  1. As with the financial side in Xero and their history and notes section, it would be very useful to be able to track who has approved leave or timesheets in Xero Payroll. We need site on which manager has approved the leave application or timesheet to mitigate any risk of the wrong people approving these.

  2. Ability to record an annual shutdown leave.

    Purpose: Payroll admin can easily record annual shutdown leave when they need to make a calculation around separating employee’s anniversary dates and start dates.

  3. STP2 - Splitting allowances for all purpose from the hourly rate

    We have employees with all purpose allowances - ie it forms part of the base hourly rate and extrapolates in to overtime rates and annual leave loading. I now have to take it out of the rate and pay as separate line items including overtime and annual leave multipliers.

    Is Xero in their pay templates going to make changes to say have a tick box to indicate an add on allowance to the rate so regardless of the pay lines (that are set up as such) they multiply they…

    Hey community 👋 thanks for the interest in this idea! 


    Just to clarify, when creating a new allowance pay item, you'll have the options to 'Contribute towards annual leave rate' and 'contributes towards overtime rate'.


    This setting will include allowance type pay items in the calculation of annual leave and overtime rates. 


    I can see the main request here was a 'box to indicate an add on allowance'. 


    Can you confirm if this tick box in payroll settings solves that request?

  4. Payroll doesn’t calculate pension until after you submit the payroll/RTI, so you don’t know what the actual net payments are until submitted. Try explaining to a client that what they signed off isn’t what they actual pay.

  5. Many organisations pay staff tax free money when they work away from the office more than 24 hours. Currently there is no expense claim format that allows this type of reimbursement to be entered.

    Is it possible to have flexibility to create our own expense templates?

  7. If employees are putting their expenses onto Xero Projects then you should be able to pull a report and pay their expenses from it. Otherwise they are going to have to duplicate work by putting it on Projects and then submitting an expense claim.

    Maybe a case of understanding your workflows here a bit better, Rachel. Currently when entering an expense through Xero Expenses you can assign to Projects so these'll attach and show against your Projects in Xero - Would be great to get more details if there's something in here which requires duplication. 

  8. That Leave Liability Report is able to be exported to Excel. This would avoid double handling when I am creating graphing for the CE

  9. Update the monthly payroll to calculate based on the number of work hours in the month, rather than taking the yearly salary / 12 / number work hours. Given that each month has a different number of work days, the pay rate changes every month and this is a compliance issue.

  10. Generally working in Xero is very efficient. However, when paying approved expense claims (and recording the payment) I have to constantly switch between keyboard to type in the payment amount (which is displayed in a cell above) and the mouse to select the payment date and payment account. I can't imagine a scenario when the amount paid is not the amount approved. Why is this cell not pre-populated with the approved amount? If it was it would halve the time it would take me to register payments against expense claims.

  11. Student Loan Tax Calculation
    Xero tax sets out the calculation of Income tax and NIC very well.

    Unfortunately, the system is obscure in relation to displaying the calculation for Student Loan Tax which is important for an increasing number of young people coming into financial maturity.

    We need to provide adequate assurance both to them and the increasingly aggressing Student Loan Company to avoid penalties and unexpected bills.

    I request that Xero includes a breakdown of the calculation on the Summary computation report.

  12. Roster Board for Employee Shift Management.

    A scheduling /roster to show employee shifts. That then can be reconciled against the timesheets submitted. The ability to also send the weekly/fortnighly schedule roster to each employee - or have them be able to view it on the Xero Me app. Have a clock in clock out feature on the Xero Me App to record when a shift starts and ends.

  13. It would be great to be able to edit text on a payslip. For example, one of my clients would like to hide the percentage of leave loading on their employees' payslip. Currently the payslip would read "Annual Leave - Leave Loading (17.5%, exempt from SGC)" for each time leave is taken, and they would like to hide the "(17.5%, exempt from SGC)" part.

  15. currently we put all of our mileage through as an expense claim and then make a bath payment once it is a certain amount, however when creating the batch payment, the report produced at the end just simply stated expense claim. this can be clicked to go in individually however it would be nice if the description for that expense could also be shown so that it produces a better overview of what is being paid. even if this is just an option to add different columns that it can be selected from, that would improve things.

  16. In the employee card under pay template be able to organise the earnings rates in the order we prefer. For example have employees working overtime, saturday sunday and monday to friday. Being able to put the earnings in alpahbetical; order not how it is saved by Xero.

  17. Once expenses are approved it would be fantastic to have an option to "send" this to their next approved payslip rather than having to manually add this to the payslip.

    Seems madness this isn't implemented already - what is the point in doing everything in Xero if you need to faff around making adjustments for details that are already in the system.

    Employee's submit expenses - so you know who needs reimbursed already.

  18. Actual vs Accrued Leave on Payslips
    A report to support this leave
    Employees are submitting leave as per there payslips and have no knowledge that this is not actual leave. They may not have been with our company 12 months or it's accured leave which only becomes actual on their anniversary. We are finding some of our employees with negative leave balances, which causes both confusion and problems on them leaving.

  19. Hi there,

    I am using payroll manager currently for all my client payroll services, and xero does not provide reports like HMRC monthly payment, P32, I can see it but can not download it to send to my client for payment. Also no employee wage report whereby my client see all deductions/additions and pay net wage to all staffs.

    Please check this software https://moneysoft.co.uk/payroll-manager-overview/ this is far best software so far and probably all accounting practices are using it because its user friendly and provide too comprehensive report to clients and employer

  20. When using Xero Payroll as an agent it would be better to be able to hide the agents Govt Gateway ID as well as the password. Could it be updated so that when you tick that you are submitting as an agent, both parts are hidden from the client?
