We sell software from various vendors and many have rules relating to how their products are sold e.g. "Must include min of one license of X before customer can order any licenses of "Y" OR "Software Maintenance should be ordered with the licenses, otherwise it is ordered as a "Maintenance Upgrade" (with different pricing), and many other examples.

    Updating these each time a new price list is issued must be done manually as Notes cannot be imported or exported making it very tedious.

    Also, with Notes being at the bottom of the screen and needing to be expanded to see…

  3. Insert a Notes section on the Bills You Need To Pay screen.
    For example, I can enter a due date, planned date etc .. but a section for Notes that can include a little reminder for example "confirm A123456 has been delivered"

  4. Currently notes need to be updated manually on the financial statements (as far as I am aware). New accounts need to be added to the respective notes otherwise the figure in the notes will not match the figures in the financial statements.
    I feel that this is inviting error as inevitably there will be times where this process is overlooked.

    it would significantly simplify the process if Xero recognises where a note is connected to a financial statement line item, and then automatically fills in the notes with the same accounts grouped in the financials.

  5. Add Notes reference for Statement of Cash Flows for totals.
    When preparing financial statements it is not possible to add a Notes reference for total lines. This is extremely frustrating as we normally have a note reconciling the net operating cash flows to the net operating profit. This requires PDF correction after exporting from Xero.

    Please add functionality to add a Notes reference for total lines in financial statements.

  6. The ability to search bills and filter specifically for a credit notes would be helpful.
    Also, if a credit note has been used the total is $0 - it would be helpful if the total was still shown as paid.

  7. Apart from utilising the Notes function in client profiles, may I suggest a field be added for short term notes (not needed to be archived) to highlight an alert/instruction/warning for all staff when working on a particular client. As an example: do not lodge Tax returns for ABC until Paid.

  8. New Invoicing My issue is that when an Invoice has been amended after it has been sent. I have found that currently the tick is still in the box as Sent . I think it should not be ticked until the amended invoice has been emailed again. I sent it twice to a customer Also The History and Notes on that Invoice Show it was updated but not emailed straight after I edited it. Anyone else having issues with this?? Maybe I should log a support call for it. If so let me know

    Thanks for your idea and feedback, Maria. I'm just checking in with the team on the history for the send in the second part of your post here.

    In terms of the sent box being ticked. This is automatically ticked when the invoice is initially sent and does not change when an invoice is subsequently edited. Appreciate this might be something that would help your processes and I've slightly amended the title of the idea for this.

    While we don't have any plans for this right now, we'll begin to get a sense of the interest in this, here.

    Does anyone know if there is an option like on SimPro where you can have notes shown up under each job to write like to do list or instructions etc.

    Hi Philip, I can't confirm it's relativity to other applications however perhaps you could use the 'Add note' button within the history section(beneath a quote) in Xero.

    Notes aren't able to be edited once posted, however will remain visible to any user in the org that views History of the quote.

    Alternatively if you want to add more formatting or details, you could create and attach a file to the quote.

    You'll want to ensure you don't tick the 'Include with online quote' checkbox, unless you want the customer to see it 🙂

    Would either of these options suit your needs?

  10. Ability to add 'comment' only lines on invoices that run the full width of all the invoice table boxes.

    Purpose: Users often want to add some comments specifically to a client in the line item.

    Hi everyone, understand the difference between a description only line and what's being asked for in the idea here. 

    This isn't something we have planned at present. 

    We do want to highlight the existing option for anyone interested that could benefit from the option mentioned earlier in the conversation (thanks, Paco) 

    Currently, it is possible to 'description' only lines to an invoice (with no Qty or Price) where you can enter up to 4000 characters worth of detail that could help you signal a note within an invoice to your customer. 

    We will continue to assess ideas in the forum here and let you know if there are any changes surrounding this to share.

  12. The existing Customer Invoice Report has a "Paid" column. This column shows the payments allocated to an invoice. This column excludes any credits allocated to the invoice.

    The new Receivable Invoice Summary report has a "Payments/Credits" column. This column shows the combined amount of payments AND credits allocated to an invoice.

    I need to be able to run a report of invoices that shows ONLY payments allocated to each invoice. This is a crucial need for us. We need to know what amounts on invoices were paid by customers (i.e. payments) and what amounts on invoices were not paid by…

  13. A report to show who and when the account lock dates were changed.

    If transactions are entered into lock periods this causes Xero to ot match the closed periods where accounts may have been submitted already. Currently there is no way to see who or when the dates were locked.

    Hey community, thanks for all your interest in this idea! It’s clear from the comments that identifying when changes are made, and who has made them would be really helpful.

    This morning we rolled out an update to the financial settings screen for all Xero organisations to enable History & Notes  🎉

    When you add a lock date, it will appear on the History & Notes table below and, for advisers, the History & Notes screen.

    I’ve attached a screenshot so you can see this in action and, for more information, you can check out our Xero Central article Set up your organisation's financial settings.

  14. It would be really helpful to be able to add a note/comment next to contact email addresses. Such as "Use if sending a remittance", "Only use for purchase orders" or "Business owner - only email if urgent". These comments could sit under or beside the email address in the contact's edit section so that it doesn't crowd the side bar of information. That way we don't annoy the customer by sending some emails to the wrong account and we also don't need to keep sticky notes for such specific customer details for each of our many clients.

  15. On the Employee tab when an employee moves pay rates it would be good to have a record of the history of changes to see when the rate changed and what all previous rates have been - this would make tracking rate changes and anniversary dates easier.

    So if the rate changes in the pay template then the change is recorded (link) to say notes to keep track of rate changes.

    Just before the end of the year, we rolled out support for ‘Payroll History’ in Australia 🎉

    It includes a history of changes made to the Payroll Settings screen, and to the Employee Record, enabling you to see pay rate changes at a glance.

  16. In the bank feed section. Please make the vendor history available when going through bank feeds. QBO has a button in the bank feeds called Categorization History. This way to do not have to go into a contact page to view how something was coded in the past. This is for things without rules.

  18. I'd like to add a note within a pay run that is visible to "admin only".
    Eg. To justify differences due to staff timesheet errors.
    I don't want the staff to be able to see this note but I'm sick of having notes in external programs.
