Add a box to payroll for an employee's preferred name, for those who don't use their legal name as their everyday contact, it doesn't need to link to ATO, so no major coding, just be there for reference when contacting the employee. I have several clients with staff that use their middle name or a different version of their first name, that they prefer when being addressed, and it being there in payroll would simplify things.

    Hey everyone! It's been really insightful reading through your comments on adding a preferred name field to employees. We see how this feature could help with creating a more inclusive environment, while also helping prevent simple administrative mix-ups.

    There isn’t a dedicated way to manage this in Xero right now, but your feedback has highlighted the opportunity for one. For this reason, we have updated the idea's status to Accepted, confirming our product team agrees this is a feature we’ll put on our radar to consider developing in the future.

  2. Please can we have the option in Regular earnings to have pay items that can be setup with day units and not hours so taht it shows on payslip as number of days x rate.

  3. Have the ability to enter employer pension contributions in the opening balances when adding a new client to Xero. At present the resulting payslip is incorrect as the YTD employer pension figure only shows the current month and not YTD.

  4. We are wanting to create a report for timesheet information for hours worked submitted by employees, that have been reviewed by their managers, i.e. rejected and unapproved overtime worked. The timesheet report only lists the paid hours. We would like to know the hours submitted by employees on their timesheets, versus the hours that were eventually approved and paid for. Are we able to create a custom report for this, to work out unapproved (as revised by the approver) overtime hours per employee, for a specific time period. This information is needed to do the BOOT test each year for…

  5. When operating tracking income and expenses in two areas, payroll allows for the primary tracking category when setting up the employee and the time sheet allows the secondary tracking option to be selected.

    Currently the timesheet option only allows for the 'hours worked' to be allocated to the secondary tracking option. Any allowance can only be added at the pay run which means it cannot be added to the secondary tracking category.

    Can we have the ability to add allowances as an option in the timesheet?

    Hi everyone, I wanted to share another update regarding timesheet flexibility.

    Our product team is currently working on a feature that will allow employees to add other unit-based earnings types directly to their timesheets via Xero Me. This means your team will soon be able to record allowances and other non-ordinary earnings pay items alongside their regular hours.

    We know this has been a highly requested feature to help reduce manual adjustments for admins. We are currently in the development phase and will provide a further update here once we’re closer to a release date.

  6. Currently Xero does not assign annual leave and public holiday to a project/job as timesheet doesn't have this function.
    Superannuation generates from payroll (pay run) , however, there is no place to allocate superannuation to different projects/jobs as well.

    Hi there, we appreciate you raised this a little while ago. This isn't something we have plans for in the near term.

    Not getting a lot of support from other members we’ll soon remove this from Product ideas. If it’s still highly valuable to you, welcome to start it again and see if it gets renewed interest.

  7. For permanent employees, all XERO business customers should be able to calculate their future leave balances. This will allow a business owner to know if they can approve the leave or not, or what conversation to have with a team member.

    I hope this idea is backed and implemented.

  8. Allow us to turn off the pop up that shows when posting a pay run. I don't need reminders to pay the employees and file the pay run especially when I do payroll for 20+clients.

    Thanks for your support and joining in this idea. We get the challenges involved in manually chasing up employees to complete timesheets each pay period.

    Although it's not the integrated solution you’re looking for, you could look to set up recurring calendar events or using external communication tools to prompt your team members.

    We want to be transparent that we don't have any plans for adjusting the existing notifications for timesheets.

    We'll continue to monitor this idea, and should our priorities shift in the future we'll let everyone know here.

  10. Create the ability to allocate payroll items (eg Wages & Super) to multiple sets of tracking categories within payroll.

    The only way that wages can be allocated to tracking categories is via timesheets or Journals (and only one set of tracking categories is able to be included in the timesheet).

    This would be really helpful for many NFP's who require the ability to use two sets of tracking categories for all their expenses including Wages & Super (One set of tracking categories for departments and another for funding sources/grants).

    Heya team, thanks for all your input here. We hear you, and understand that being able to assign multiple tracking categories to pay items would improve your reporting capabilities, and simplify tracking costs for various projects, locations, or departments.

    For now, we’d suggest using manual journals to split and reallocate payroll costs after a pay run. Alternatively as some have shared, you could create specific pay items for each tracking category combination, although we recognise this may not be suitable for all.

    While this isn’t in our plans at this stage we understand the rationale here and will consider how tracking works within payroll closely as we continue to develop our roadmap.

    If there are any changes or news for tracking in payroll we’ll be sure to update you of this here.

  11. It would be great to be able to stream leave approvals by team so only a team leader gets to see/approve their own team rather than everyone's leave applications

  12. Expenses module: We want the ability to customise the Expenses Claim Reference.

    All expenses under the Reference are set as "Expense Claims," which makes it impossible to search specific claims/events or others. Can this not be customised within the expenses Module ?

    The recommendation from Xero is to revert to manual expenses, which defeats the objective of paying for the Expenses module. Any chance this can be added or will we need to remove the feature as there is no point paying for something we need to do manually?

  13. Add in ability to forward date when a superannuation payment is processed. I would like to submit the authority when I review the monthly super but have the payment not made until it is actually due, which would be a date in the future that I enter.

    We appreciate you raised this a little while ago, thank you for your patience whilst we review. Whilst this isn't currently on our product team's road map, they've reviewed your comments and can see the value scheduling superannuation payments would bring. With this in mind, we've moved the status of this idea to Accepted and will keep you updated as we go.

  14. Could we include a notification when a staff member has a birthday? This has multiple benefits including allowing us to check if their award salary or benefits need to change and also be able to congratulate them on their birthday. Surely it wouldn't be a huge change to make but would be a unique and helpful change for many SME as I currently need to create a new Google calendar for staff birthdays, creating additional work especially when we have 50+ staff and low retention in hospitality. Thank you.

    Hi everyone, thanks for your feedback and votes on adding birthday notifications to Australian payroll - we understand how this could help with team celebrations and managing age-based award rate compliance.

    After reviewing with our product team, this feature isn't currently on our roadmap, and we'll update the status to 'Not in Pipeline'. Right now, setting up an external calendar could help you track these important dates.

  16. We have had the unfortunate event of an employee pass away whilst still employed.

    I would like to suggest that Xero make it easier for companies to be able to process a death benefit payment (ETP - type D) within the system rather than having to process this manually and then having to do journal entries for the system to balance correctly. And to then have to process paper copies of PAYG payment summaries to report this to the ATO.

  17. At the moment when one staff member accesses notifications on the main Xero dashboard and actions it i.e tax code changes the notification will not disappear for all users on the Xero subscription. It would be a good idea that this could disappear for all users once actioned to completion to ensure that work is not duplicated by two or three other staff checking that same notification.

  18. Can we please have the ability to set a due date for an expense? Currently it is set as the day it is approved, but we pay all our expenses for the whole month, on the 15th of the following month. It would be good to be able to set this as default for any expenses raised.

  19. It would be a great addition to be able to allocate employees to a particular employee group and from this run historical employee summary reports by employee.

    At present when setting up tracking categories the tracking in employee reports will only track payruns once the employee groups are setup. Any historical payruns are not included. This makes it difficult to compare periods or look at employee group reports for the year to date.

    There should be an ability to apply the employee grouping tracking to all or some of the historical payruns.

  20. Hello. Keen to have the Auto reply email address that is used for invoices to also be used for payslips. I use a different email to log in to Xero than the one I want staff to reply to.

    Hi everyone, thanks for your feedback on customising the “Reply-To” email address which payslips are sent. We appreciate you sharing how important it is to have control over the reply-to address, considering sometimes bookkeepers process payroll.

    As you’re aware Xero has the functionality to set a default reply-to email address for some emails, however this doesn't extend to payslips.

    Our product team sees merit in the idea for future development. We’ll update the status of this to Accepted so that it’s formally marked for consideration.
