User Role - Access to Products & Services (Inventory) and Purchases/Sales only
Ability to allow individual access to inventory(products & services) and sales in Xero.
Purpose: Enable ability to view different sets of information within an org.

I'm happy to share that we have just rolled out these Product & service permissions to all users. To recap the change - within User Settings you'll now find there are multiple options to assign Product & service permission for an Invoice only user
- No access
- View
- View and create/edit
- View, create/edit, and adjust stock
We really value the input we have received from our community in the needs for more granular permissions for Inventory. We believe this new set of options will effectively meet the needs of the majority of our users. Thank you for your input! 🎉🙏

Wow, if my companies customer service was like this we would have folded big time by now. You're getting a reputation amongst your clients Xero. Maybe MYOB brings out a new solution and whacko - you lose 25% of your clients overnight.
We need our staff to work with products and services and NOT see our financials. Clear as day.

Ok, it's been over 10 yrs for me as a Xero user and this is just a roadblock now. We need staff to be able to access transactions without being able to see all company financial information. How can xero completely ignore this many requests for this long? Not even a basic update? To be frank, our team is already looking to off-board to a different platform if there's no update this year.

This is is my single biggest bugbear with Xero. Allowing staff to be able to manage inventory without giving them full rights to the application. Sometimes I wonder how come Xero is so successful! If they want to monetize this them simply design an inventory feature/add on. But no we have to purchase an expensive addition app to do what Xero already does.

This is such a basic issue I can not believe ZERO is still resisting putting it in place.
If they spent time resolving critical basic issues such as this rather than providing shallow and transparent excuses, it would change the world!

Agree with all of the below commentary, it is ridiculous that we cannot hide bank account details from staff. We need staff to access inventory on hand but do not wish for them to see our bank accounts. When will this issue be resolved, its a massive issue for many , surely this is a priority?

I wonder if UK MD Alexander Von Schirmeister and global GCSO Angad Soin would want all the staff at Xero to see the bank accounts, if they decided to go into merchandise and do a stock holding??
I'm guessing not and I'm pretty sure this would be rectified within a few days! -

I have staff members who need to see if we have something in stock but I don't want them to access the bank accounts or other financial information. We have just moved from SAGE where this was not an issue. It now means that as a Director of the business I am having to see if we have items in stock to update junior staff members. I don't want them to see all the financials of the business.

Our SMB (and we can't be alone in this) needs to be able to regularly use the products and services area of Xero,
However all users having access to that ALSO having access to the complete company financial data means that our senior staff are having to perform basic administration tasks such as creating new products for quotations because we cannot/do not want the whole administration team to be allowed to see the full company finances for obvious reasons

Users should be able to see bills relating to PO's they have raised or they are assigned to by admin only.
General users should not be able to see all other bills in the company, this showcases also the other employees in the company who are paid via invoice rather than payroll, essentially telling staff how much other employees earn. It takes 2 clicks for staff who raise PO's to see other staffs invoices.This needs resolving urgently and should seriously be high on Xero's list of priorities for resolution. It's not a "nice to have" it really is critical.

If this isn't resolved in the next few months we will have to move from Xero to Sage. It is imperative that we are able to draw a line between users who can raise purchase orders and users who can see ALL the bills in the business.
It is insane, it's telling our employees exactly what our overheads are.

Unfortunately, this is the same "canned" answer that has been given for years. I am unsure that the responders understand fully why this is such an enormous issue. Would you want just anyone at your place of employment to have access to your bank account?
Also, if you search "user rolls", there are a total of 254 separate/individual headings with similar concerns besides this particular listing. -

Stacy has explained her issue well HOWEVER the entire permissions structure is a mess and needs a rethink.
XERO, with 400+ people thinking the same way, you need to look at this and stop procrastinating.
It is a core operational issue that needs fixing.

We took on a new client in March 2024 and moved them over to Xero, we had not realised that a user can only manage all areas of inventory with access to the bank. Our client needs the users to be able to fully manage inventory, they use product codes in their POs and quotes on a day-to-day basis and may need to change or add a product to enable them to do their PO or quote but they don't want them to see the bank. Quickbooks managed this OK. Our clients has advised: The only thing outstanding that is still important to us is finding a solution on Xero to enable our Admin team to access the products/services module without seeing all the financial data that should only be seen by the Managing Director. If there is anything that can be done as this still remains a priority issue for us.

I find it hard to believe that Xero with such a big number of users, that they have not caught up with these simple operational modules or access issues.
Kelly I have same issue and trying to do a work around it. I cannot do simple PO approval limits per user. Currently I have users placing orders which is causing major issues with budgeting process.
I am hoping Xero update all these simple operational modules or setups -

Whilst XERO has been a big improvement on our previous accounting software, this is a major flaw, as it is generally more junior members of staff who maintain inventory and produce PO for frequently purchased items. They do not need to see bank balances. The system needs to be more flexible so that users can tailor what staff do and do not have access to.
