UK Payroll: Send P45s direct from Xero
At the moment, we can only download the P45 and then email to employees by different software. It would be better if we can just email the P45 directly to employees from Xero.
69 votesHi everyone, thanks for sharing how important streamlining P45 distribution is for your payroll workflow.
It’s not currently possible to send P45’s directly from Xero. Our product team is actively exploring ways to enhance employee self-service features. While specific plans for this feature are not yet finalised for the immediate roadmap, this area remains a key focus for future development. We've moved this idea to Accepted.
We'll keep you posted if anything changes. In the meantime, you can download P45s from Xero and send them via your usual email software.

Xero Me - Clock in and clock out on timesheets
Xero Me - Needs spot in App to input the Earnings Rate and Tracking Category for the employee. Needs a start/stop button for clocking in/out so that when the employee starts the day they simply press start and the app records the time started. When they press stop it records the stop time until the start time is pressed again. This can be used for breaks and for start and finish of the day - these can be edited if someone forgets. Currently you have to type in times and this can only be done at the end of the…
67 votesHi everyone, thank you for your detailed feedback on a clock in/out functionality in Xero Me. We see how being able to clock in and out directly from Xero Me would improve accuracy for job tracking, while enabling employees to easily log start/finish times and capture breaks at the touch of a button.
As part of a wider project to improve timesheets in Xero, we’ve updated the status of this idea to Accepted.
While this status means the product team would like to develop this, it’s not currently on our roadmap and we don’t have a delivery timeframe. We will continue to consider your feedback as we plan future updates. Thanks for your patience and ongoing engagement.

AU Payroll - Option to enter withholding tax variation as an additional percentage
The witholding variation should be on top of the existing PAYG calculation not overrides it, as it currently does. If an employee completes a MyGov employee Tax Form and notes they want an additional % amount variation withheld - it should be on top of their existing PAYG tax, not instead of it. There is no other option to put in a percentage amount in XERO.
Or allow the upward variation amount to be a percentage amount - not just a fixed amount.
The screenshot attached shows this employee should be paying tax on the full amount (no threshold claimed)…
67 votesHi everyone, thanks for your feedback on this. We appreciate you sharing how important it is to be able to add an additional percentage on top of PAYG.
As you’re aware, you can increase the amount of tax withheld each pay, however the figure must be a fixed amount.
We understand some of you have been using workarounds like manual calculations or withholding variations, which create challenges if employees earnings are not fixed.
While this feature isn't currently on our roadmap, we've updated this idea to Accepted, so that it’s up for formal consideration.
We're grateful for your continued input as it helps us understand what matters.

AU Payroll - Setting award wages automatically
Have the ability to set the relevant Award Rates and applicable grade so the pay rates gets automatically updated each year when the award rate changes, rather than having to manually make the changes.
67 votesHi everyone, thank you for your feedback and for highlighting how much Award automation would help your payroll workflow.
While we don't have immediate plans to build this directly into Xero Payroll, there are fantastic tools available right now that solve this. We highly recommend exploring the Xero App Store, where several third-party integrations offer embedded Awards as part of their software. These apps are specifically designed to handle complex Award interpretation and can automate the manual matching process.
We are moving this status to Not in pipeline, but we’ll be sure to update you if that changes.

Xero Expenses - Multiple images per expense claim
Xero Expenses - In multicurrency expenses there is currently no ability to add more than one image/PDF to an expenses claim.
We have many employees who travel for long periods of time or for certain jobs and need to be able to submit one large expense claim with multiple line items and also provide a photo/PDF of receipts for each of these items. But currently you can only upload one image per expense claim. On top of this there is no ability to set a different currency as the default currency for specifics employees which would be a helpful feature…

AU Payroll - Option to select non reportable allowance
Could Xero start looking at a drop down box on the allowance to have one as Not Reportable (alongside the other catagories eg. Meals, Tools, Car), and to have it out for STP reporting? or another checkbox down the bottom along with the withholding tax, super, and W1 questions?
Instead of going through the long winding process of creating an ordinary earning, remove as deduction and do a reimbursement as per https://central.xero.com/s/article/Process-special-pay-items-like-living-away-from-home-allowance66 votes -
AU Payroll | Payroll activity summary report - Select a group of employees
When generating the Payroll Activity Summary report, it would be good if I could select certain employees.
Currently you can only choose an individual or all employees.
66 votesHi everyone, thanks for your continued feedback on this idea. We appreciate you sharing how important selecting multiple employees is for you when running this report.
Our product team has reviewed this and agree this is something they'd like to develop, though it isn't currently on the roadmap. We’ll update the status to Accepted, so that it’s formally put up for consideration.
In the meantime, Kelly mentioned the Payroll Activity Summary report lets you run reports by employee groups, though we understand this doesn't fully meet your needs with the two tracking category limit.
We'll keep tracking interest here and update you if there's progress.

AU Payroll - Employees - Emergency Contacts and Emergency contact report
Ability to add employee’s emergency contacts and export it.
Purpose: Users can have their employee’s emergency contact in case they need to contact them.
66 votesHi everyone, thanks for sharing how important accessing emergency contact information is for your team's wellbeing. We understand your desire to include emergency contact details in payroll reports.
This isn't something on our current roadmap, however our product team has reviewed this and moved it to Accepted status for future consideration.
In the meantime, some members mentioned valid workarounds such as reviewing the details directly in the employee record or creating an emergency contacts list outside of Xero.
We'll continue monitoring community interest as we plan future updates to Payroll reports.

UK Payroll: Gross to Net Report on draft pay runs
To allow the payroll team to run reports to runs checks on the payroll before submitting the payroll. This would avoid sending numerous automatic FPS reports to HMRC.
65 votesHi everyone, thanks for sharing your feedback. We appreciate you explaining how important access to reports on draft pay runs is for your workflows, especially for client approvals and pre-submission checks.
Our product team is currently looking into payroll reporting improvements as part of a wider review, however adding additional reports to draft pay runs is not something that’s on their foreseeable roadmap.
Currently you can download payslips, P32 and Payroll Activity Details/Summary reports from draft pay runs. These provide a breakdown of employee earnings and employer liabilities, which can be used for pre-checks before submitting your pay run to HMRC.
Please continue to support other ideas, as this helps our product teams know what's important to you.

AU Payroll - Timesheets for Employees on Salary
Ability to see timesheet function for employees who are on salaries.
Purpose: To make the employees can keep track of their hours without affecting the pay runs.
64 votesHi everyone, thanks for sharing how important it is for your business to have monthly salaried employees complete timesheets for tracking and reporting purposes, without impacting pay run calculations.
Some of you have found workarounds like approving timesheets after processing pay runs, although this may create challenges down the line.
Our product team is currently undertaking a wider review of timesheets, and this idea will be included in that process. Therefore we're updating this idea to Accepted. We'll keep you updated if there are any developments on this.

Xero Expenses | Labels - Enable filters and reports
Would love for Xero Expense Admin to be able to see Expense Reports listing the Labels, and being filtered/grouped by Labels.
For background, Xero Expense allows employees to put a Label. The Labels can even be pre-set in the organization's settings. But the Xero Expense Admin's don't have a way to report on on expense claims by Labels.
Reporting based on Labels would allow users to tag Xero Expenses for projects for instance.
63 votesHello everyone, thanks for your engagement and feedback regarding using labels in Xero Expenses.
We are currently reviewing all of our product ideas as part of a wider project to streamline the status of our community support on Xero Product Ideas and wanted to provide you with an update about this idea.
After reviewing this idea and our product roadmap, this feature isn't currently on our immediate plans as our development teams are focused on other core improvements across the Xero platform.
The status has now been updated to Not In Pipeline. Our product team will continue to monitor this idea and we’ll let you know if anything changes.

AU Payroll - Display individual YTD line items on payslips
Hi, It would be great if payslips line items match the 'pay template' pay items or alternatively, for pay items that have a YTD amount to be shown on all payslips (with the Nil or $amount for the current pay period as applicable with the YTD) to breakdown 'Other Previous Earnings'.
This will also assist tracking multiple pay items where it can vary each pay cycle, coding and tracking STP rates and categories, YE finalisation and review. Many thanks.62 votesHi everyone, thanks for your feedback regarding YTD line items on payslips. We understand that "Other previous earnings" groupings can cause confusion for some employees.
In Xero Payroll, any earnings that haven’t been included in the current pay but were paid previously in the financial year are grouped and shown as Other previous earnings.
While we don't have plans on our immediate roadmap to change this feature, we’ll keep voting open to track interest for the future. In the meantime, you can access a detailed pay item YTD breakdown via the Payroll Activity Details and Transaction Listing Details reports.

AU Payroll - Report for Unused Leave Paid out on Termination
When using the Leave Paid out on Termination feature in xero, the paid out leave is recorded in the Holiday Leave Accrual category. This means we are unable to run a report showing the value of unused entitlements paid out on Termination. This is important information for Workcover Reconciliations etc. Please set up a report for Unused Leave Paid out on Termination.
62 votesHi everyone, thanks for your feedback on this idea. We appreciate you sharing how important STP reporting is.
The existing solution is to view the STP finalisation screen, as this information is included in the employee's STP summary.
Something to note is that leave paid out on termination has several reporting types depending on the termination reason and leave type (i.e. Type U, Lump Sum A, etc).
If you use the STP finalisation reports, you may like to view this in conjunction with the ATO’s guide: STP Phase 2 Reporting - Quick reference guide.
Creating a new report for unused leave paid out on termination isn’t currently on our product team’s road map, so we've updated this idea to Not in Pipeline. The idea remains open for votes though so we can continue to monitor interest.

AU Payroll - Leave report with running balance
Be able to produce a payroll report for leave balances with a running balance. I want to be able to see all leave accrued, leave taken and the running balance in one report.
60 votesHi everyone, thanks for your suggestions regarding consolidating the information provided in the current leave reports and the suggestion to include a running leave balance.
We appreciate that the current leave reports in Xero require exporting out of Xero and manual work to track running balances. We hear that this can add time to your workflows.
After reviewing this idea, we're updating this idea to Not in Pipeline. Whilst we can see the value to you for this particular report configuration, this isn’t an idea that’s on our product teams foreseeable roadmap.
We know this isn't the outcome you hoped for, and we value your input as it helps us understand what matters to the community. The idea remains open for votes so we can continue gauging interest. We’re constantly reviewing the level of support for your ideas, so will keep you updated if the status changes in the future.

AU Payroll - Permission - Function to allow leave authorisers to view Leave Calendar
It would be great for those Approving Leave, to also be able to View the Leave Calendar that is currently available to Payroll Admin users in the Overview Window. Those approving leave need to know who else is on leave for the requested period, which we currently replicate in our Email Calendars, however it would be great to take this step out, it will reduce time and eliminate errors.
60 votesHi everyone, thanks for sharing your feedback on the needs for leave approvers to view upcoming leave for their team. We appreciate you highlighting how important it is to have better oversight of team leave without needing full payroll access.
Our product team is looking into how this idea may fit into a wider review of team management in AU payroll. This is in the early stages of review so not currently on the team’s roadmap, but we'll keep you updated as we learn more.

AU Payroll - Change reply-to email for payslips
Hello. Keen to have the Auto reply email address that is used for invoices to also be used for payslips. I use a different email to log in to Xero than the one I want staff to reply to.
59 votesHi everyone, thanks for your feedback on customising the “Reply-To” email address which payslips are sent. We appreciate you sharing how important it is to have control over the reply-to address, considering sometimes bookkeepers process payroll.
As you’re aware Xero has the functionality to set a default reply-to email address for some emails, however this doesn't extend to payslips.
Our product team sees merit in the idea for future development. We’ll update the status of this to Accepted so that it’s formally marked for consideration.

AU Payroll - Reports - Sort by First OR Surname
I would like the payroll reports to be able to be sorted by first name or last name. I sue them for a number of reporting requirements with third parties and it would make it so much easier if I was able to do this.
58 votesHey everyone! It's been insightful reading through your comments on filtering payroll reports by both first and last name.
Our product team have reviewed this idea and agree it's an idea they would like to develop, but it isn't currently on the roadmap.
In the meantime, as mentioned by some of you you'll need to export the data to work with outside of Xero. We understand this may be an extra step and appreciate this feature could improve efficiency for a variety of situations.
We'll keep you updated as things progress. Your continued input helps us understand the priority and impact of features like this one.

Expense claims - Recurring expenses
Ability to create recurring expenses in expense claims area in Xero.
Purpose: To save users’ time from entering their regular expenses in Xero manually.
58 votesHello everyone, thanks for the detail and support shared for this idea. We understand how recurring expenses would enable efficiency when you have frequent expenses of a similar nature (like subscriptions), so have moved the idea to Accepted.
Currently there is work needed within expenses to enable us to develop this capability. Once we're in a better position to be able to dive deeper into this work, we'll review all of your suggestions and share any progress with you here.

AU Payroll - Allow to change settings for Decimal places.
Pay rates rounding by 4 decimal points causing an underpayment of wages. EG: Base rate is 25.65 x 1.5 = 38.475000 but the award rate is actually 38.48. Need a solution for this ASAP. Also change decimal place settings for pay slip and pay template items such as superannuation.
57 votesWe can see you raised this a little while ago, thank you for your patience whilst it was being reviewed. We can see this idea has been steadily gaining support so have now updated the status accordingly. Whilst this is not currently on our product team's roadmap, they are keeping an eye on this idea and we will continue to share updates as things evolve.
