  1. It would be great that it would be possible to set a default branding theme for a particular currency. This way the payment details added to a theme tailored for a Currency will match the invoice currency without manually having to set the correct theme in the invoice.

  2. Yes that's right. Let's say you pay a subby £150 in advance and allocate that as an overpayment on their account from the bank feed. You then get an invoice from them a couple of weeks later for £500 and deduct CIS of £100 leaving £400 outstanding. You allocate the overpayment from the account of £150 and pay your subby the balance of £250. The system will only declare CIS on the £250 element of what you have paid. You have to know an overpayment has been allocated, reverse it and allocate the payment directly to the invoice for it…

  3. It would be really useful if there was an options to tag or colour code invoices in the list view, so that at a glance we could see invoices grouped together for any given reason.

    For example most of my invoices are paid via direct debit, so I'd love a way to tag/colour code the invoices that have not yet signed up for the debit system, so that I can see at a glance how many I am still missing and who I need to follow up on.

  4. There is no reason to have a limit of 15 Custom DOCX Branding Themes (when those are needed to be used as RCTI). Organisations that issue RCTI do so for many clients so why limit it.

    Hi community we appreciate your feedback on the limitations of branding within Xero right now. While we are looking into improvements to branding and simplifying how customers customise their invoices, we don't have any plans at this stage to increase the # of branding templates that can be set up in the short term.

    In consideration of those in the discussion who's workflow consists of creation of recipient created tax invoice, Xero does not currently have a feature to directly support these transaction types, however we have an idea specifically for this that you may be interested in adding your support to. This is not something we have plans for right now, but we are watching the feedback for this and will share if there's any updates, there.

  5. Invoice templates should not be in the "settings" but in the actual part where the invoices are, this is product development 101 stuff guys seriously...

    Adding/altering/deleting invoice templates should be accessible right from within the sales overview and invoice section. I shouldn't have to google for this stuff, it's really quite terrible.

  8. Ability to select a date that says payment is due upon receipt of this invoice. This is "due date" is used just as much as net terms of 30 days.

    Hi community, returning to the idea right now you could enter a Due Date that's the same as the Invoice Date (or set it to whatever the date is when the invoice is being approved and emailed).


    Additionally if you'd like to specify the text that appears (such as 'This invoice is due upon receipt') you could either:

    • Add this into the ' Terms & Payment Advice (Invoice and Statement)' on a Standard invoice template, or
    • Add this text into the Footer of the invoice template on a Advanced branding theme
  9. Scenario - Multiple projects open. If materials are purchased at eg a builders merchants for mutliple projects on one invoice/receipt, it's not possible to allocate the spend to individual projects which is madness. It seems that the total invoice/receipt must be assigned to ONE particular project. When materials are bought, it's often far cheaper to buy them in bulk, hence buying for more than one project at the same time. It should be possible to therefore assign individual lines on the invoice to a particular project (a bit like tracking).

    Hi Clare, if you're adding an expense from within a project, it's expected that the expense you're creating is related to the Project you're in. You could create a Bill within the Bills to pay area where you can assign individual lines of your bill to different Projects. 

  10. Hi not sure if it is available, but can you add WhatsApp to clients? It would be great if one can email and WhatsApp client invoices and statements, directly from the online portal.

  11. Is would be helpful to be able assign different expenses from one bill to different customers, in one batch. At the moment you have to do it individually and then go back into the assign expenses section to do it again for each assignment, which for a bill that relates to multiple customers takes a lot of time.

  12. Hi,

    I would like to suggest a small but valuable improvement to the Projects section in Xero. Currently, in the "Quotes & Invoices" tab within a project, only the invoice number is displayed, which is useful for tracking. However, for many businesses, including ours, it would be incredibly helpful if both the invoice number and the reference field could be shown simultaneously in the project’s invoice summary view.

    This improvement would enhance visibility and make it easier to track project-specific details without losing sight of important invoice numbers.

  16. I want to be able to group/merge multiple expenses being on-billed into one line on an invoice, even if they're not a tracked expense.

    For example, if a contracting company has billed for a fortnight of the contractor's work, but has separated that into two lines, each dealing with one week, on their bill, then the draft that is created when they e-invoice me will have two lines. When I assign these lines to a project and approve the bill, each line shows up as a separate expense to be on-billed. If I am on-billing the full fortnight, I would…

  17. On the invoice template a mandatory field to be completed of the business email address. Majority on Xero invoices sent don't have an email address which makes it difficult to contact the business via email.

    Thanks for the confirmation, Andrew and Sue. While it's possible to add the organisations email in the Contact details field of a Standard branding theme, and could be inserted as Static text on an Advanced template, appreciate there is no specific field for this atm, and why you may like to make this mandatory or a default on the template.

    We'll leave your idea for making this mandatory here and you may like to also join this idea for providing as a specific field for this in advanced templates. Being open it's not something we have direct plans for atm, but we'll keep an eye on the interest here and share if there's any plans made.

  20. We need to be able to send reminder letters through Xero but as and when, and to all customers, not just those that have fallen overdue since turning on the function. We have just migrated and have to go through each account and send an email outside of Xero to chase these so therefore no audit trail. This seems a key feature which is missing and easy to implement.

    Appreciate you raising the idea, Emma. To round back and confirm current functionality - If needing to send emails for invoices to multiple customers at once you could use the email feature from the contacts list view - See our Xero central article for detail on this. 

    If it's something you'd commonly do you may like this article in helping you set up email templates where you could create and save a custom template that you'd use when sending an overdue invoice. 

    It'd be good to hear if there is detail that this method doesn't help you resolve, that we can share back with our product team.
