  1. Xero app - Adding a Receipt - check if image/s are fully uploaded before the Save button is enabled/allowed or run a check when the Save button is selected and if image/s are not fully uploaded alert user to wait.

    Thanks for your feedback. We know that having the option to submit a bill or invoice for approval directly from the Xero Accounting app would significantly improve your workflow. As noted in the comments, users have the option to log into the web version of Xero on their mobile devices allowing them to submit bills and invoices for approval. ⭐ This allows you to perform the approval process on your phone, though it's not as seamless as a native app experience. At this time, we have to prioritize which features we bring to the mobile app. The primary focus of the Xero Accounting app is on quick, simple tasks, like creating basic invoices and submitting expenses. Complex workflows, such as bill and invoice approvals, are better suited for the desktop version due to their complexity and the constraints of the smaller mobile screen.We will continue to review and consider this…

  3. It would be great to have the functionality for Partners/Accountant to be able to view Xero Go files as you would in a cashbook, ledger or business edition organisation, by seeing a preview of the document without having to download it.

    This was the case when Xero Go was initially came out and only an odd invoice needed downloading, now it is all of them, across various clients.

    I would take a guess there may be an issue with the app and photos it takes, these are jpeg and should just come up automatically when we view them.…

    Hi community, thanks for engaging with us here on Xero Product Ideas. As you'll have recently seen in our communications - We have spent the last year testing and refining Xero Go and after completing a careful review to understand the future of the product, we found greater investment was required to meet the changing customer needs and expectations around the product.  As a result, we will be retiring Xero Go on 12 September 2024, and will move this idea to not planned.  We really appreciate the support from you all who have been using the app during this free period.

  4. Edited Leave request date sends a notification to the employee for the wrong date. We recently had an employee request an RDO for 19/07/2024. After discussion with the employee this date was not suitable because the employee was due to provide training to a customer this date so we agreed to change the date to the following week (26/07/2024).

    I then edited the leave request to be for the 26/07/2024 and approved the request.

    The employee received an email notification that their request for leave on the 19/07/2024 was approved!

    The employee then contacted me because they were confused and…

    Thanks for raising this, Chris and apologies we haven't responded sooner. This was an issue that our product team picked up and I can confirm we released a fix so the date will now show correctly.

  5. When adding bills in the app, I find myself searching for the same category over and over. On the desktop, a likely or previous category comes up automatically. That would be great in the app, too.

    Failing that, it would be good if the list of categories contained frequently used categories first. I doubt anyone scrolls alphabetically, so it seems a useless feature to have.

    Hi Zachary, it looks like there is an integration with Mechanic desk available. If you've already integrated this with your organisation and looking for further capabilities to what it offers we recommend reaching out to their support directly (listed under the additional info section of the Xero app store).

    As they designed and built the integration they can confirm what's possible and would need to make decisions of if this is something they'd be willing to expand their integration for.

  7. It would be great to use email address as address in an invoice as often clients only provide an email as contact.
    i.e no delivery address.

    Hi Marcel, with the standard invoice template this will show the billing address on the PDF of the invoice. If you don't have a physical address for the contact and want to include the email address, enter and save this in the billing address details on the contact. You can either do this from their contact record or on the fly when creating the invoice. here's an example I created of how this will appear.

    Aah perfect sound like new invoicing is the solution for you here then, Kevin. As mentioned from a draft invoice as soon as you add a contact Xero will begin autosaving any data you enter.

  9. To show the customer's VAT/GST/Sales Tax number on the preview version of the customer's invoice, instead of having to download the PDF to check if it is there (after loading it via Xero Contact).

    Hi Kyle, the product team have been working on improving this area and have released a new invoice preview for the PDF. This will display any details you have included in the selected invoice template, so should display the customer's VAT/GST/Sales Tax number if you've included that. We hope this helps!

    As you're possibly aware, Xero doesn't currently have specific features for Nepalese businesses, so for now we'd suggest using the Global edition.

  11. Invoice only users should be able to access certain ledger accounts.
    Also they should be able to have access to file option just under the settings option.

    This post has been classified as Feedback because it includes multiple, separate requests and is missing the context of the problem and business impact.


    To give your ideas the best chance of gaining support, I recommend splitting them into two separate posts and clearly outlining the problem you're trying to solve with each.


    Idea 1: Access to certain ledger accounts for Invoice only users.

    Idea 2: Access to the File option for Invoice only users (to attach documents to bills, etc.).


    If you submit them separately and include the problem and business impact, we may be able to re-classify them as "Gaining Support" and encourage other community members to vote for them!

  12. Bank Reconciliations Report - There should be a report that enables you to extract all bank statement transactions and list out for each the actual accounting transactions they have been reconciled against. This should be by date range and then include all the same options as 'accounting transaction reports'.

    This would be super helpful for audit, month end reviews, be able to identify different transaction types, review complex issues arising if a supplier or customer disputes etc..

    The data is there, yet as users we are not able to get the data out.

  13. Old invoicing you used to select your "to" contact, then tab across to the date where the date would be highlighted so you could start typing a new date straight away. New invoicing no longer selects the date & takes longer if you want to manually type a date rather than having to use the mouse.

    Hi Shannon, we made some changes toward end of 2024 to improve the entry and selection of dates in new invoicing. Having just done a test I can see that when you tab from the To field it'll move across to the Issue date field with the date highlighted and you can easily start typing the date you need just like you've mentioned.

  14. Custom Report comparing supplier expenditure per month - actual payments rather than total invoice that was entered on this date. Unless you are an accountant apparently this cannot be done - does that mean i have to pay an accountant just to get this report functionality? I am paying for Ultimate atm thinking I would have the ability to do everything, sadly this is not the case. Yes I have been on xero support who were not helpful in the slighest, tbh she had to check twice and then emailed to say the above!!!

This helps others in the community know what they’re voting for, and ensures your suggestion reaches the right people in product for consideration. For example, it would help to know the specific data, layout, or summaries you’d like to see in the report.

    In the meantime, you can check out or Cash Flow Manager report that will help predict your businesses’ financial overview, cash in and cash out. However, please note that information on cash payments in the previous three months is required to predict the cash flow projection.


  15. Ability to see aged debtors' balance in the currency the invoice was generated in, not just in your base currency, otherwise, it is difficult to calculate how much a customer owes. The same is true when you view the balance for a contact. It shows the issuing currency for each entry, but the total is only shown in the base currency, which is not helpful if you need to inform someone of the balance outstanding.

  16. For Spend Money entry, I have two elements that would speed up entry:

    1. Prefill the last entry for that Contact. Most venders (e.g. "Uber") will be the same expense type over and over. Having the 1st item prefill from the last entry will save time.

    2. Right now "Save" is essentially "Save and Close" -- and then "Save & Add Another" creates a new blank item. I would like "Save" to stay on the same screen, so I can then use "Copy" from the "Options" menu to enter the same/similar item.

    Hi, we appreciate your feedback about bank reconciliation. We don't accept ideas that have multiple request in one post. Please create separate ideas for each feature, so we can gauge support and keep users updated.


    In the meantime, Xero's bank reconciliation process does have a memorisation and prediction feature, where it tries to use details from previous entries, to speed this up for you.


    It sounds like you'd like our Product team to make some improvements to this function.


    For now, there's some detail on how this works below:


    Memorisation - is for cash transactions where a transaction is created on the Create tab. Suggestions are made based on memorising how previous statement lines with the same fields were reconciled. Xero looks at the payee, particulars and reference fields on the bank statement line and compares them to the same details on previously reconciled transactions. Xero suggests the Who, What…

  17. I have a member of staff who I have granted access to the payroll feature, however she cannot submit anything to Xero central such as a question or request. The only way this can be done is if I also give access to the accounting feature as well which I do not wish to do. Can you improve the system so that anyone who has payroll access can submit a request to xero central.

    Your employees with Payroll only permission should be able to access Xero Central as they have a Xero login and this is the only requirement. If your employees are not able to access Xero Central can you please raise a case with our Xero Support specialists so we can look into this. 😊

  18. When copying an invoice directly from a customer’s activity invoice list, the new draft invoice incorrectly sets the due date to yesterday’s date - this generally happens if the monring only.

    For example, if copied in the morning, the new invoice shows today’s invoice date but a due date of the previous day.

    Even more concerning, Xero allows the user to approve and send this invoice without flagging the error, meaning an invoice can be approved and sent with a due date earlier than the invoice date.

  19. Currently our monthly bank revaluation FX diff is being automatically coded by Xero to be split between tracking categories rather than simply being "unassigned". However, for our purposes, once USD are banked, they no longer "belong" to that tracking category and instead are general company funds. It is impossible to tell Xero to stop coding revaluation amounts to tracking categories but this doesn't make sense for the accounts, especially when a tracking category finished within the business months ago. It would make more sense for the FX funds held to be an unassigned tracking category once they are in…

  20. Classic invoicing feature missing from new invoicing format

    Some of our clients like to prepay so there are often credits to use. Upon approving an invoice, the classic used to say there was a credit available on that contact, click here to use it. There is no such feature on the new invoicing to indicate there is a credit available you have to go and manually check. As well as not informing you of an available credit, if you look at the new approved invoice there is no way apply an existing credit (only to create and apply a new…

    Hi Claire, when you approve an invoice for a customer that has available credit, you'll receive a prompt. If you choose to 'Skip for now', you should see an option to 'Apply credit' on the approved invoice. I've attached a screenshot of these in new invoicing. 

    If you're not seeing either of these options, I'd suggest double checking the name of the contact the credit note has been created for, and raising a case with our specialists at support to take a deeper look into things with you.
