Contacts - Different default email addresses for different transactions in Xero
Ability to allocate different transactions to different email addresses.
Purpose: Because it’ll make users’ workflow easier when they’re dealing with the contacts that have different departments.
Hi community, we appreciate your continued feedback on having different default email addresses for various transaction types in Xero contacts, and the manual steps involved to ensure you're communicating with the right person for different purposes.
Currently, one way of managing this in Xero would be to include every additional person on a contact record in emails, and then removing those that aren't required when sending each transaction. However we totally get this isn't the ideal solution.
While being able to set different email addresses for differing transaction types is something we want to address longer term, like the idea for multiple addresses work for this feature requires cross-collaboration between teams in order to achieve.
Once the multiple addresses feature is live this is something we'll be able to consider more closely and provide further updates on.
We do regularly review all ideas here, and your input is vital. We'll update you if anything changes. Thanks

I don't want "beautiful reports" I NEED an effective system that works.
Xero appears to be catering for anyone other than the actual users.
Give us extra email addresses. Listen to your customers. Make it happen. -

We keep seeing areas that already work well given cosmetic updates to make them "more beautiful" while changes that make us, our customers and our suppliers more efficient are left in the "not really important" basket...

For the love of god Xero, please just allow me to have an email address for purchase orders and an email address for remittance advices within a supplier contact. I am sick and tired of having to manually input email addresses when sending off remittance advices because the supplier has a sales and an accounts department and neither want to receive the other's documentation. IT SHOULD NOT BE THIS HARD!

Looking to send an invoice to regular customer accounts department and project managers with additional job files attached, but once the initial invoice is sent it will only send statements and invoice reminders to the primary contact (customer accounts in this instance).
Currently, I have to manually send reminders so that I can maintain the various contacts (project managers etc) that require an initial invoice and attachment email but don't need to receive the invoice reminders that are really targeted towards the customer's accounts contact.
A possible solution could be to have all customer contacts be accessible when emailing an invoice so that they can be added to an initial invoice mail out, but the accounts (Primary contact) is the only one permanently linked to the invoice for when a reminder or statement needs to be sent.
Currently the only option is to have all contacts included in emails and then manually remove them from statement mailouts when necessary while manually sending invoice reminders. Or to utilise a separate program to mailout the single invoice and other attachments to the customer project manager.

My client is dealing with large customers who have one contact for approving invoices and another for paying invoices. The former doesn't want to be chased for payment and the latter doesn't want to receive invoices.

would be extremely beneficial - we have staff members from different departments all trying to use xero for their purposes - with only 1 email address per contact, not user-friendly. Purchasing needs a different email to quotes dept, then we have the accounts payable, and accounts receivable - all having to manually alter the email address numerous times a day.

This would be so useful particularly as we have different staff members who produce quotations and invoices and don't necessarily know which from those emails saved against the client who needs which document. Looks unprofessional to send all documents to all people and can cause confusion with our clients.

Separate email fields that link to different purposes in Xero. This would enable the purchase orders to be sent to one address and remittances to another. Having two email address options as it currently stands does not simplify things as each supplier's email address has to be checked every time I sent out large batches of remittances.

I need the ability to send a bulk remittance to different contacts, however, am unable to do so, as they won't go to accounts, but to the sales departments. Not Good for business - makes us look extremely unprofessional if emails continuously go to the wrong department.

This is critical for us wanting to send PO's to the Sales team of the Customer, and then send Invoices/Remittances to the Accounts team of a Customer. Some Customers do not want to receive Invoices into their Sales inbox, and same goes for their Accounts team not wanting to receive PO's - clogging up their inboxes and creating confusion.

It would be useful to have a dedicated email address/es for sending invoices, reminders & statements to without having to load another contact each time. For larger companies statements might need to go to another email address but maybe 2 email addresses can be set up (one for invoices & reminders, one for statements) and the statement address defaults to the invoice address.

We are finding that many clients have automated accounts systems that require the invoice to be sent to a separate email address to the statement. If we could load two email addresses & have the ability to select either invoice or statement that would alleviate having to manually change it each month.

Another duplicated delivery from a supplier meaning extra work for them and us in returning (and processing) the second unwanted order.
Why? Because both sales AND accounts received the purchase order we emailed (and accounts forwarded their copy to sales).
Yes- they should have remembered to check the order wasn't a duplicate.
Yes - we should have remembered to check the order was only being emailed to the correct email.
BUT systems based on everyone remembering to remember never really work.
