    Hello everyone, we understand that being able to automatically assign tracking categories to users for their expense claims would be a huge benefit, saving you time and ensuring accurate reporting. 📈

    We've heard your suggestions we're continuing to monitor the interest in this idea, but it's not on our current development roadmap. We'll be sure to update you here if anything changes in the future. 👋

  2. When calculating annual leave the ordinary hours changes to include allowances. The loading is then based on this figure. However the allowances are still included as separate lines on the pay template and need to be removed manually. Can this be automated as it needs to be done manually for all employees for every annual leave period?
    I can opt not to include allowances in the calculation, but it makes sense to gross up allowances in the ordinary rate for this purpose.

  3. At the moment, if an employee allocates their hours to the wrong cost centre (i.e. the incorrect Xero tracking category) and the payroll has already been posted, there’s no way to correct the allocation — even if the pay run hasn’t yet been submitted to the ATO.

    This becomes problematic for organisations like ours that rely on accurate tracking of labour costs by project or cost centre. In most cases, the number of hours worked remains correct — it’s just the cost centre allocation that needs fixing.

    Would it be possible to introduce a feature that allows tracking categories to…

  4. It would be really helpful if a bill could be created from the pension filing figures on payroll once you have clicked on marked as filed. (such as it is an option when you do your vat return)

  5. Allow users to put in mileage claims at a nil rate per mile.
    This would allow the invoicing team to pick up mileage to charge to clients that is not claimed by operational staff: for example, where operational staff have a vehicle provided by the company.

    Hi Darren, thanks for clarifying with our support team that your employees submit timesheets. I've updated your idea to reflect this.

    If a timesheet employee has been assigned a holiday group, you'll need to edit the Public Holiday earnings line in the draft pay run.

  7. When an employee onboards and doesn't have a Tax File Number (TFN) either because they are new to Australia and have just applied for one or they are under 18 and exempt. Xero should have a feature that warns you when they either turn 18 or they have passed the 28 days allowed to work without a TFN and it should automatically change their tax declaration to no TFN provided and change the tax withheld rate, until a TFN is provided.   9. What I need is for it to look like the Payroll Employee Summary, but with additional columns for Annual & Personal leave taken and the value of that leave.
    The report you are telling me is to messy to read.

    When I quickly want to take a photo of a receipt using mobile, I have to go through several clicks from the Dashboard: Purchases | Files Inbox | Take Photo. Which is frustrating. Can't you put a button on the dashboard [Take photo]?

My Idea: Somewhere to enter a prepaid annual or longterm expense (ie Insurance) that can first go into a Prepaid Expenses asset account and then set to either expense at regular intervals until "used up" or able to manually expense as periods come to a close. This manager would help keep track of all prepaid expenses in one place and would keep a running balance for each item. Viewing options would include being able to filter/sort by item (ie 2023 Insurance Premium), or by type (ie software subscriptions) or by expense account (ie Insurance Expense).

    Hi team, while we don't have a direct feature that would automate the entire process, there is a way to record and do this in Xero.

    You could set up an account for the expense in your Chart of accounts, and reconcile the original payment to this account. You could then set up a repeating bill or invoice template to auto generate and you'd make payments on it to the same account to reduce the balance over a period of time.

  12. Unallocated leave. The only leave an employee should be allowed to create is leave that has been allocated to them. Unpaid leave if it has been created is automatically an option for all employees despite them not having it allocated to them. And thus the employees choose that leave which also requires no approval, which should also be a thing, why can employees automatically give themself unpaid leave without manager approval? So 2 changes above that I'd like implemented

    Thanks for sharing with us here, community. While your idea has been reviewed by our product team we want to be open that we will not develop the ability to delete old pay runs. Instead, there is the mark as inactive option.

    We have rolled out new functionality in NZ payroll for timesheets, and while inactive ones are in the list, these are grouped together at the bottom, meaning you don't have to scroll through them, but can still view any old timesheets linked to that calendar.

  14. When you view a payrun, the breakdown at the top shows: Earnings, Taxes, Superannuation, Net Pay, Status & Payment Date.
    When you view the details for any of the employees there is an additional field for Reimbursements at the top of the screen.
    It would be great if the reimbursements total was also shown on the pay runs summary screen to quickly review and identify the total.
    Especially when the clients run their own payroll and we are just reconciling.

  15. Create a feature to identify whether an expense is tax deductible or non-tax deductible under Bill, Expense, and Journal. This will be extremely beneficial to the SME Accountant when preparing tax computations.

  16. Hello,

    I wanted to take a moment to share a suggestion that I believe could significantly simplify our payroll process. It involves the implementation of a bulk upload feature, which would allow us to handle payroll data in a more efficient manner. We will need a template that contains essential details for each employee. These details may include the employee's name, rate of salary, and various pay items relevant to their compensation. This would reduce the time and effort invested in processing payroll.

While we understand wanting to see developments, as you may have recently read - We’ve been offering Pay Run to our Global Edition customers since 2011 to provide basic payroll functionality. However, over the years, we’ve focused our efforts on making solutions available which offer enhanced features and a deeper integration with the Xero platform, such as Xero payroll in AU, NZ and UK, we've also seen newer payroll solutions in regions available through the Xero App Store (such as Gusto in US). 

    With this focus, we’re making some changes to Global Pay Run to help you manage your payroll more effectively;

    - From 23 July 2025 Global Pay Run will become read-only. You'll still be able to see all your past payroll information, however you will not be able to process any new pay runs…

  17. Are you likely to increase the number of employees you can have in Xero to more than 200? We don't want to move from Xero but may have to if the numbers can't be increased.

    Hi team, while we appreciate you raising the idea here, the cap of processing payroll for 200 employees is to prevent any issues with your user experience - Going over this could slow down the payroll function, and create difficulties when you run payroll reports.

    If you do need to process larger payrolls, we suggest taking a look at our third-party providers in the Xero app store that can serve your needs and handle larger payroll data.

  18. We have a lot of personal expenses (reimburseable) and no company expenses within our business - when employees input their expenses it defaults to company money.

    Occasionally these slip through the net and aren't changed prior to approval.

    Can we switch off 'company money' in expenses - or can we set 'personal spend' to be the default option?

It would be useful to be able to remove employees who are no longer working for the company from the Xero Expenses app. It's annoying having their names pop up under the "Nothing to review" section as it's easy to continue to file expenses under their name even though they no longer work for the company.

  20. Ability to email payslip before the pay run is posted. This way the employee can come back to the pay clerk with any feedback on hours or allowances before the pay run is completed and filed through to myir. The reduces the need to revert the pay run before the "final" posting and payment made to employees. Reverting the pay run impacts on IRD when IRD have begun their processing as they have to do a manual amendment to pick up any changes once the pay run is re-posted. I have advised by IRD they have to make manual amendments…

    Hi everyone, I wanted to provide an update on this idea. As you're aware, In Xero it's not possible to email payslip to employees before posting the pay run.

    As mentioned here, the workaround is to manually download the payslips and handle this outside of Xero.

    We want to be up front, our product team don't have any plans to develop a feature to email the payslips from a draft pay run.

    We know this isn't the answer you were looking for. Please continue to support ideas on this forum as it really does help drive the future of Xero.
