices.

    This creates a high risk of human error, particularly when preparing invoices in draft status, as the system does not automatically prompt or enforce the correct issue date per client. Incorrect issue dates can lead to:

    Delays in client processing or approvals
    Confusion regarding billing periods
    Potential payment delays
    Additional time spent reviewing…

    Hi Alexi, thanks for bringing this idea to the community. We can see why having the ability to set a default invoice issue date at the contact level could be useful, particularly for businesses that work to specific customer billing cycles or contractual invoicing arrangements.

    The idea is to allow a default invoice date to be saved against an individual contact, so invoices created for that customer automatically use the preferred issue date rather than defaulting to the current date.

    For now, using Repeating Invoices may help in some scenarios where invoices need to be generated on a consistent date each month. However, we appreciate this won't suit every workflow, especially when creating ad hoc invoices.

  13. I would like to be able to select a covering statement email as the red box with overdue payments is really annoying our scholars. They see this and think it is the amount they owe. Most of our scholars pay in small instalments this is highly confusing for them. If we had a choice of an alternative template it would be really useful. I have written to support and there is not currently an option for this. Their reply is below for you info.

    ✨ Thanks so much for taking the time to share this idea and explain the challenge you’re running into. We’re moving this idea to Gaining Support so we can hear from more customers who would like greater flexibility in how overdue information is shown in statement emails, including different template options.

    If this is something others in your network are running into as well, we’d really appreciate them adding a vote or sharing their use case too. That kind of detail helps our product team better understand the real impact on day-to-day workflows.

  14. When updating a customer’s contact details—specifically the name the invoice should be addressed to—the changes do not automatically flow through to the generated PDF invoice.

    Currently, the only way to reflect the updated details on the invoice is to cancel the existing invoice and reissue a new one. This creates unnecessary extra steps and increases the risk of errors or duplication.

    It would be extremely helpful if any updates to customer contact details automatically applied to all associated draft and existing invoices (where appropriate), including the generated PDF version.

  15. Allow negative values in default due date options.

    We set our due dates 7 days prior to the invoice date, currently Xero only allows default due date settings to be set after the invoice date.

    Allowing negative numbers would make our workflow much quicker!

    Hi everyone, thanks for sharing this idea. We understand the ask for the ability to set negative default due dates.

    Currently, default due dates in Xero are designed for scenarios where the due date falls on or after the invoice date. We appreciate the suggestion that negative due dates could support specific business workflows and would like to understand more about when this would be most useful.

    We encourage the community to share more examples and use cases to help us better understand this need.


  16. I would like to take our first payment via Go Cardless Instant Bank Payment and send them a mandate to fill in for future recurring monthly payments.
    We have our first invoice for customers purchasing a subscription from our website set to instant bank pay, so that they can pay immediately and be given site access immediately, but they will then make future payments by Direct Debit.

    Hi Stephen, thanks for raising this idea. We understand why having the option to set up a Direct Debit mandate at the same time as an Instant Bank Payment via GoCardless could help create a smoother customer payment experience.

    The idea is to combine these steps into a single checkout flow, allowing customers to make their first payment while also authorising future Direct Debit payments without needing to complete a separate setup process.

  17. Idea for a warning pop-up message for when clients add payments to invoices
    (usually they haven't matched off by cent variance or something that has made it not match in the reconcile screen) Currently, its to easy for clients to add payment without realising they have also coded this, leading to double return of income/GST paid twice

    Hi Eden, thanks for sharing this suggestion. We understand why having a confirmation prompt on the “Add Payment” action could be helpful in preventing mistakes.

    At the moment, when a payment is entered on an invoice, it is recorded immediately once confirmed. If a selection is made in error, this can require reversing or correcting the transaction afterwards.

    One option in the meantime is to use the bank reconciliation screen with the Find & Match process, where transactions are matched directly against bank statement lines. This can help reduce the likelihood of accidental manual payment entries from within the invoice screen.

  18. The function already exists to have assorted branding and (if you remember) you can send from different email addresses. This falls down (in my scenario) as i have two companies using the same Xero package but have to download quotes, invoices and statements to send from my desktop email account, as the email template has none editable company details and we cannot obviously send invoices when the email is branded with a competitor.

  19. It would be most helpful to have a valuation format ( which for my construction business sits between the ( Quotation & invoicing documents that Xero have delivered perfectly)
    This would require a % of the line item “ as defined in the quotation document” this value / % would increase as the project progressed.
    Is this something that could be accommodated?? For a 50 something builder with limited I.T experience Xero has proven to be user friendly and very efficient tool. Thank you!!! The perfect tool would include the above Valuation document.

  20. We currently have 3 different Xero accounts for different regional entities, but all payments need to flow through one Stripe account.

    At the moment you have to have an individual Stripe account for each Xero entity/account. It doesn't say this anywhere and when I tried to connect the account to a second Xero entity it began creating new Stripe accounts that I then had to delete.

    Being able to connect ONE Stripe account to all Xero accounts would be a huge help.
