Ability to attached files to a pay run and employees

We really appreciate you sharing the value and efficiency this could create for you when working with Xero. It's evident that being able to store important documents like licenses, sick notes, and onboarding papers directly in Xero would remove the need for external storing systems or manual processes.
We acknowledge it's not the end goal but wanted to highlight the use of apps, as some have shared like Dext, to help bridge this gap in the meantime.
I want to assure you that enabling attachments in payroll is part of our long-term intentions. However, to deliver this functionality effectively and reliably, we first need to develop some foundational elements within our payroll platform.

AU Payroll - Set Working Days for Part Time Employees
Currently, Xero does not have the feature to assign certain working days for part time employees. This becomes very frustrating when doing payroll.
For instance, an employee works Wednesday to Friday and when a public holidays falls on a Monday, Xero will allocate either all or some of the employees ordinary hours to this date incorrectly. This means we will have to manually adjust it each time.
A simple resolution would be to set up employees to certain working days, then the public holidays would assign correctly and there would be no need to manual adjustments.

AU Payroll - Ability to apply work patterns to part time employees
Suggest the ability to apply work patterns to part time employees. For example, we have a part time employee who works 7 hours on Mon, 6 hours on Tues and 6 hours on Wed.
At the moment, if a Public Holiday falls on a Monday, it does not correctly work out hours worked.
The same happens if Annual Leave is taken; incorrect hours are calculated which affects AL accruals.

Payroll: Show employee leave balances when approving leave
When a leave request comes in for approval and the employee can take leave in advance (the box is ticked), it should show you how many hours the employee has available. This amount should be the number available minus the leave balance that has already been approved in the system. The leave balance report is only useful when employees can't take leave in advance in their first year. We understand the challenge of having to navigate away from the approval screen to find an employee's leave balance. Providing this information directly within the approval screen could streamline the process and reduce the risk of approving leave that results in a negative balance.
The good news is that our product team's reviewed this idea and recognise the value it would deliver. It's something they’d like to work on in the long term. It's not on the roadmap just yet but we'll update you when we're able to bring more focus to this idea.

Having a 2nd person as a Super Authoriser would be helpful when the 1st person goes on leave.

AU Payroll - Ability to calculate Super accruals for U18s working less than 30hrs/wk
Currently, Xero lists a super accrual for employees under the age of 18 when they earn over $450/mth. However, it doesn't take into account how many hours that employee works per week. Under 18s are not eligible to be paid super unless they work over 30 hours per week (even if they earn over $450/mth), but Xero doesn't recognise this. Unfortunately this shows up a s liability for the employer, even though a liability doesn't exist. 199 votesHey everyone! Thanks for your ongoing feedback on this. We appreciate you taking the time to highlight how important it is to get superannuation calculations exactly right, especially with the specific rules around employees under 18.
Our product team has reviewed this idea and agrees this needs to be addressed. The current workaround of manually adjusting each pay run isn't the seamless experience we want to provide, especially for businesses with multiple under-18 employees.
As a result, we're moving this idea to 'Accepted'. While we can't give a specific timeframe for a solution right now, this status means it's on our radar and something we'd like to develop in the future.

UK Payroll - Leave Balances Report
Create the report "Leave Balances". This report is available in the AUS version of Xero and is useful when calculating annual leave expense

Currently the options for viewing this information is via individual payslips or within each employee’s leave tab.
As part of a wider review into improving UK Payroll reporting, we’re moving the status of this idea to Accepted. We agree a Leave Balances Report is a valuable addition and it’s something we want to address.
While it isn’t on our immediate roadmap right now, it is formally on our radar for consideration as we plan future payroll updates. We will share another update here when we have more news on our plans.

AU Payroll | Timesheet - Ability to add allowances of other unit types
When operating tracking income and expenses in two areas, payroll allows for the primary tracking category when setting up the employee and the time sheet allows the secondary tracking option to be selected.
Currently the timesheet option only allows for the 'hours worked' to be allocated to the secondary tracking option. Any allowance can only be added at the pay run which means it cannot be added to the secondary tracking category.
Can we have the ability to add allowances as an option in the timesheet?

Email notifications: Expenses - Awaiting approval and Approved claims
Ability to trigger notification when expense claims are awaiting approval and approved status.
Purpose: So the approver can review the expenses faster and the one who’s asking for an approval don’t need to wait longer for approval.
142 votesHi team, we appreciate and thank everyone for feedback. While we began a roll-out for the notification changes mentioned in my last update, as shared in some of the recent comments this resulted in a fair amount of noise for some customers inbox.
We've made the decision to turn off the recent notifications changes.
We'd like to provide more controls around this so users can set a preference, however this does require a fair amount of work and not something we're able to do right now.

AU Payroll - Monthly payroll tax report
An automatic monthly payroll tax report would be fantastic. I've noticed Xero cannot do an automatic calculation of Payroll Tax like MYOB can. MYOB allows you to select pay categories (pay items) to exclude and run a monthly payroll tax report.

While we don't currently have a report which calculates earnings based on state, some of you have mentioned workarounds such as using the Payroll Activity Summary report. This report includes earnings totals and can be filtered by a date range and employee groups.
We recognise the value a report of this nature could have for our customers and it’s been added to the wider pool of ideas for our product team to consider for future development.
While it’s not on our immediate roadmap, we’ll be sure to keep you looped in if there’s any progress.

Payroll - Add pay run comparative to prior pay run
When processing payroll, be able to see a comparative between current pay run and previous pay run before completion/filing to identify any discrepancies.
104 votesHello everyone, while you can currently export reports to compare pay runs, we understand the value of having this capability built directly into Xero and have been following this idea closely.
For now, AU and UK organisations can use the Payroll Activity Details report for one employee at a time by selecting the relevant date range for the pay periods. To help prevent errors, we recommend checking that employee pay templates are set up correctly, ensuring future pay runs are consistent and accurate.
Although this isn’t on our roadmap at present, we recognise the impact it'd have for customers and will continue to consider it as we plan future payroll enhancements. We’ll share any updates related to payroll comparatives here.

Xero Expenses - VAT on mileage claims through expenses
Many are complaining about no VAT option on mileage claims through expenses. I can see why this would be timely to implicate as the fuel element changes and is different depending on fuel type and engine size.
But think for those that want to, we should at least have a VAT drop down. We could then create a new tax rate for each rate or even employee using expenses.

AU Payroll - Super maximum contribution base
Employers are only required to pay superannuation guarantee up to a quarterly threshold (maximum contribution base). At the moment Xero doesn’t cap the super at this level, and will allow super above the cap to be booked. (In fact, to limit the super at the cap requires a work-around adding 2 lines, one with 0% super and another with the fixed amount up to the cap.). Employers can easily overpay their employees’ super. This functionality needs to be built into Xero.

You're correct in that the responsibility outlined in my response is relevant to the concessional contribution cap. Seeing your responses today, we now appreciate that the idea here is specifically around the maximum contribution base.

AU Payroll - Restrict which earnings rate an employee can select in timesheets
Ability to restrict which pay items an employee can view in Xero Me to only those that apply to that employee. Without this ability employees sometimes choose pay items that do not apply to them. Most often this is picked up at the authorisation stage but why allow the possibility for error in the first place.

Since this idea was first raised we’ve made a small update - You can now assign earnings rates to employees and these'll appear first in the Xero Me app when an employee enters a timesheet. Just a heads-up that any other earnings rates will still show underneath and can still be selected.
As we continue to develop Xero Payroll in Australia this is something our product team have been keeping a close eye on. We’re planning work that’d let employees select only the earnings types in their Pay Template or the default rate from their employee record.
When this work moves forward I’ll come back here and share an update with you all. 🙂

AU Payroll | Timesheets - Ability to Import Timesheet templates from excel
Could we have the ability to update timesheets each payrun from and excel spreadsheet.

We've been following your comments and recognise that having a streamlined way to get timesheets from a spreadsheet into Xero Payroll would be a huge time saver.
As noted by others in this thread, one option is to explore some of the connected time-tracking apps in the Xero App Store. While we know this isn't a perfect substitute for a direct import feature, it may help bridge the gap in the meantime.
The good news is that we see the value this feature would provide and we want to explore it further. We'll change the status of this idea to Accepted.

AU Payroll - Ability for timesheets to not override Pay Template
When a Pay Template has been created for an employee, only the matching Earnings Rate should be overwritten by entries in Timesheets. Any other Earnings Rates that are set up in the Pay Template should still should still be available in the Payslip - they shouldn't have to be added back in again when processing the pay run. For instance, Fares & Travel Pattern Allowance needs to be paid over and above the Ordinary Hours recorded on the Timesheet. Some members have shared alternative processes, such as keeping the timesheets in 'Draft' until after the pay run is posted.

It would be really useful for those of us in the UK if we could run a report to calculate holiday pay based on a 52 week average. Legally this has been a requirement since 2020.

While we’ve already explored several options to automate holiday pay calculations, for the time being this is not a feature we have planned in our roadmap.
We understand some of you are managing these calculations manually. We’d suggest running the Payroll Activity Summary or Gross to Net report over a 52 week period to assist with these calculations.

AU Payroll - Ability to export and import pay items and rates
Ability to export pay items and update pay rates in a spreadsheet and then re-import when pay rates have been updated. Would save so much time each year when Fair Work increases pay rates.
