  1. Allow Xero user to add additional columns to "Transaction report" so that a report can be sent to each credit card holder in the business confriming where the items on their statement were coded in Xero. This report would accompany their credit card statement each month.
    It proactively ensures coding and subsequent department, management and board reporting is correct. This saves time, effort and unnecessary republishing of reports.

    Hi community, just returning to the idea here. As noted in my last update - You can use the Account Transactions report, and include the Related account (if not showing already you'll just want to choose the columns menu to select this).

    For the $ value in that account the Running balance should help here, and you'll see an opening balance at the top and closing balance at the end of the account section.

  2. I would be good to be able to carry out data analysis of each nominal code and therefore group the account transactions by month with totals rather than by week which will ultimately tie back to the P&L. This would make it useful when carrying out data analysis from the P&L.

  4. Would it be possible to add a feature to colour code our chart of accounts - especially expenses? When I am at the petrol station adding a receipt for a fuel purchase, it would be great to scroll down to a colour (with the account number). Another idea would be to have a favourites for expenses - we could add the ones we use most often.

  5. When raising a sales invoice for the part exchange of a vehicle there should be a feature to record the entire sale and then debit the A/r account for the amount of cash payment owed and them debit the remaining balance to a tracked inventory account.

    EG.

    CR Sales 8,500

    DR A/R 3,500

    DR Tracked inventory 5,000

  6. Broken down to location/ postal code with the total cost for a contact/supplier in any period is needed.
    I am aware 'the expenses by contact' gives you the total spend in a year but this doesn't filter down to location/ addresses or post code. At year end a key part of our process is reporting local suppliers for our social impact and purpose, we have to complete a time consuming exercise entering addresses/location manually line by line for key suppliers in excel.   7. Overtime needs to be recorded on Timesheets and be included in pay runs for employees on a fixed annual salary.

    We've been using Xero for 5+ years. It's brilliant in so many ways, and this basic functionality is missing, or rather, I expect is poorly coded.

    We have a number of employees on a fixed, 5 day per week, annual salary, which is divided by 12 to generate their pay every month. However, it's not uncommon for them to work overtime: additional hours here and there and sometimes whole extra days.

  8. It would be nice if expenses could learn and assign a specific account automatically to expenses from a regular supplier.

    The process could be:
    1) I take a photo of a receipt
    2) The analyse feature reads the receipt and fills in the date, supplier and amount

    THE NEW BIT:
    3) Expeses realises this is a supplier I've analysed a receipt from recently and codes it to the account I coded it to last time

  9. On Xero bills, as well as being able to filter and search for purchase invoices by contact or invoice reference, being able to search by a nominal code would be helpful. For example, making a payment run for all of one type of cost; finding any invoices that have not been allocated properly or for finding amounts that need to be included in management accounts.

  10. We are all required to keep tax code and other notifications from HMRC for a number of years. Currently we have to do that in hard copy. It would be great to be able to upload a copy to the employee record instead.

  11. its 2025 guys and xero barely any different from 10 years ago and over £350 a year for what? so many basic coding improvements needed which feel so darn backward for 2025. i mean the software cant search properly, it cant notice the bank balance in xero doesnt match the bank account. the address entry is poor. a massive amount has changed in the last 2 years with AI and xero is just not keeping up. i barely wonder if xero even has a software development team at all??

There are many changes and developments that we have made across Xero over the years including in the last year more influence from AI with the introduction and beta of JAX.   12. A report to show transactions that have been posted including the account code and the projects that the transactions have been assigned to with data parameters.

    We reconcile the sales, direct costs and gross profit amounts from the project summary report to the same amounts in the profit and loss report but currently there is no way to identify differences when they arise. The above report will really be helpful!

  13. Codes are set up as ***-yy which isn't logical to type. I guess it's an accounting convention but I can type 501.50 much easier (one hand on the numeric keypad and no need to move it to the'-') than 501-50.

    For non-accountants, and IT people 501.50 is the logical way to type and enter these codes.

  14. Re: New Invoicing - Reduce Number of steps and clicks (The original thread has had comments turned off, so I can't comment that it has made more steps, not less...)

    What has happened here...it is now taking eight tab clicks to get from Reference Number to the first box to input the item code...last week it was six...so the number of click has increased, not decreased.

    Also, when inputting an item code, I have multiple codes that have the same base code with different suffixes...is there are way to just get it to the shaded part that you select the…

    Thanks for taking your time to start a new idea with the specific flow you'd like to reduce steps in, Lynette. Just to check it sounds like you may be tabbing from the Reference field to the Item code field - Would this be correct?

    Being upfront this isn't something we have further changes planned for in the near term but it'll be good to gauge the interest from community around this, here.🙂

  15. This feature was included in the old user interface for Bank Rules, and with the new interface that was rolled out, this feature is no longer available. Instead, I'm forced to go to the COA screen to add a new COA code, then refresh my Bank Rules screen to then be able to choose that account. The time this adds, on top of the already manual process to add bank rules, really adds up. I'd love to see this ability again.

  16. Under the GL Summary Report(new) and GL Detailed Report (new), i notice they run by account code in alphabetical order as a result of which some Balance Sheet and P/L items are mixed together.

    How can i run both the above reports in a way whereby all the Balance Sheet items are on top in alphabetical order follow by all the P/L items thereafter in alphabetical order

    We use copy to a draft invoice every day for Sales Entries in a Hotel Business.
    The base Sales Invoice has numerous lines for all the possibilities to process each day's
    sales. EG: Sales - Bottleshop, Sales - Bar, Sales - Bistro etc. There are approximately 50 lines on each Sales Invoice. Amounts are updated in the row that is applicable. Some rows will be $0 on some days. The GL codes need to stay the same.

    New invoicing is bring in a "default GL account" when the previous Sales Invoice had a $0 in that line.…

    Appreciate the detail and screenshot you've shared. You're first note around the account code filling may be related to the auto suggestion feature and I've added your vote onto this idea so if there's any change there, you'll be updated.

    In relation to freezing or having a floating header row - Can see where creating longer invoices this could be helpful too. I've updated the title of your idea here so we can begin tracking interest specifically in this and share if there are developments.

  18. Right now it’s not possible to have users automatically assigned to tracking categories.

    We are investigating the tracking scenario, but it looks like additional work having to go into making sure each user remembers to add the relevant codes/tracking categories each time they raise a new quote/invoice/PO.

    Is there a way to set this up so that Xero can automatically identify that a user belongs to a particular department (e.g. Sales / Accounts ) and the relevant tracking codes will be applied? Similar to how when we set up a new contact on Xero with particular defaults (re. currency or…

  19. A number of users mistakenly post lines on their sales invoices to expense nominal codes, for example when recharging their mileage to a customer they credit this to Motor Vehicle Expenses instead of using their correct Sales account code.

    Most other accounts/bookkeeping packages prevent this by default by only allowing sales invoices to be posted to sales nominal codes. Xero however allows sales to go to virtually any nominal account of the user's choosing, leading to this error cropping up quite often.

    Could we have a way to restrict sales invoices only being posted to sales nominal account codes?

  20. A slight bug found - I just had a supplier ask why we had charged less for the last 2 months. I checked and it looks like Xero defaulted to "GST Inclusive" invoices when copying an invoice that is GST-Exclusive, even when:

    1) the previous Invoice is set to "GST Exclusive"
    2) the Financial settings, tax defaults, For sales is set to for"Based on last sale"
    3) Note - No Contact defaults for GST set.

    Somehow, my $500 + GST invoices = $575 has been reduced to $500 including GST.

    Previously Xero would copy over the invoice exactly, but now…
