  1. I want our employees to receive an automatic email when their leave balance is above a certain level, separate to their payslip. The email will be a prompt advising them of their leave balance and our company policy regarding taking leave. I'd anticipate the email workflow would be triggered once each payroll period, when it is completed, based on a conditional logic such as 'if balance is greater than X, this email is generated for Employee A'.

  2. Overtime Report by employee in one easy to read report

    Managerment required a report to analyse overtime per employee over the course of a year - in one report. Only option in Xero is to run report employee by employee. (which would be incredibly time consuming)

    A simple report would be -

    - Rows would be list of employees
    - Columns would be all the overtime categories,

    - values would be sum of hours worked (or dollar value or both)
    - parametres would be between two given dates.

    I could find no such useful report in Xero -…

SUPER NON Regulated Super Fund Set Up - There are many Non Regulated Super funds out there and Xero only provides a list of Regulated Super Fund name to choose/ set up under payroll settings so when an employee has a NON Regulated Super Fund you can not set up or choose in the Employee card. The current work around is to Choose another Super Fund name (fraught with danger) in the Employee card then make manual payments. Making manual payments is not an issue however, choosing another Super fund name that is not correct is not an appropriate work…

  5. When processing backpay for employees where they have a Termination Date currently involves either an Unscheduled Pay run for a period the employee was employed or undo the Termination date, and run a payrun, then Terminate again.
    Both of these are very time consuming, particularly when there are some 40 employees over an 18 month period that need to be included who have a Termination date.
    It would be useful to have a function in a payrun to "include terminated employees" which keeps all the previous data, but includes them for the backpay without having to manual…

  6. Now that directors fees are considered allowances, they don't show up in the employee remuneration report because that is for OTE only.
    I would greatly appreciate being able to include directors on the remuneration report because the board asks for total remuneration on a monthly basis.

    Hey team, if you'd like to see a report that shows changes made to payroll such as salary changes, you can use the Payroll History report.

    It can be run for a specified date range and will show the date the changes were made, what the changes were, the employee affected and the user who made the changes.

  8. The status of invites to XeroMe to be easily displayed

    When an employee is invited to XeroMe, it would be good to be able to see the status including:
    - sent to employee
    - employee revoewed
    - employee accepted
    - employee rejected
    - etc

  9. When going to Payroll -> Pay Employees -> (inside your payrun) -> (Inside an employee's pay)
    There is an option to drop down the list of employees included in the pay-run to change between. Could this be made much bigger please.

    Same goes for teh Drop-Down in the Employee Setting Pay-Template tab

  10. There is an issue in payroll where you will get a rounding error due to other pay items such as Leave/Holiday.

    e.g. Salary £12,570 per year
    Paid in May the calculations are as follows:
    1685.692935=£956.41308 Rounded: £956.41
    8
    5.692935=£45.54348 Rounded: £45.54
    8*5.692935=£45.54348 Rounded: £45.54

    Total = £1047.50084 Rounded Total: £1047.49 instead of £1047.50

    This should be corrected somehow to use the correct number before rounding as the final calculation. The rounding can either be ignored from the line items, added to the first line item (the total pay) or added as a new line item specifically for the rounding…

  11. Show the Total Payment of a Pay Run, on both the Pay Runs and individual Pay Run screen. As it is, you have to click Payroll > Pay Employees > Pay Run > Employee to see the Total Payment for that specific Pay Run. Far too many clicks to check what the total amount was that was posted to Wages Payable account (and paid from the bank account).

  12. When you invite an employee to xero me for the purpose of submitting their timesheet, there is a drop down menu for the payrate. In this drop down, it shows 'Self' payrate (the payrate of the person submitting the time sheet) and also 'Team' payrate, a list of all the different payrates of the company. Why would you want an employee to be able to see the different payrates of the team?

    This seems like a flaw in the system to me and an employee should only be able to see the payrate that applies to them.

  13. There is currently only one default setting for NI contributions to be made to. It is though necessary to separate out employee and director costs. Even direct employees and overhead categorised employees. Other pay items allow postings to different ledger accounts but not NI deductions. Would just save a lot of manual journal posting to correct payroll run postings.

  15. Xero checks employees age against pay rate and that of the National Minumum Wage so it does not get missed. It's doesn't have to change it, just highlight thsat the employee's rate needs to ber changed

  16. Is it possible to change the annual leave or personal leave displayed on the payroll activity details report to be the actually leave dates that the employee has taken. Currently the dates next to the annual leave or personal leave line is the pay date (which for reporting purposes is misleading as the employee didn't have leave on these dates).

  17. I would prefer that the dates displayed on the Payroll Activity Details & the Payroll Employee Summary reports are the beginning and of the pay period.
    I have found that some of my clients get confused with the way those reports are currently issued, using the payment date.

  18. It would help if the list of emplyees were sorted in alphabet order, by Surname. Also, a BACS report that just shows the employee, amount to be paid, and the total at the bottom.

  19. Before the update there were two greyed out boxes, when hovered over revealed the employee full salary and earnings to date - this was very handy when the salaries are based on an hourly rate. Where has this function gone? and can we have it back please.

  20. We recently had an employee which had a leave type reinstated after a period of over 12 months of it not being used. There was a balance sitting in there for the duration of time that it wasn’t active, and therefore not showing on any payslips that were provided to the employee or filed. We are now in a position that we had to reactive this leave type to be in line with STP requirements and showing leave loading on a separate line.     Hey Amy, I know it's been a little while since you started your idea here. Taking another read through the situation you described, there are a couple of options which depend on whether you need a record of the adjustment.

    • If you do need a record of the adjustment you'd want to post an unscheduled pay run to reverse out the leave balance for the pay period in which it should have been paid out.
    • In the case you don't need a record, you could simply adjust the opening balance for the leave type within the employee's record.
