  1. My suggestions is that automated super should be available if a Xero package offers payroll, like the starter package and the Standard package - its near impossible for clients to make direct super payments for employees (even for business owners themselves) without using this feature.

With the increases in subscriptions occurring in September I think an upgrade with automated super should be tabled for the lower subscription packages.

Hey everyone, happy to be able to share with you all that payroll is now included in all business plans which also includes auto super as a standard feature. If you haven't already set this up you can find more information on this on Xero Central. We thoroughly appreciate all your feedback and sharing with us on your needs through product ideas here.

If you have any questions about your subscription plans our specialists will be happy to help, and you can raise a case with them through Xero Central. 🙂

  2. Being a start-up company we claim R&D refund as part of our tax return. In order to support R&D activities we need to work out employee remuneration and hours to support our claims. Currently, Xero does not have any R&D reports that we can use. Hence, I am wondering whether the Tech team at Xero can include two fields (Column options) in the existing report "Payment Summary Details".

The fields required are 1) Superannuation 2) Units (worked hours)

Then we can export this report to work on our R&D claims. Thank you

  3. Amend status of timesheet - I accidentally ran a Pay Run without having approved the timesheet. The status of the timesheet then was Approved, and didn't become 'Processed'. An 'Approved' staus meant I couldn't change the calendar setting s etc for the employee. It becasme a challenge to do what was necessary to get the status to 'Processed'.

  4. I want our employees to receive an automatic email when their leave balance is above a certain level, separate to their payslip. The email will be a prompt advising them of their leave balance and our company policy regarding taking leave. I'd anticipate the email workflow would be triggered once each payroll period, when it is completed, based on a conditional logic such as 'if balance is greater than X, this email is generated for Employee A'.

  5. Our business is growing, and now we employ over 60 employees. Is it possible to have more than 50 employees listed on one page for payroll processing?
It looks like '50' is the maximum of line items in the drop-down menue, and I have to go the the second page in order to approve all employees for the payroll.

  6. As an approver of timesheets i see there are couple of issues which can make the process water tight.

1.Ability to see approved time sheets (siimilar to leaves). Currently once the timesheet is approved for an individual there is no way to check what has been approved

2.Ability to run a report for all employees that have been approved or alternatively ability to allow access to certain reports to the approver.

  8. When a leave request comes in for approval and the employee can take leave in advance (the box is ticked), it should show you how many hours the employee has available. This amount should be the number available minus the leave balance that has already been approved in the system. The leave balance report is only useful when employees can't take leave in advance in their first year. It's a challenge each time (especially leading up to Christmas) to calculate leave that is available before approving the request because you have to review how much leave has…

  9. Currently leave requests must be approved before the relevant pay run is commenced.

If we discover that leave needs to be added at any point after the pay run is commenced, the entire pay run must be deleted, along with any progress made.

When processing payroll for businesses, I occasionally discover leave should be included only while I'm actually processing the pay run.

I'd like to have a clone of the leave creation UI as an option while within the pay run process itself. This would show leave balances for the employee, and only have an option to Approve…

  10. If a pay increase is implemented across the board then currently, the only way to amend employees salary amount is to enter each record manually. If you have a large number of employees this is extremely time consuming.

If a salary scale was used and assigned to employee records, it could be uplifted by a percentage and all records would automatically update.

  12. When an employee has a postponed autoenrollment the pension doesn't prompt or show up until just before the payment run has been posted. Making any prior payroll reports and payslips incorrect as the pension then tags on at the end. So reports then need to be reprinted and balanced again.

Can the prompt no show up at the start of the pay run? This will then save any duplicated reports and potential incorrect payments.

Also the pension filing report viewable before the RTI posting.

Alternatively, enter the postponement date when posting the pay

  13. Xero Payroll restricts the payment date to no more than 90 days after the end of the payroll period. This isn't a legal or taxation limitation, but does restrict the occassions where clients are paying payroll in less regular intervals (such as paying their entire salary annually).

Hi team, while we appreciate the request here, considering compliance requirements for payroll in AU we want to be upfront that we don't have plans for changing the ability to set the payment date beyond 90 days.

For any employees that you may pay on an annual salary basis, we'd recommend setting the payment date 90 days before the employee's annual pay date.

  14. I have a client that needs to apply the Apprenticeship levy and this is not available on Xero Payroll as this is normally a function for large companies and not small companies that Xero are focusing on. This is a small company, but do form part of a large UK group therefore are sucked into reporting this to HMRC. Can this function be integrated into Xero payroll to be switched on when needed? I am sure it won't be a large effort for the Support Team at Xero. More and more clients are using Xero including larger companies and…

  15. Xero Project feature idea

    • drill down transaction from Xero Project reporting
    • Report template Xero Project layout can not be saved to custom report template
    • assign project to Payroll
    • Inactive jobs, still showing in the list although its in the different section, in my opinion the inactive project should not show up at all, should make the same like employee list where there is a dongle to show inactive Projects.

Appreciate you have a few ideas for Projects here. We try to keep 1 idea per thread so others understand what they are voting for and we can clearly share the information back with our Product teams.

I've changed the title of your idea here to reflect your first idea and welcome you to create new ones for the other ideas that you've suggested.

  16. Ex Employees older than 5 years cannot be deleted. Data still contains payslips. Old data can be overwritten but payslips remain and employee cannot be deleted because Xero thinks it is in a payrun. This is a cyber security breach as old data of ex employees can still be accessed and cannot be deleted.

  17. It would save a lot of errors if you had an employment type option where once 'casual' was selected as a type, you could only then enter what was needed for casual staff and leave/holiday pay would automatically change accordingly. I have anumber of clients who, when entering new casual staff, inadvertently add hours per day and days per week which then starts the accrual of annual leave and unless they tick the little box under holiday pay, the employee is not paid their 8%.

Hi team, great to get your feedback and support through the idea here. We appreciate these challenges with the current functionality when setting up a casual employee. We’ve started some work around enabling Xero customers to select Employment Types such as casual. While in early stages at present we’ll keep you updated on progress for this here.

  18. Currently the display name for payroll items doesn't extend to timesheets. So the employee sees the rate name. Really an employee should only see the display name and the rate name should be for/staff/admin/advisors. I would like to enter the default rate in the rate name as there is also no prompt in the employee file if you choose to use earnings rate to see what the rate is. You need to go back to payroll setting to check which is inefficient.

  20. With separating the All purpose allowances. Is there going to be a selection for SICK LEAVE and RDO in the future? (Currently Contributes to Annual and Overtime) only. There is a lot of room for error when you have 50 employees and you have manually adjusted the rate for every single employee!! I'm sure we are not the only company that has RDO and Sick Leave where the all-purpose allowances need to be included in the base rate. Could you please Add this option to the allowances pay item. We are unable to continue with STIP Phase 2…
