Ability to attached files to a pay run and employees
Hey team 😊 happy to come back to share that this work is now underway with our product team as they begin development for managing files within Xero Payroll.
We really value the feedback we've received from you all in this idea, which has helped inform our teams approach to developing a solution that will fit majority of needs.
I'll return to share as we get nearer to release with more information on what this looks like including where and how you'll be able to attach files in Payroll.

Employee details forms and TFN form etc, annual leave requests etc need to be able to upload to employees file. Otherwise they have to be saved externally to Xero which is not ideal. Thanks

I agree, my company is trying to go completely paperless, so the ability to add documents to an employee profile would be great and good support for audit purposes. I'm in the UK but believe this would be a good global addition.

Having just migrated to Xero from another payroll system, not having this functionality is greatly lacking. Especially as we are not able to store TFN and Super declarations in the employee record

Ability to upload attachments to employee files. Information that is recorded elsewhere by necessity (incident/injury reports, medical certs, employment contracts, contract amendments training records etc) are required to be kept on file. This is a very necessary function

I have Sales staff that earn commissions. I would like to upload their commissions report to their payslip (or payrun). The commissions report is an external system report.

Let's see how long it takes to get implemented.
If you need to manage licences, etc in the construction industry, I would suggest looking at an addon called Canyou which I was looking into for online onboarding before Xero brought that in. It's an additional cost and I see now they have increased their pricing to min $49pm (was $30pm) but does the reminders and management of licences. I was also looking for subcontractor info management such as insurance but it doesn't really do that

That is great news — this is a critical function. Being able to attach and store employee documents within their file is essential.
In the construction industry, it is particularly important to keep current licences, tickets, and certifications on file for compliance, insurance, and site requirements. Having everything centrally stored and easily accessible within Xero would significantly improve efficiency and reduce risk.
It would also be beneficial to include:
-Expiry tracking and reminders for licences and tickets
-A birthday reminder for employees
-An option to send a message directly from Xero (e.g. for birthdays or general communication)These additions would make the employee records feature far more practical and valuable for day-to-day business operations.

This will be fantastic!! It will be great to keep any documents associated to an employee just like you can a contact!!
Medical certificates, workers comp info, everything in one place instead of spread out over mulitple filing systems!!

Would be great if within the Payroll, we could upload staffs individual employment contracts. Would keep everything in one place.

Be able to add PDF documents (like files) to employee contact - i.e. employment letters or agreements.

Please develop this option to add attachments under employees in payroll . This will be quite handy for employers to be able to save down employee related documents such as employee contracts, kiwi saver and tax forms etc all in on place.

It would be really useful if under the employees on payroll module there was a way to upload the employee contracts of employment under their profile. This way we can easily refer to the employee related contract items through Xero payroll.

Totally agree Julia, I have been saying the same on multiple idea pages!
Nothing we ask for seems to get done but they waste time on cosmetic stuff or "upgrades" we didn't ask for or don't need - so frustrating.
Xero is OK as a platform but it has a lot of flaws.

It would be great if attachments could be added to the employees notes section ie Apprenticeship Training Plans, Qualification certificates, copies of licences etc.

I would like to suggest adding an “Attach Files” feature within the employee profile section in Xero Payroll.
Currently, there is no centralised place within each employee’s record to upload and store key employment documents. It would be extremely helpful if we could attach files such as:
Tax File Number (TFN) Declaration forms
Superannuation Standard Choice Forms
Employment contracts
Identification documents
Other onboarding documentation
Having these documents stored directly within the employee profile would improve record-keeping, compliance, and audit readiness. It would also reduce the need to maintain separate document management systems for payroll-related files.

If any of us were audited tomorrow, the idea that we could simply "hand over the keys" to Xero and walk away is a fantasy. Here is the reality of why this software is failing its users:
Substantiation is Non-Existent: Auditors don't just want to see a net payment; they want the "how" and "why." Xero’s ability to link external contracts, award interpretations, and specific pay-rate change justifications to a pay run is clunky at best and dangerously manual at worst.
The Documentation Burden: For a tool that claims to streamline business, the amount of external record-keeping required to make Xero "audit-proof" is astounding. You end up spending more time managing the "paper trail" outside the software than you do inside it.
Compliance vs. Calculation: Xero is a calculator, not a compliance officer. It handles the math fine, but it leaves the heavy lifting of legal record-keeping—things like specific industry award nuances and detailed audit logs—entirely on the shoulders of the business owner.
The Bottom Line: We are being sold a "complete solution," but we’re actually getting a ledger that requires a massive, manual secondary system to satisfy an auditor.
Also, you are breaking the law if you add the documents to a newly created contact. Unauthorised Disclosure: If you attach a sensitive employment contract or medical record to a contact, and your general admin staff or an external accountant (who isn't your payroll officer) can see it, you are likely breaching the confidentiality requirements of the Fair Work Act.
