AU Payroll - Ability to generate timesheet report for hours paid vs hours submitted
We are wanting to create a report for timesheet information for hours worked submitted by employees, that have been reviewed by their managers, i.e. rejected and unapproved overtime worked. The timesheet report only lists the paid hours. We would like to know the hours submitted by employees on their timesheets, versus the hours that were eventually approved and paid for. Are we able to create a custom report for this, to work out unapproved (as revised by the approver) overtime hours per employee, for a specific time period. If you're just getting started with Xero (from 5 August 2024) you can now set up the Sick leave entitlement date for an employee.
We know people in the idea here are existing payroll users and we can assure you we're working to also develop this for existing customers. There are a few more intricacies to work through from what already exists to the new. I'll be back to share when there's more news on this and when you can get access to this too. Thanks

UK Payroll - Add pay reference period calendar for Nest pension
Not sure about other pensions, but when using NEST, Xero doesn't currently link up how you would like it to.
Whether you pay staff monthly or weekly, you are bound to have a cut off date for calculating hours which is before the date you send payment to employees.
The info that gets shared when filing the pension records is the "payment date". This physical date falls under the following pay period meaning when the info is transferred to NEST it comes up as the wrong period.
For example:

AU Payroll - Choose when Employees have access to payslips in XeroMe
From the moment you post a payrun, and this can be 1 day or 10 days before payment is made, employees have access to their payslips. To pull an ABA from the payrun, you need to post the payrun first. I process payroll for over 30 business's. Part of that process, as I am sure it is for any agent or employee bookkeeper, you generally need to get an approval (even the filing for STP makes you verify that an authorised person has checked it). UK Payroll - Report showing PAYE obligation, due date and account code
Produce a report/statement in Xero or Xero Payroll which would inform my clients on how much to pay to HMRC, which HMRC account/sort code to use, what reference to use, and what date it should be at HMRC by.... available for each time a Payroll is run.

AU Payroll - Include all-purpose allowances in shift loading
We pay our employees under the Electrical award which includes several compulsory 'All Purpose' allowances that are now reported separately as per STP2. When our staff are paid a shift loading, these allowances need to be included in the loading. I have to manually add the allowances into each all purpose loading (which is time consuming)
Can you please have an option to fix this in the pay items? There are certain allowances that have to be included in overtime, annual leave (which you have an option to include) but you dont have one for shift loading7 votes -
Timesheets: Allow non-employees to submit timesheets for reimbursement
I think it would be great to have a submit for approval option in timesheets on the web version just like you can with invoices and bills. I am a third party bookkeeper and therefore Xero Me isn't really an option because, I am not an employee so I can't really use Xero me and if a timesheet is submitted by an employee, it has to be sent to me for approval for editing to ensure it comes through to payroll correctly for processing as an approved timesheet cannot be edited in payroll. I cannot believe that there is no merge function for duplicated employees. Most payroll systems have this function. The error occurred between integration with time and attendance software and Xero.

UK Payroll - Calculate pension contributions on pre-SMP earnings
Employer pension contributions for employees on SMP should be calculated on the employee's earnings before they went on leave, not on the reduced rate of 90%. Xero's calculation is currently on the latter with no option to overwrite. The correct calculation would be first choice, but the option to change figures would be helpful also

Right now, you can create an additional Employer Pensions pay item and add it to the employee's Pay Template. When the pay run is processed you'll be able to enter in the difference due, to ensure the total contributions equals the required value. If anything changes in this space, we’ll update you on this idea.

Expenses Claims Detail Report - Include approver
I would like to be able to run a report on expense claims which shows who has approved them at a glance, like a payable invoice report . At the moment, you have to open each and every claim to see who has approved it.

AU Payroll - Assign employees a payslip password
Is it possible to assign a password to each employee that they need to enter before they can open their payslip?
7 votesAppreciate your input here, everyone. We don’t have any plans in the near term to add passwords to payslips, but did you know you can invite employees to the employee portal Xero Me? Employees can securely view payslips, submit timesheets as well as request leave.

NZ Payroll - Birthday reminders for contracted staff
Enable option to enter birthdate for contractors in payroll. Our contractors have been with us for years and we like to recognise their birthdays. Since xero payroll integrates with Finlerts LeaveCal and Google Calendar, this would make this a breeze :-)

AU Payroll - Accruable earnings pay item
Accrued Earnings Payroll item in Payroll
We need to record a Project Incentive Payment as an accrual on payslips. These accruals vary per project with some accrued hourly, daily or weekly and are paid at the end of the project.
The Accrued Earnings payment would be setup in Payroll Settings, with a running total displayed on payslips.

AU Payroll | STP phase 2 - Split allowances from the hourly rate
STP2 - Splitting allowances for all purpose from the hourly rate
We have employees with all purpose allowances - ie it forms part of the base hourly rate and extrapolates in to overtime rates and annual leave loading. I now have to take it out of the rate and pay as separate line items including overtime and annual leave multipliers.
Is Xero in their pay templates going to make changes to say have a tick box to indicate an add on allowance to the rate so regardless of the pay lines (that are set up as such) they multiply they…

Just to clarify, when creating a new allowance pay item, you'll have the options to 'Contribute towards annual leave rate' and 'contributes towards overtime rate'.
This setting will include allowance type pay items in the calculation of annual leave and overtime rates.
I can see the main request here was a 'box to indicate an add on allowance'.
Can you confirm if this tick box in payroll settings solves that request?

I have been in dispute with HMRC over an amended FPS submission. Having the employee and employer NI contributions broken down would have been a great help to me.

NZ Payroll | Employee - Set up as a 'Casual' employee
It would save a lot of errors if you had an employment type option where once 'casual' was selected as a type, you could only then enter what was needed for casual staff and leave/holiday pay would automatically change accordingly. I have anumber of clients who, when entering new casual staff, inadvertently add hours per day and days per week which then starts the accrual of annual leave and unless they tick the little box under holiday pay, the employee is not paid their 8%.

UK Payroll - Holiday Pay Adjustment
Lot of employee are working overtime. Holiday should be paid adding the Holiday Pay Adjustment. This means that overtime, certain allowances and commission plans will be included in the first 20 days of leave taken in any holiday year. To put this simply, you should be no worse off financially by taking your holiday. So if you earn commissions, claim certain allowances or work overtime these will now be considered as part of your holiday pay adjustment payment.
