Projects: Allocate to projects when bulk importing invoices
The Xero bulk invoice import template makes provision to allow for the population of data into the available tracking categories that would correspond to same inside Xero. However, is it possible to do same with a project? Xero have since confirmed it is not possible to include project allocations when importing invoices.
We have a high frequent need to import bulk lines of data each representing individual invoices, and we wish to use Xero projects, but need to be able to allocate the bulk upload of these invoices to the applicable projects inside Xero.

Bills - Copy to invoice
Copy a Bill to an Invoice. We have many instances where we need to charge out for the invoice that we received. You can copy Quotes and Purchase Orders to Invoices and Bills already. Not sure why this is not already a function.
27 votesHi everyone, appreciate the continued conversation here. Please bear in mind while a solution may not solve what you're in need of, it's generally offered from a good place, where everyone is trying to help one another.
As noted earlier there are a couple of existing options that some may be able to make use of like;
- Using Billable expenses to mark items of your bills as an on charge to your customer which can be easily added when the invoice is created for the customer later on, or
- Perhaps entering the invoice first, and then copying the invoice to a bill
We totally get some users find this second option useful and it's not quite available within the new invoicing experience just yet. There is a specific idea for this that I'd encourage you to join and follow for any updates as we're continuing to develop the new experience.

Bills - Auto-populate fields when Files is used to create the bill
A number of bills are received via supplier portals rather than by email. The simplest entry point into Xero is therefore to drag and drop the pdf into the "Files" area of Xero and then create the bill. However using this method doesn't auto-populate any of the information for the draft bill like when using the email to Xero method.
I'm sure all the functionality is there for this suggestion : It would be great if files could be dropped into a specific "Bills" folder from which then Xero a) automatically created draft bills and b) auto-populated fields on these…

Right now, along with work for managing duplicate bills, and providing a quick view of bills we're developing a bills upload feature where you'll be able to upload or drag & drop a file from your device to create a bill in your Xero organisation. User Permission - Separate approver roles for both Invoices and Bills
When raising client invoices, it would be good to be able to submit the invoice to a Manager for approval.
When processing supplier bills, it would be good to be able to submit the bill to a Manager for approval of payment of that expense.
In both cases, this would mean that approval details of "who" and "when" would be noted in the History of the invoice/bill without needing to attach a file showing the approval or tracking this outside of the system.

Invoice Templates - Drag and drop invoice designer
How come the process of designing invoices is so painful? It would be great to have a built-in drag and drop invoice designer. I realise it won't be easy but it's mad that our only option is to design them in Word. There are so many sites that allow similar functionality, albeit for non-finance related areas like marketing.

Files - Allow file emails without attachments
Ability to accept emails that have no attachments in Xero Files.
Purpose: Users can upload their email invoices/quotes easily into Xero.

Organisation settings - Remember my settings preferences in Xero
Ability to save and remember users’ settings in Xero (e.g. view of chart of accounts).
Purpose: Each users’ in Xero org have their own settings preference, and by enabling this feature, it’ll improve their workflow.
27 votesHi team, while not relevant to all areas of Xero atm. As we continue to develop the product you'll find there are many places where teams are beginning to add improvements to behaviours such as Xero remembering your last selection.
For example, in the Products and Services page(Inventory items) if you make a change to the number of items shown, and navigate away from the page when you return this selection is remembered. A couple of exceptions to this is when you change browsers, or if you're using incognito mode or a private browsing page.
We appreciate there are more places across Xero you'd like to see these behaviours and we'll keep you updated of more improvements here.

Expenses | Notifications - Option to choose the type of notification e.g email or in app
Ability to turn off email notifications for submitted expenses to Xero admins. Only started receiving email relating to submitted expenses as of 10th July 2025 but have been told by Xero support that it is an integral part of expense management and can’t be switched off. Have used Xero and expenses since 2019 and have never received an email relating to an expense submission. Am more than happy to continue receiving notifications of submissions via Xero Me mobile app but do not want or require email notifications.

We appreciate the differing needs of our customers our product team have temporarily removed the notification changes mentioned in my previous update - This means this'll reduce the amount of email notification you're receiving from expenses.
We're looking into enabling more controls for expense notifications and I'll come back to share any further news around this with you here.

Bank Feed - Chase bank
For Xero to expand their bank feed connections to develop feed that supports Chase bank UK
26 votesHi everyone, just a quick update to let you know that we are aware of this request, and we get that having a direct bank feed for Chase Bank UK would streamline your workflow and make reconciling much easier.
Currently, the best way to get your transactions into Xero is by manually importing your bank statements.
For now, we’ll keep an eye on the engagement and support for this bank feed here, and let you know when we have any updates on this.

New invoicing - Remove invoice description character limit
Remove New invoicing description Character limit. Currently the limit is 4000 which isn't enough for large customer invoices.
26 votesHi everyone, thank you to everyone that participated in our teams survey from my last update. We appreciate your insights and these continue to help inform our teams of where they can best focus their efforts, as they continue to develop invoicing.
We don't have any plans at this stage to increase the Description field character limit from 4,000, however we're interested to continue tracking the interest in community and understand what the optimal amount of characters would be for our customers.
If there are any changes we will share an update with you all, here.

New invoicing - Default quantity of 1 for invoice lines
In the New Invoicing Template you have to enter a Qty for every line as the default Qty is "0"... In the classic version and what we are all used to it's "1".. As a ball park guess I'd say the use of Zero qty on a line is a lot less common than any other number from 0-9 and I'd guess most lines are a qty of x1.. If I wanted to default my qty's to Zero, I can not see the point in making invoices :)))) Come on who made Zero a default qty for invoicing??

Profit and Loss - Option to show opening and closing stock
Ability to show opening stock & closing stock closing amounts in the P&L on a monthly, quarterly etc basis.
A function to allow to pick a Balance Sheet code or P&L code for stock and specify what balance to report in the P&L or trading account. ie. when running May 2023 monthly reports, the ability to specify that the opening stock is the stock on hand balance at 30 April 2023 and the closing stock is the stock on hand balance at 31 May 2023.

Sales Invoice | Discount - Ability to set account (not impact line Account)
Discounts - the ability for the discounts in sales to be allocated to an expense account rather than distorting sales figures. At the moment each line item has the cost of the item then applies say 10% discount equals net which then is allocated to the sales account. I would like the option to allocate discounts to an expense called discounts given so that we can track and show the correct sales figures. By distorting sales figures you could be affecting calculations like WET. other programs allows you to setup discounts given & taken and freight even.

Contacts - Ability to view contact payment method (e.g active DD form, payment plan, CC)
It would be great if, when viewing a contact, there was a quick 'sign/flag' to show if that contact has an active Direct Debit form.
Currently you have to go to >Settings >Payment Service >GoCardless >edit >Direct Debit Forms

Invoicing | History - Show detail of action made
With the currect feature History and note report we are able to see which invoice for example has been edited - change name of invoice - reconciled etc. However we would like to have a more detailed view, for example if an invoice is booked in USD and someone will change the currency in EUR we are not able to see this change , we can see only that the invoice is edited by X person but we are not able to see the change. How can we have this feature?
26 votesHi everyone, we wanted to provide an update of a recent change we have made where you'll now see the email address of the primary email entered in the To field is recorded in history each time an invoice is sent. You can read more about this change in my update here.
As mentioned on that thread there are a couple of unique scenarios we are tidying up and I'll return to confirm once that is complete.

Contacts - Ability to set a default email template
So we have set up and had a lot of success with email templates in Xero. it would be useful to have the ability to have a default option for each contact (or group of contacts) a specific template for a specific reason eg new invoice or AR. so that everytime we go to email an invoice for example it preloads on a certain template.
Eg we have a number of clients that only speak read German and/or french so it would be nice to be able to set these contacts to default to use our German and/or French templates…

User Roles & Permissions - Ability to suspend users
It should be possible to suspend users without deleting them. This should cut off all accesses but should preserve the account /username itself. This is a basic functionality of user access control which is surprisingly absent from Xero. This preserves the user ID incase someone suddenly leaves the company or is suspended from duties for whichever reason.
