  1. We need a tick box in the ALL tab section for Purchase Overview Bills - We should be able to from the ALL tab select Draft, Awaiting approval, Awaiting payment, Repeating. You constantly have to go from tab to tab when searching in ALL

  2. It would be beneficial for an employee to record all hours worked in the timesheet including hours to be allocated as TOIL Accrual
i.e. employee works 35 hours, 30 hours ordinary and 5 hours to TOIL accrual?
Then when the employees wishes to take the TOIL, they submit a Leave Request as per existing functionality.

Currently the employee needs to separately notify payroll regarding hours worked to be allocated to TOIL Accrual. And this doesn't go through the Supervisor Timesheet Approval process.

  3. The leave process is not flexible enough. Once a request is approved, it can't be changed - only declined which is incorrect. Need to be able to amend/delete after approved. There should be the option to book as days not hours as our employees have day entitlement, this should also be able to be shown on payslip as days remaining. Why also is the leave balance report not being opened to UK

Hi team, currently a user with payroll admin permission has the ability to edit approved employee leave requests, by going to the employees record, clicking into the leave tab, selecting the three dots where they'll see the option to edit.

In regards to setting leave to be based on days this isn't possible as the earnings are based on hours, and cannot be set to days.

  4. We've started using Projects and I've created a test project, sales and purchase invoice and have marked the sales invoice as paid.

However the project summary report doesn't show that the client/sales invoice has been paid and this is so important for us to be able to plan our payment run for the direct costs relating to that client/project.

Can this field be added to the report?

Hi everyone, although not from the template itself you can create a Repeat template from an invoice that has been generated from an existing template.

See more from my note on the idea here

I've also included an image of what this looks like in the invoice.

  6. An employee is in charge of paying our foreign supplier accounts. So we gave him the role "Invoice only (Approve and Pay). Unfortunately, he is not able to see a full statement of the supplier account with all invoices, credit notes and payments made so he does not know how much is owed. He is also unable to enter payments against a supplier without an invoice already existing in Xero, which is an issue when making payments to suppliers who require payment in advance. We cannot grant him full access to see bank details because if we did he…

  7. Inside Xero Me, when you set your Timesheet type to "Start and end times" you can add notes for working days.

It would be great if we could add notes when we have our Timesheet type set to "Total hours worked".

As an employee, not being able to add a note & select an earning type is inconvenient and can cause confusion which leads to slower timesheet approvals

  8. Why are we limited to backdating GST Returns in Blue Xero just 12 months.

It's crazy to limit the backdating of GST Returns to 12 months for Advisors. In an ideal world our clients are well behaved and we only need to deal with recent GST Returns. But we often get situations where we need to backdate GST Returns beyond 12 months: ie A client comes to us who has been trading for 2 or more years and not filed any Tax or GST returns - how do we deal with that? Or if we are doing a migration from…

  9. Make the functionality of quotes similar to invoices, e.g. import quotes, bulk approve quotes, bulk send quotes. I recently had to send out 417 quotes for the same thing and they had to all be done individually which was extremely time consuming. If they had been invoices, I could've imported them on a spreadsheet, approved them all at once and sent them all at once. Instead each one had to be done individually.

Appreciate your liking to invoices in Xero, Angela. Each functionality would need to be considered in isolation so I've changed the title of your idea here for bulk sending.

We don't have any direct plans for this right now, but we'll begin to get a sense of the interest and keep you updated of any change, here.

You'll find an existing idea for import/export of quotes that you may like to join as well. If there's any other feature like this that you'd like to see welcome to start another idea. 🙂

  10. When you enter a bill and save it as a draft or approve a bill up the top it gives you the option to enter a new bill but it doesn't give you the option to enter a credit note. Because I can click add a new bill I enter all my invoices first but if Xero gave me the option to enter a credit note I would use this very much. Right now I have 14 supplier credit notes to enter and that is not unusual and it is very time consuming having to go back to the bill…

  11. When purchasing product from clients we issue them with a hand-written Buyer Created Invoice on farm & then need to input this into Xero as a bill payment. But this doesn't show that it was a buyer created invoice. Please can this option be added

  12. What's most wrong with the new invoicing template is that the most useful features have been shifted to to the bottom of the layout , so you have to scroll to the bottom to use them. Also the default of approve and send is not the best option , approve would be better ( or perhaps a way to choose that box default would be terrific. Also to attach files , all the way to the bottom we go, thats crazy . also the size of the template is too big , it needs to be more compact its adds…

Thanks for feeding back to us here, Mark. I want to assure you our product teams and leadership are very attentive to the feedback we've been receiving from customers on the new invoicing experience and we're committed to improving this.

It helps for each of the points you've raised to be tracked separately so our teams can consider the votes as a factor when prioritising and planning development, as well as keeping the communication clear of the changes we're making.

Many of the things you've shared are being worked on and we have separate ideas for these that I've listed below and welcome you to join and vote for each, if you'd like.

Trying to get a better view of the placement of buttons that you mentioned - would this just be the Attach files option or is there another that you would like to see shifted above, too?

  13. It is remarkably convoluted to change the base currency even when no transactions have been posted. It only seems to be possible by cancelling the subscription and starting again. I rely on clients purchasing the software and it is not unknown for them to enter an incorrect base currency. I have used other systems where changing the base currency is very quick and easy. I suggest you make this a little easier.

  14. It would be very useful if the cashflow report could intelligently add VAT payments to Cashflow automatically.

For example when a VAT return if filed, automatically add the payment amount and date to the report, learning as it does with repeating outgoings what the date might be - if you're paying by DD this is pretty predictable.

As invoices are generated (payable and receivable) the report already picks up the amount of VAT payable to HMRC and it would not be a stretch to calculate what is due back on purchases, or to use the known VAT reporting date…

  15. Allow us to select 'reoccurring payment' in a repeating invoice for Gocardless in Xero.

When Xero generates a repeating invoice that is setup for auto collection from Gocardless, it is classed as a new payment each time and sends the Gocardless customer an email everytime.

In Gocardless when subscriptions were done through its own systems, they were classed as reoccurring payments and therefore as per BACS rules, the customer does not need to be informed everytime payment is taken.

We have over 400 monthly payments and growing, we can't keep emailing customers everytime we take their approved monthly payment,…

  16. We create multiple invoices with deferred income. Currently I can approve the sales invoice then under "Invoice Options" copy to a new invoice and all the data is pulled over. I can then adjust the nominal ledger to the balance sheet and approve that, then again from the "Invoice Options" I can add a credit note to the P&L. I can then copy again to create a new sales invoice for the date when the income is due to the P&L and create that and once again add a credit note to credit the balance sheet. I realise this might…

Thanks for sharing your feedback and the detail on how you use invoicing here. Just to make sure I understand fully and can share back with the team - when you say you want to retain all the data. It is currently possible to copy an invoice to a new draft invoice for the same contact, however is it that you are wanting the contacts defaults to be applied to the new invoice?

  18. In the new reports you can run a report, by supplier, of invoices that are due and planned to be paid, which is great. There is a differentiation between due and planned in both screen detail and reporting. The schuduled/planning option enables users or managers to plan which invoices they wish to pay either by viewing on Xero or running in a report. However, the reporting option puts the two together by adding in an invoice wiht the same due date, if a planned date has not been entered. This means that invoices not scheduled/planned to be paid are included…

  19. In the upcoming new Fixed Assets layout/section, if you sort a heading (Asset name, asset number etc.) it only remains for that particular session, if you close out, it'll default back to sorting via the Purchase Date when you re-open.

Proposing this remembers what the user selected.

Also if you select "Items per page" it only displays that amount of items for that session, then defaults back to 10 after re-opening.

Please make it remember the user's chosen setting.

  20. It would be great to have the ability to mark a bill as already paid when being entered.

We use the bills email address for employees with company credit cards to submit receipts/invoices for purchases however, when these go into bills and before they can be reconciled, they get mixed up with bills actually needing to be paid. This is also the case for invoices we receive that are then direct debited, before the amount is deducted from our accounts, it's easy for these to be confused for bills that need to be batched and paid. If multiple people…
