AU Payroll - Set Working Days for Part Time Employees
Currently, Xero does not have the feature to assign certain working days for part time employees. This becomes very frustrating when doing payroll.
For instance, an employee works Wednesday to Friday and when a public holidays falls on a Monday, Xero will allocate either all or some of the employees ordinary hours to this date incorrectly. This means we will have to manually adjust it each time.
A simple resolution would be to set up employees to certain working days, then the public holidays would assign correctly and there would be no need to manual adjustments.
Thanks for your engagement with this idea to allow setting specific working days for part-time employees in AU Payroll. We understand wanting to handle these common working arrangements smoothly and accurately.
We know this is a key area for improvement and we'd like to look into this deeper in the long term, however it’s not in our roadmap just yet.
Right now you'll need to manually adjust leave requests.
We'll be sure to provide another update as we move forward with our investigations.

I'd love in general for Xero to get up to date across all countries and have the ability to set the hours people work across a week, we have flexible working and at the moment I have to "trick" the system with a stupid number of hours someone works a day across the week to get it to add up for payroll. Same with part time people, you can only say they work X number of days but not which days, so I agree there is WAY more manual work required when it comes to payroll adjustments for both leave requests, payroll and public holiday adjustments. We are looking to transition to ProjectWorks and in the employee's profile you can set what their work week looks like. Why can't Xero do this?!

Xero, this is a really important feature that you need to implement. Australia has just come off a run of public holidays, where most staff also take annual leave around these days. It is frustrating to say the least when I have multiple part time employees and having to constantly re-check calculations both when they initially submit leave and when the leave is processed. Please consider this - it would make payroll so much more streamline.

Surely very simple: Select Employee - weekly or fortnightly -> set start and finish hours (and I guess lunch duration) for each day of that period -> save.

This would definitely be a worthwhile addition - it is frustrating to always have to manually change this for part time employees, and to add in a 9 day fortnight option would be really good too - this should definitely be part of Xero's payroll function and capability!

I am surprised, to say the least, to discover that Xero does not have this (seemingly) fundamental capability already in the product. We've just added our first part-time employee who will be working fixed days each week. I hope this does not become a manual reconciliation nightmare for our bookkeeper.

It is a fundamental requirement for these employees to keep timekeeping records (Timesheets) and under relevant Commonwealth workplace laws it's an employers requirement to "make and keep accurate and complete records for all of their employees".
So when these salaried employees submit a timesheet & it is 'approved' the hours transfer to the pay run for the period, BUT they are not being paid for the hours worked, they are being paid salary so are paid their set salary/52 weeks.
When will Xero FIX this issue and become ATO COMPLIANT?

Our business is growing and with the flexibility being offered in the workplace it is essential for employment work patterns to be able to be recognisd in the payroll function of Xero. It is inefficient to have to manually manipulate payroll data each payrun to reflect actuals days worked due to Xero's default being to spread hours across the work week. A payroll system is supposed to remove the possibility of human error and constant manual manipulation.

Great idea. This would be really useful. Most of our employees work different days and hours. It would be great if this could also translate to employee leave requests as I almost always have to manually change them from the 7.6 hour day default.

Yes! This would also help when taking leave during a partial week so that the correct number days (and hours) are applied to the leave.

Come on Xero. These are basic requirements. If the software makes life harder instead of more efficient, perhaps it is time to swap.

This is affecting us also as we have moved to a 4-day week. We also get our team to do a timesheet each week and the timesheet doesn't allow or show break times. This can be confusing for team members as they tend to put down the whole hours that they are on site rather than removing the unpaid breaks. Would love to see both of these ideas implemented in Xero.

THis is killing me! It's Xmas holidays, I'm trying to do payroll and having to manually adjust all sorts of stuff because Xero lacks a pay template for part-time or alternative hours staff (i.e. 9-day fortnight).

This is an issue for a full time with a 38 hour week as well as time is spread over the week equally.

This is critical, and is an issue that has been raised many times over a long period of time. I understand the NZ version of Xero allows for setting a roster for part time employees, so if this is already developed, it should be a very simple implementation for the AU version. The hours beign split evenly across 5 working days does not allow for the public holidays, annual leave or sick leave requests, which all have to be manually adjusted. With government procurement and Fair Work Australia pushing priority focus on flexible workforces, Xero needs to support its users in managing this through basic payroll functionality.

This is critical for us as we have a couple of part-time employees and the manual effort required to calculate leave entitlements is a huge overhead.

Xero Payroll is basically non-compliant.
It can't work out holiday pay correctly, has no idea about statutory holidays. Doesn't work out sick pay, basically forcing you to manually adjust everything.
But don't complain, they might remove the feature to prioritize 'improving' the product! -

This is a very important add on! Payroll is Payroll, you can't just offer bits and pieces and hope that everyone is happy enough to do the manual "bits" themselves. Especially finding out as they go along that what you offer isn't necessarily what a customers expectations are. Why should we have to manually account for part time rosters and know that we are calculating hours and days correctly, it's a system that should do it for us. It leaves too much room for error. We have to report to the ATO all this information, and to try and fix errors is a nightmare. Come on Xero, help us run our businesses seamlessly and efficiently! A roster for part time employees is a MUST, you can't just leave stuff out, its payroll and this forms part of payroll calculations. We pay for a service, but really only getting bits and pieces that suit you, not ideal at all!

It's this lack of feature that has me NOT recommend Xero for anything other than basic full time majority payroll. Businesses with numerous part time work schedules makes managing this is a manual nightmare.
