Payroll: Show employee leave balances when approving leave
When a leave request comes in for approval and the employee can take leave in advance (the box is ticked), it should show you how many hours the employee has available. This amount should be the number available minus the leave balance that has already been approved in the system. The leave balance report is only useful when employees can't take leave in advance in their first year. It's a challenge each time (especially leading up to Christmas) to calculate leave that is available before approving the request because you have to review how much leave has been approved in…
274 votesThanks for continuing to follow along and join in the support of this idea, community. To reiterate on our last update we appreciate and understand the need in being able to easily view an employees' leave balances when reviewing leave.
As already spotted from comments here, I'd like to share an update with the release of projected leave balances in Xero Payroll Australia. This feature has just been rolled out to Payroll admins, where you'll be able to view an employees estimated leave balance when adding, editing or approving leave. You'll be able to view a calculation breakdown and will see a warning when a leave request may result in a negative balance. Helping you to better assess and manage leave for your organisation. 😁
We understand this feature is desired in other regions we offer Payroll and we'll continue to consider how this may be adopted in other…

AU Payroll - Leave requests for part time workers that dont work standard hours
When multiple days are requested the ability to adjust the hours for leave application so it matches the ordinary hours for particularly days.
222 votesHi everyone, thanks for your feedback and for sharing your experiences with leave requests for employees who work non-standard hours.
Later this year, we plan to release the first stage of Working Patterns in AU Payroll.
This will allow users to set a one-week work pattern for each employee, which will automatically be used for leave and public holiday calculations in the pay run.
This initial release will establish the foundation for supporting a broader range of working patterns in the future, including more complex or changing schedules.
We’re moving this idea to Accepted while we explore how leave requests could work for these employees. Please continue sharing your specific scenarios, as they’ll help inform how we develop this functionality.

AU Payroll - Ability to calculate Super accruals for U18s working less than 30hrs/wk
Currently, Xero lists a super accrual for employees under the age of 18 when they earn over $450/mth. However, it doesn't take into account how many hours that employee works per week. Under 18s are not eligible to be paid super unless they work over 30 hours per week (even if they earn over $450/mth), but Xero doesn't recognise this. Unfortunately this shows up a s liability for the employer, even though a liability doesn't exist. I know that it can be worked around in the pay run, but it just means extra work for the payroll admin - particularly…
218 votesHey everyone! Thanks for your ongoing feedback on this. We appreciate you taking the time to highlight how important it is to get superannuation calculations exactly right, especially with the specific rules around employees under 18.
Our product team has reviewed this idea and agrees this needs to be addressed. The current workaround of manually adjusting each pay run isn't the seamless experience we want to provide, especially for businesses with multiple under-18 employees.
As a result, we're moving this idea to 'Accepted'. While we can't give a specific timeframe for a solution right now, this status means it's on our radar and something we'd like to develop in the future.
We appreciate you taking the time to share your thoughts with us and for your patience. 🙂

UK Payroll - Leave Balances Report
Create the report "Leave Balances". This report is available in the AUS version of Xero and is useful when calculating annual leave expense
181 votesThanks everyone for your continued feedback on the need for a Leave Balances Report in UK Payroll. We appreciate you all taking the time to vote, comment, and share how this feature would improve your workflow.
Currently the options for viewing this information is via individual payslips or within each employee’s leave tab.
As part of a wider review into improving UK Payroll reporting, we’re moving the status of this idea to Accepted. We agree a Leave Balances Report is a valuable addition and it’s something we want to address.
While it isn’t on our immediate roadmap right now, it is formally on our radar for consideration as we plan future payroll updates. We will share another update here when we have more news on our plans.

Xero Expenses - Set a default mileage rate for reimbursement
Set a default mileage rate for reimbursement in Xero expenses
157 votesHi everyone, thanks for all of your valuable feedback on this idea. The number of detailed comments clearly show how important this feature is for many of you.
We also agree that this would add significant value to Xero Expenses. That’s why we’re pleased to update the status of this idea to Accepted. This means we have reviewed your feedback and it aligns with our product vision.
While it is a feature we’d like to build, it’s not currently on our roadmap, so we can't provide a delivery timeframe just yet. We will share another update on this thread as soon as we have more news.

Xero Me | Timesheets - Ability to choose different earnings rate when using start and end times
Before we had start/stop times, employees were able to add different pay rates (ie Saturday Penalty Rate). It would be excellent if this option could be included with the start/stop time version in Xero Me.
148 votesHi team, thank you for showing your support in this idea. While this has been reviewed and looked into at present the work we are developing will not extend to start and end timesheets.
This is something we'll continue to consider closely as the team keep planning their roadmaps and we'll make sure to share if there are updates surrounding this, here.

AU Payroll - Monthly payroll tax report
An automatic monthly payroll tax report would be fantastic. I've noticed Xero cannot do an automatic calculation of Payroll Tax like MYOB can. MYOB allows you to select pay categories (pay items) to exclude and run a monthly payroll tax report.
138 votesHi everyone, thanks for sharing your thoughts on having a payroll report that calculates payroll state tax. We understand some of you are required to calculate tax across multiple states.
While we don't currently have a report which calculates earnings based on state, some of you have mentioned workarounds such as using the Payroll Activity Summary report. This report includes earnings totals and can be filtered by a date range and employee groups.
We recognise the value a report of this nature could have for our customers and it’s been added to the wider pool of ideas for our product team to consider for future development.
While it’s not on our immediate roadmap, we’ll be sure to keep you looped in if there’s any progress.

NZ Payroll - Send link for easy onboarding of new employees
Send a link to on board new employees info ie TFN, bank accounts, super account and all personal particulars to get them ready for a pay run.
130 votesHey team, me again. Apologies, getting a little ahead of ourselves with the status of this idea.
I can confirm that self onboarding of new employees is live for Xero Payroll in AU, however this feature does not extend to NZ organisations right now.
This will be something we continue to consider as we keep developing Payroll for NZ and I'll share any further updates with you all here. Thanks

AU Payroll - Super maximum contribution base
Employers are only required to pay superannuation guarantee up to a quarterly threshold (maximum contribution base). At the moment Xero doesn’t cap the super at this level, and will allow super above the cap to be booked. (In fact, to limit the super at the cap requires a work-around adding 2 lines, one with 0% super and another with the fixed amount up to the cap.). Employers can easily overpay their employees’ super. This functionality needs to be built into Xero.
128 votesHi everyone, thank you for your feedback and I do want to apologise for any confusion my update's caused. You're correct in that the responsibility outlined in my response is relevant to the concessional contribution cap. Seeing your responses today, we now appreciate that the idea here is specifically around the maximum contribution base.
I want to assure you this is something our product teams are paying close attention to and though we don't have any immediate plans we can share, we will consider this request as we continue to plan our roadmap - We encourage you to share any further details on your experiences related to managing the maximum contribution base as these will be helpful to the product team as they assess this feature.

Payroll - Add pay run comparative to prior pay run
When processing payroll, be able to see a comparative between current pay run and previous pay run before completion/filing to identify any discrepancies.
118 votesHello everyone, while you can currently export reports to compare pay runs, we understand the value of having this capability built directly into Xero and have been following this idea closely.
For now, AU and UK organisations can use the Payroll Activity Details report for one employee at a time by selecting the relevant date range for the pay periods. To help prevent errors, we recommend checking that employee pay templates are set up correctly, ensuring future pay runs are consistent and accurate.
Although this isn’t on our roadmap at present, we recognise the impact it'd have for customers and will continue to consider it as we plan future payroll enhancements. We’ll share any updates related to payroll comparatives here.

Xero Expenses - VAT on mileage claims through expenses
Many are complaining about no VAT option on mileage claims through expenses. I can see why this would be timely to implicate as the fuel element changes and is different depending on fuel type and engine size.
But think for those that want to, we should at least have a VAT drop down. We could then create a new tax rate for each rate or even employee using expenses.
For example I have a director with a vehicle >2000cc Diesel I believe using the HMRC company car fuel rates this equates to 19p inclusive of VAT. Using the 45p for…
106 votesHi everyone, thanks for your continued engagement with this idea. We know this has been a topic of conversation for a while, and we want you to know we've been listening about the challenges of claiming VAT on mileage in Xero Expenses.
We appreciate everyone who's shared their workarounds, like splitting the mileage claim into two separate lines. While we know this isn't an ideal solution, it's great to see how you're helping each other out here.
Your input is invaluable as we continue to evaluate the best way to address this. While we can't provide a specific timeline for a fix, please know that monitoring this is a priority for us. We'll be sure to keep you updated on any progress.

AU Payroll - View payslip in employees record
Option to be able to view payslip in employee file rather than having to download
102 votesHi there, as part of our ongoing review process, we’re in the process of updating our idea statuses to better track Xero Product Ideas.
We’ve taken another look at this idea. Whilst we can see the value for payroll administrators to be able to view the payslip in PDF from within the Employee’s record, this update doesn’t currently fit into our product team’s road map. We’ll move this idea to a status of Accepted and will continue to review this in future planning.

AU Payroll - Automatically email payslips
Hi
There is a suggestion to add the function of automatically email employee payslips to their email address instead of spending time to manually do it again and this should be restricted for permitted user access.
access.97 votesHi everyone, thanks for your feedback and support regarding automated payslip emails. We appreciate you sharing how this feature would improve your workflows.
The product team has reviewed this idea and confirmed that this is something they’d like to work toward in the future. Although it isn't on the roadmap yet, we've moved the status to Accepted. We'll keep you updated as things progress.
In the meantime, payslips can be emailed manually after processing each pay run. This means if you post pay runs in advance, you may still need to log back into Xero on payday to email them.

AU Payroll - Ability for timesheets to not override Pay Template
When a Pay Template has been created for an employee, only the matching Earnings Rate should be overwritten by entries in Timesheets. Any other Earnings Rates that are set up in the Pay Template should still should still be available in the Payslip - they shouldn't have to be added back in again when processing the pay run. For instance, Fares & Travel Pattern Allowance needs to be paid over and above the Ordinary Hours recorded on the Timesheet. If it is listed on the Pay Template as an Earnings Rate for an Employee it should appear regardless of whether…
96 votesHi everyone, thanks for your feedback on having approved timesheets not override the pay template.
We appreciate you sharing how important this is for your payroll processes, to avoid manual payslip corrections.
Some members have shared alternative processes, such as keeping the timesheets in 'Draft' until after the pay run is posted.
We are moving this idea to Accepted to include it in a wider review of timesheets currently being scoped by our product team. Please note, this status does not confirm a timeline for development. We will update you here on any developments.
-
AU Payroll - Customise Payslip templates
it would be great if you could customise Payslips template or have different formats of payslips for clients i.e remove the hour
93 votesHi everyone, we recognise that a more customisable payslip would provide greater clarity for your employees, better reflect your brand, and save you valuable time.
This isn’t in our immediate roadmap, however we get the benefit this would bring, and it’s on our radar for potential future development. Our product team will consider this idea as they do further roadmap planning.
We’ll update you here if we have any news to share. Thanks

UK Payroll: Reporting - Run a report to calculate holiday pay based on a 52 week average
It would be really useful for those of us in the UK if we could run a report to calculate holiday pay based on a 52 week average. Legally this has been a requirement since 2020.
93 votesHi everyone, thanks for sharing how important automated holiday pay calculations are for you.
We’re updating the status of this idea to Accepted to show it's formally on our radar.
While we’ve already explored several options to automate holiday pay calculations, for the time being this is not a feature we have planned in our roadmap.
We understand some of you are managing these calculations manually. We’d suggest running the Payroll Activity Summary or Gross to Net report over a 52 week period to assist with these calculations.
We’re grateful for your feedback and will continue to monitor interest here.

AU Payroll | Payroll activity summary report - Select a group of employees
When generating the Payroll Activity Summary report, it would be good if I could select certain employees.
Currently you can only choose an individual or all employees.
86 votesHi everyone, thanks for your continued feedback on this idea. We appreciate you sharing how important selecting multiple employees is for you when running this report.
Our product team has reviewed this and agree this is something they'd like to develop, though it isn't currently on the roadmap. We’ll update the status to Accepted, so that it’s formally put up for consideration.
In the meantime, Kelly mentioned the Payroll Activity Summary report lets you run reports by employee groups, though we understand this doesn't fully meet your needs with the two tracking category limit.
We'll keep tracking interest here and update you if there's progress.

AU Payroll - Ability to export and import pay items and rates
Ability to export pay items and update pay rates in a spreadsheet and then re-import when pay rates have been updated. Would save so much time each year when Fair Work increases pay rates.
85 votesThanks to everyone following this idea. We understand how being able to import and export pay items would positively impact your review processes.
Though this isn’t currently in the roadmap, we see the value this’d bring in regards to pay award updates. We’ve updated the idea status to accepted and we’ll share any future developments, here. Your input in idea’s is always appreciated.
-
AU Payroll - Select more than one employee when generating payroll reports
ability to select more than one employee when generating payroll reports, not just a single employee or All employees
84 votesHi everyone, thank you for your continued feedback. We appreciate you sharing how important selecting multiple employees is for you when running payroll reports.
The good news is our product team has reviewed this idea and agrees it is a valuable addition to Xero. We have updated the status to Accepted.
This feature is not currently on our immediate development roadmap, however by accepting it we are formally adding it to our backlog for consideration.
We will keep tracking interest here and update you as soon as we have news.

UK Payroll: Send P45s direct from Xero
At the moment, we can only download the P45 and then email to employees by different software. It would be better if we can just email the P45 directly to employees from Xero.
82 votesHi everyone, thanks for sharing how important streamlining P45 distribution is for your payroll workflow.
It’s not currently possible to send P45’s directly from Xero. Our product team is actively exploring ways to enhance employee self-service features. While specific plans for this feature are not yet finalised for the immediate roadmap, this area remains a key focus for future development. We've moved this idea to Accepted.
We'll keep you posted if anything changes. In the meantime, you can download P45s from Xero and send them via your usual email software.
