    We're interested to understand the interest in being able to add multiple emails to a clients record, for the purposes of setting these up for different purposes.

    It would be great to hear more detailed feedback from our partners on the particular purposes you'd want to set up emails for and how this would help you through Xero's practice tools. Thanks!

  2. Following the XPM updates in November and December 2025, the Tax Returns and Notes tabs no longer indicate whether a client has any open tax returns or existing notes.

    This indicator was previously used to quickly identify active items on a client without needing to open each tab, we are particularly missing the notes indicator.

    As similar indicators are still shown for Jobs and Invoices, it would be helpful for consistency and usability if this functionality could be restored for the Tax Returns and Notes tabs as well.

  3. Following the XPM updates in November and December 2025, on the client screen in XPM, the contacts section no longer displays a contact’s mobile or phone number. Only the name and email address are visible, which means you must open each contact to check whether a phone number is recorded. Previously, having the phone number visible on the main screen made it much quicker to assess contact details at a glance.

    Restoring the display of mobile and phone numbers in the contacts area would improve usability and avoid unnecessary extra clicks when a number is not listed.

    Thank you for the detailed feedback regarding the recent XPM updates.


    I’ve moved this into Gaining Support. I can definitely see how the removal of those phone number columns has added extra steps to your workflow. While the recent design updates aimed for a cleaner look, "at a glance" information is vital for busy practices.


    A quick tip for now: If you need to see phone numbers across your client list without clicking into each one, you can customise your main list view:


    1. Go to Clients > All Clients.
    2. Click the Columns button on the right.
    3. Tick Phone and Mobile. This will surface those numbers in your main list view so you don't have to drill into each record.

  4. Recent change in XPM has moved the old/archived jobs and invoices to a different tab. I prefer the old layout where you can see the current and old jobs all in one place/screen.

    The archived or old jobs have been moved to a different tab which means you cannot see both open and closed jobs at the same time. We rely on this when preparing annual accounts and tax returns because we often review all invoices or jobs for a full financial year, we hardly ever are only looking at the open jobs or invoices.     Hi everyone, upon further deep diving into the discussion raised here we are going to re-open this idea. We appreciate how being able to see both active and archived Jobs within a Client is useful to some practices workflows.   5. Since the recent XPM update in Nov/Dec 2025, it is no longer possible to edit an existing contact unless an email address is populated. An email address is now treated as a required field when editing, even if the contact previously existed without one.

    Creating a new contact without an email address is still allowed, which makes this behaviour inconsistent. Being able to edit existing contacts without needing to add an email address would restore flexibility and better reflect real-world client contact records.

  6. We need the ability to prepare a future tax return for a SMSF as this is required to wind up a fund prior to year end. A trustee company can't be deregistered with the ASIC until a final tax return is lodged with the tax office so the time delay in preparing a future return impacts the client on annual company statements and costs associated with that as well.

    The ability to prepare a future year return in Xero tax exists for other entity types but not SMSF's for some reason.

    I can see how having pinned notes visible on the main information page would be a huge help, especially for spotting critical warnings like credit holds without having to click through different tabs.


    Currently, pinned notes are only visible when you are specifically viewing the Notes tab of a contact. As a workaround, many users add "!!!" or "HOLD" to the beginning of the Contact Name field so it is visible on every screen and summary page throughout Xero.


    I’ve moved your suggestion into Gaining Support under the following title: Contacts - Suggestion for improvement: Display Pinned Notes on the contact information summary page


    This will allow other members to vote on the request and help our product teams gauge the demand for this UI change.

  8. On the client screen when you click on "Go to Xero" it should open in another tab not the not redirect the current browser page to Xero.

  9. Since the recent XPM update in Nov/Dec 2025, the group name is less prominent on the 'group' screen, and does not stand out as clearly as it did previously.

    The larger group name made it easier to identify which screen you were on, which is especially important now that many screens have a similar layout. Increasing the prominence or size of the group name again would improve clarity and usability.

    It’s great to get such specific detail on how the visibility of group names impacts your workflow, especially when navigating between multiple screens in XPM.

  10. The process for entering addresses for clients needs to be easier and more streamlined. It should default to Australia (the overwhelming majority of clients have Australian addresses). You should also be able to copy street address to postal address, rather than having to reenter the data.

  11. Following the XPM updates in November and December 2025, the star indicator within client groups that identified the main entity has been removed.

    This indicator was heavily relied on to quickly identify the primary entity within a group. Please reinstate the star or an equivalent visual marker so the main entity can be clearly identified at a glance.

  12. Since the recent update in November/December 2025, when navigating back using the back arrow from a specific client, the system returns to the full client list rather than the client’s group.

    It would be more helpful if the back arrow returned users to the relevant group view instead of the full client list.

  13. Since the recent update in Nov/Dec 2025, client notes are collapsed when they exceed a few lines, which makes it too easy to miss important information. All the notes we add in XPM are all relevant, we don't want any to be hidden.

    Previously, notes were fully visible by default. Restoring this behaviour would make critical information easier to see at a glance.

    If notes must remain collapsible, an option to show the full note by default would be preferred. Alternatively, the “show more” prompt should be much more visually prominent so it is not overlooked.

  14. Since the recent update in Nov/Dec 2025, hovering over a client name on the XPM group screen shows a pop-up label that repeats the client name.

    This pop-up does not provide any additional information and often gets in the way while navigating the screen. Removing it would improve usability and reduce unnecessary on-screen clutter.

  15. It would be great to bring back the collapsible custom fields in XPM when editing client details. This previously made it much easier to jump between headings. With the new tabbed layout, all custom fields now appear in one long list with no distinction between headings, which means a lot more scrolling to find the fields we need to update.

    Hi Hannah, thanks for sharing your thoughts on the business structure view in Xero Practice Hub. It’s helpful to understand how important it is to see clearer client details at a glance when you’re managing groups of clients.

    Your suggestion around having a more detailed business structure breakdown makes sense, especially as broader categories like Other can cover a mix of different client situations.

  16. In the new Clients tab, to have the ability to customise where the details are showing in the Information tab.
    For instance, the Referral source (which we do not use) is currently showing at the top of the screen, whereas the IRD Number which is needed have to scroll down to view.

  17. Since the recent updates in Nov/Dec 2025, when adding staff access to Blue Xero clients in Xero HQ, the staff list now shows ALL staff members, including those who are inactive or no longer working. Previously, only active staff were displayed.

    Having inactive and former staff appear in this list creates unnecessary clean-up work, as these users must be manually removed. Restricting the list to 'active staff only' would improve usability and reduce the risk of incorrect access being assigned.

  18. In the old xero version, you could click on the contact and edit the salutation.

    This option is no longer available.
    The only way to update is to exit client, go back to clients, select contacts, search contact then edit details.
    A lot of extra steps just to add or update a salutation after a contact has been created

  19. When using Xero Practice Manager (XPM) for job management, it’s incredibly difficult to maintain visibility because there’s no audit trail or history log for key actions like:

    • When a job was created or reassigned
    • Who changed the job’s due date or status
    • When a job’s responsibility moved from one team member to another

    This lack of transparency makes it almost impossible to track accountability or performance accurately.

    Why is this so important?
    As a firm, we track job completion and lodgement performance, but without a history log, we can’t see whether a job was reassigned after the due date or…

  20. It'd be helpful in some cases to provide a Staff member temporary access to a Client.
    There can be situations where a staff may only need access for a day or month and being able to set a timeframe for this and then access be removed would be helpful.

    Hi team, this idea has been created off the back of this idea to get a good understanding of the interest in specifically providing temporary Client access to a staff member.

    While this isn't somethign we have planned atm, our product team would like to get insight to consider in future planning. Thanks!
