  1. For mileage expenses a way to have a total amount of miles used so that I can track once I reach 10,000 miles and adjust the rate from 45p to 25p. Or have this set to automatically.

    Thanks for the idea ✨ and for explaining the need to be alerted at a mileage threshold so the rate can be updated. We’ve reviewed this and, at this stage, we’re not planning to progress it. The approach needed here would rely on a GPS component for automated tracking, and this isn’t something we’re exploring right now. In the meantime, you can continue recording mileage manually and adjust the rate when you reach your threshold. We’ll keep monitoring interest in this space, and if our direction changes, we’ll update here. Thanks again for sharing your use case and helping us understand your needs 🙏

  2. The problem:
    Xero Payroll does not currently allow reporting by Tracking Categories (e.g. by location, cost centre, or department). While Tracking can be applied to invoices and expenses, payroll reports (Pay Runs, Pay History, Payroll Activity, etc.) cannot be grouped or filtered in the same way.
    For businesses with multiple locations under a single entity, this means payroll costs cannot be easily allocated to the correct branch. At present, the only workaround is to export payroll reports to Excel and manually tag employees, or rely on journal postings into the P&L.

  4. we have option to download pay slips of employees but, there is no option to download timesheets it would be easy to have a option to download timesheets.

  5. Expenses - I want to be able to give an employee the ability to submit on another's behalf but not to be able to approve them or see everyone else's expenses e.g. Executive PA should only be able to submit her the Executive and not have the option to approve or see another employee's expenses.

  6. It would be really helpful if a bill could be created from the pension filing figures on payroll once you have clicked on marked as filed. (such as it is an option when you do your vat return)

  8. Currently, all our tracking categories are available to those entering expenses, however, the majority are not relevant to expenses (although they are required for invoicing so we cannot remove them from the list). We would like to be able to chose which items in the categories are available and which are not, just like we are able to with the GL accounts.

    As you're aware, currently there isn't a restriction on which tracking options you can select when you're entering transactions and expense claims.

  9. Leave types: why aren't these in alphabetical order on the leave request screen?
    I have numbered them so that they should appear in the order I want them, but they appear last. It's the same in Xero Me - I want the most used leave types to appear first, but the leave types appear in a random order.

  10. Unallocated leave. The only leave an employee should be allowed to create is leave that has been allocated to them. Unpaid leave if it has been created is automatically an option for all employees despite them not having it allocated to them. And thus the employees choose that leave which also requires no approval, which should also be a thing, why can employees automatically give themself unpaid leave without manager approval? So 2 changes above that I'd like implemented

  11. When you view a payrun, the breakdown at the top shows: Earnings, Taxes, Superannuation, Net Pay, Status & Payment Date.
    When you view the details for any of the employees there is an additional field for Reimbursements at the top of the screen.
    It would be great if the reimbursements total was also shown on the pay runs summary screen to quickly review and identify the total.
    Especially when the clients run their own payroll and we are just reconciling.

    Thanks for your patience, it’s been a little while since you raised this idea, so we wanted to check in. We can see this idea has been steadily gaining support. Our product team are keeping an eye on this idea and we will continue to share updates as things evolve.

  12. In order to track and approve "Working from Home" requests it would be useful if Xero would enable pay item ("Working from Home") to be created that would function in the same manner as a leave category but was not leave (i.e. would not be reported to the Tax Office as a type of leave).
    That way employees could apply to work from home, as they do annual leave, and approved working from home hours would automatically appear on the leave calendar.

    Hi there, we appreciate you raised this a little while ago. This isn't something we have plans for in the near term.

    Not getting a lot of support from other members we’ll soon remove this from Product ideas. If it’s still highly valuable to you, welcome to start it again and see if it gets renewed interest.

  13. Include the "superannuation payments" report in the "view reports" drop down menu in Payroll / Pay Employees.

    This would be beneficial for payday super because you would be able to download the report directly from the payroll facility when processing the pay run.

  14. Clients who are not eligible for an ABN but have a PAYG withholding obligation (e.g. people who employ domestic help) have to register the ATO for a Withholder Payer Number (WPN) so they can deduct and remit PAYG. The SBSCH has enabled super stream for holders of WPNs but that is closing 1 July 2026. Xero STP/Auto Super currently requires an ABN for registration - please make use of a WPN possible.

  15. When you approve an auto super payment it would be helpful if an account transaction is created in the bank account with the description detailing the underlying payruns the super payment amounts relate to (ie pay dates, employee total). This would then be matched to the withdrawal on from the bankfeed.

    When trying to reconcile what super has been paid and when this information would be very helpful in identifying late super from within the GL or account transaction report.

  17. When you go to enter a leave request manually (not employee entered), if you select the dates first, and then realise 'oh I meant this to be sick leave, not annual leave' and change the leave type, the dates 'reset' to current date, and don't retain the information you've already entered.

    This means you can accidentally enter an incorrectly dated leave request, having done all the hard work of calculating the hours and dates, then realised at the last second that the 'type' of leave is wrong - everything resets!

    Hello everyone, we understand that being able to automatically assign tracking categories to users for their expense claims would be a huge benefit, saving you time and ensuring accurate reporting. 📈

    We've heard your suggestions we're continuing to monitor the interest in this idea, but it's not on our current development roadmap. We'll be sure to update you here if anything changes in the future. 👋

  19. When calculating annual leave the ordinary hours changes to include allowances. The loading is then based on this figure. However the allowances are still included as separate lines on the pay template and need to be removed manually. Can this be automated as it needs to be done manually for all employees for every annual leave period?
    I can opt not to include allowances in the calculation, but it makes sense to gross up allowances in the ordinary rate for this purpose.

  20. At the moment, if an employee allocates their hours to the wrong cost centre (i.e. the incorrect Xero tracking category) and the payroll has already been posted, there’s no way to correct the allocation — even if the pay run hasn’t yet been submitted to the ATO.

    This becomes problematic for organisations like ours that rely on accurate tracking of labour costs by project or cost centre. In most cases, the number of hours worked remains correct — it’s just the cost centre allocation that needs fixing.
