  1. It would be good if you could hide leave balances on individual employee payslips. The hide/show leave balances on payslips is a global setting applying to all employees. For example, employee moved from part time to casual and had leave balances zeroed out, or hiding Long Service leave from employees that are accruing but not yet eligible.

  4. UK Payroll - when an unscheduled pay run has been posted for a period it stops any updates to salaries even when a full payroll hasn't been posted. It makes sense that a full run would stop updates but only people included in an unscheduled pay run should be barred from having updates applied. For instance, with an unscheduled run posted I can't adjust starting dates or salaries for staff, and these may have changed after the unscheduled run was posted.

  5. When closing a UK PAYE scheme in Xero Payroll, I struggled to locate the option to end a PAYE Scheme within the system but found guidance in Xero help resources.
    I suggest moving the "scheme cease date" box to the "HMRC" Xero Payroll Settings tab for better visibility and less confusion.
    Your step-by-step explanation was helpful, but some adjustments could enhance user experience.

  7. We are after a report which shows the leave accrual rates for each individual employee in bulk report. I know we can view each individual employee by clicking on their leave balance and looking at the "Hours of leave accrued annually by a full-time employee. However for businesses with a large number of employees, this is very time consuming, therefore we would like a bulk report we can run to view all employees accrual rates in the one report.

  8. Hi Team, Im not sure if this has been raised, but can we get the ability when setting up an employee to be able to allocate a % of their salary costs between different department / cost centres. At this stage we do not have the option of splitting salary costs without having to do manual journals

  9. To minimise additional payroll payment processing it would be great to have the ability to pay employees from more than one Company bank account using the Payroll Batch payment functionality i.e Employee 1,2,3,4 gets paid from Bank Account A and Employee 5,6,7,8 gets paid from Bank Account B.

    Hi community, thanks for the strong support in being able to attach files within Xero Payroll, both for employee records and pay runs. We really appreciate you sharing the value and efficiency this could create for you when working with Xero. It's evident that being able to store important documents like licenses, sick notes, and onboarding papers directly in Xero would remove the need for external storing systems or manual processes.

    We acknowledge it's not the end goal but wanted to highlight the use of apps, as some have shared like Dext, to help bridge this gap in the meantime.

    I want to assure you that enabling attachments in payroll is part of our long-term intentions. However, to deliver this functionality effectively and reliably, we first need to develop some foundational elements within our payroll platform.

  11. Payroll:

    Allow changes to employees' regular earnings details even when a draft pay run is in progress. If an employee's rate needs to be changed, they should be unticked or deselected in the draft pay run.

    Currently, the entire pay run needs to be deleted, even if only one out of fifty employees needs a rate change, doubling the time spent on preparing the pay run. All calculations for overtime, leave, reimbursements, and deductions will need to be redone.

    Hopefully, this can be considered.

  13. i would like to that when you have made a superannuation payment through Xero, that it creates a bill, with a screen shot or a list of employees that has been paid. will make it easier for when you have an audit.

  14. Ability to restrict which pay items an employee can view in Xero Me to only those that apply to that employee. Without this ability employees sometimes choose pay items that do not apply to them. Most often this is picked up at the authorisation stage but why allow the possibility for error in the first place.

    Thanks everyone. We appreciate the thinking behind wanting to restrict which earnings rates employees can choose when they fill out a timesheet.

    Since this idea was first raised we’ve made a small update - You can now assign earnings rates to employees and these'll appear first in the Xero Me app when an employee enters a timesheet. Just a heads-up that any other earnings rates will still show underneath and can still be selected.

    As we continue to develop Xero Payroll in Australia this is something our product team have been keeping a close eye on. We’re planning work that’d let employees select only the earnings types in their Pay Template or the default rate from their employee record.

    When this work moves forward I’ll come back here and share an update with you all. 🙂

  15. This is basic, if you want people to move to XERO make it easy to import data from existing systems. I have a huge amount of expenses to get into XERO and you can't use Bills because that is limited to 5 Bills per month!

    I pay for expenses so if the work around is use Bills import then remove the 5 Bill/m limit.

  16. When uploading an expense claim, Xero should auto populate data like date, organisation, amount to cut down on data entry and mistakes.

    Appreciate you confirming that you were referring to this from the desktop version, Kelly. I'll re-open the idea here. It's not something we have plans on at present but will track this here, and let you know if any change i s planned.

  17. If Reimbursements are meant to be used for certain allowances then we need to be able to set up units and unit rates in the same way as we do for allowances, otherwise the calculation becomes a manual one and leaves room for human error. It also means reporting is not clear on how the amount was calculated as even though you can enter a description on the payslip i dont beleive there is a report that summarises this.
    ie for overtime meal allowances you should be able to show how many you have paid and at what rate so…

Currently, for monthly employees, Xero does not take into consideration the fact that they have been set up to be paid the same amount each month, therefore the days in the month are meaningless from a pay perspective. Unfortunately, this means that the basis leave accrues on to work out how many hours a public holiday/personal/annual leave day should be when leave is entered is also meaningless. Instead of defaulting to 7.6 (or 8) hours/day leave taken, it does a calculation based on the number of working days in a month. So if someone is being paid on the basis…

  20. Add YTD figures for (recurring) reimbursements on an employee"s Payslip, such as non-reportable travel allowances (paid as reimbursements).

    I followed a Xero direction to process non-reportable travel allowances as reimbursements, as it ws creating discrepancies in our BAS (even though include in W1 was not checked).

    For an employee not to be able to see their total YTD renumeration on their payslip, including these reimbursements, is disappointing (particularly as it won't show on their EOFY payment summary).
