Files updates
Dissatisfaction with the recent changes made to Xero’s file management system. Specifically, we’ve observed that frequently used files are now being archived, which is both counterintuitive and disruptive to our workflow.
Files should only be archived when they are no longer in active use. Archiving regularly accessed documents creates unnecessary confusion and inefficiencies.
This change will require our business to retrain over 100 clients on how to navigate the updated system—resulting in a significant and avoidable cost to our operations. We view this as an unnecessary adjustment that negatively impacts usability and productivity.
We would appreciate clarification on the rationale behind this change and whether there are options to disable or customise the archiving behaviour.

These enhancements to Files are the first big step in our plan to provide a great document management system within Xero with;
- A more structured filing system, giving you a clear view of what still needs to be done.
- Streamlining the reconciliation and review workflow by allowing side by side preview and a clear distinction between documents needing action vs those that have been attended to.
- Paving the way for future enhancements and functionality that have been highly requested by our customers
We appreciate it may take a little time to adjust to the changes, but believe these changes will provide more benefit in the long term for managing documents.
