Expenses - Pick Expenses attendees from directory
I’d like to submit a feature request for an enhancement to Xero Expenses, specifically around team meal and group expense submissions.
Current Challenge
When employees submit expenses such as team meals, client lunches, or group events, there is currently no built-in way to select the attendees from within the organisation.At the moment, users can only enter attendee details manually (e.g., typing names into the description), which leads to:
-inconsistent formatting
-missing attendee information
-difficulty auditing expenses
-additional work for finance teams during review and P11D/PSA reportingRequested Feature

User roles - Hide the Customers list for Expenses "submitter" users
I appreciate that the "Assign to customer" option is useful, but I do not want all of our field staff who use Expenses seeing our customer list. Surely this option can be removed for "Expenses Submitter" roles (but kept on for "Approvers" and "Admin")?

Mobile App - Ability to manually edit or reset 'Common Expenses' list
Manually change Common Expenses! Infuriating that you can't changed these. I've been stuck with the top 4 I used in the first 3 months of the app but they are now so different.

Expense Claim without staff using XeroMe
Would be great to be able to create an expense claim for all the staff members listed in Payroll without them having XeroMe access.
Our staff don't use XeroMe at all, but submit expense claims on the odd occasion. The Expense option is a great idea but very limiting to the staff members that we can use it for.3 votesHi Vanessa. Thank you for this suggestion.
We understand that for staff who rarely claim expenses, setting them up as a Xero user just to process a single reimbursement can be administratively heavy.
As you have found, the current Expenses module requires the "Claimant" to be an invited Xero user. Because your request is to allow claims for "non-users", we are classifying this as a new idea to Gain Support.
A note on Xero Me access: If the main barrier is that your staff prefer not to use the mobile app, it is worth noting that they can also submit their claims via the web version of Xero Me (logging in via a desktop) instead of using the app.

AU Payroll - Employee Remuneration - Ability to view date employee last paid
Payroll report (or add field to existing), "date employee last paid".
We have a lot of seasonal adhoc casuals, it would be good to have a column in payroll reports showing the last pay-period they were paid in. We'd use this to off-board employees we haven't paid in a certain period of time (i.e. 12 months). Expense claims - Item field
Xero Expense claims do not provide the field "Item" when submitting an expense claim for small items of inventory purchased infrequently. This means the inventory items purchased via expense claims will not show up on the reports "Inventory Item Details" and "Inventory Item Summary" reports" and a separate reconciliation just on expense claims will need to be run in order to account for the true inventory balance.

NZ Payroll - Option to remove Salary Hours on Payslips
Please update to have the option of removing salary hours on payslips.
We just need the Gross Salary for that line and not the hours.
When we have employees working accross different days of the week Xero Payroll round the hours and so in our example someone on 100 hours working 11 days per fortnight, Xero Payroll rounds the Salary Hours to 99.9999 on the payslip which is close but not correct. Xero Me - Add detail to notifications
Xero permissions are all or nothing - you either have access to timesheets and expenses or you don't. As such, you get a lot of notifications about things that aren't yours to deal with. It would be good to have a little more detail in notifications, for example; "There is a new expense from Robert Smith to review" so you know if it's relevant to you or not

- When an expense is submitted users with the admin or approver role will receive an email notification that an expense is awaiting approval
- When an expense is approved or declined the user that submitted the expense will receive an email notification
- Users will no longer receive notifications when they take an action on their own expense
I'll let you know once these changes have been rolled out. But if there are other specifics in the notifications that you'd find helpful it would be good to hear these, too.

AU Payroll - Working Holiday Maker Tax Rate Adjustment

I’ve noticed that Xero currently doesn’t support applying mixed tax brackets within the same pay run for Working Holiday Makers (WHM). For example, if an employee is set to receive $2,000 in one pay cycle, and the $45,000 threshold is reached after the first $1,000, the first $1,000 should be taxed at 15%, and the remaining $1,000 at 30% — both within the same pay cycle, using mixed tax brackets.

UK Payroll - Allocate leave to different pay period
Currently, Xero automatically assigns holiday leave to the pay period in which it falls. However, for businesses with a different pay schedule within the tax periods, (e.g., a financial period running from the 6th to the 5th of the month), such as cut off being the 28th of the previous month and paying on the 5th of the month. this can cause confusion and misalignment in holiday pay processing. Employees may receive their holiday pay in a month that doesn’t align with the leave taken, leaving them out of pocket or causing administrative burdens.

AU Payroll - Employee Contact Details to have termination date and reason column
On the Employee Contact Details report it would be great to have a column to show the termination date and reason for termination. Being able to sort by termination date range eg last quarter would be beneficial to assist with preparing the long service leave reports. The termination date and reason needs to be included in the report. Having a summary of the information from Xero would be beneficial for all.

Expenses - Rename "Mileage" claim to "Trip KM's" for countries that use metric system
It would make sense to rename "Mileage Claim" to "Trip KM's" or something like that.
There are only 3 countries around the world that officially still use the IMPERIAL system (Miles). United States, Liberia, and Myanmar.
It's a term that doesn't come naturally to the rest of the world.
In the back of my mind, I feel that I need to do a "KM's to Miles" conversion calculation, for every trip entry. Even though I know that's not necessary.3 votes -

NZ Payroll - Edit the layout of employees payslips
We have multiple employees that have various deductions from their wages. This is causing the pay slip to spread accross two pages which is concerning as they may miss important information like messages at the bottom of a pay slip.
There needs to be the either:
1. The ability to change the payslip layout
or

AU Payroll - Increase Size of Drop down within a Payrun when changing between employees
When going to Payroll -> Pay Employees -> (inside your payrun) -> (Inside an employee's pay)
There is an option to drop down the list of employees included in the pay-run to change between. Could this be made much bigger please.Same goes for teh Drop-Down in the Employee Setting Pay-Template tab

Xero Expense - Use date of last entry
When entering expense claims, the program should be set to retain the date entered in the last expense claim item. When catching up on accounting, it is cumbersome to be working on July in December and have to go back and change the entire date for each entry. I should be able to retain the last entry date on the next and simply be able to edit the day.

UK Payroll - Unscheduled pay run in advance should only stop updates to staff included in the run.
UK Payroll - when an unscheduled pay run has been posted for a period it stops any updates to salaries even when a full payroll hasn't been posted. It makes sense that a full run would stop updates but only people included in an unscheduled pay run should be barred from having updates applied. For instance, with an unscheduled run posted I can't adjust starting dates or salaries for staff, and these may have changed after the unscheduled run was posted.

NZ Payroll - Separate "Post" and "Submit to IRD" actions
Currently, when you connect your Xero login to myIR, Xero automatically files the pay run with the IRD as soon as it is posted. Unfortunately, there is no option to opt out of this automatic filing without disconnecting from myIR entirely.
It would be much more flexible if posting and filing could be done as separate steps. While it's possible to have another user who isn't connected to myIR handle this, small businesses often rely on a single person to manage the entire payroll process.
