Invoicing - Stop capitalizing the address line for City
On the PDF invoices, Xero automatically CAPITALIZES the entire town/city name, even in my custom invoicing template. It looks unprofessional and I want it to go away. I've avoided this by typing all new addresses on the first line, but I have imported hundreds of contacts into Xero and I don't want to go in and change every single one of them.
5 votesHi all, in Xero City, State and Country fields appear in capital letters when using a standard invoice template. This is because the US Postal Service (USPS) recommends these fields are in all caps.
Currently you could use an advanced invoice template and replace the merge field <<ContactPostalAddress>> with some or all of the following merge fields to change the way this appears:
- ContactPostalAddressLines
- ContactPostalRegion
- ContactPostalCity
- ContactPostalCountry
- ContactPostalPostCode
- ContactPostalAttentionTo

New Invoicing - Retain automatic suggestion for email address, based on previous contacts
Please include the functionality of classic invoicing which allows Xero to suggest email addresses based on your previous contacts used. This is a key time saving feature in our workflow and one of only a few reasons we cannot transition over. 5 votesHi team, sorry we didn't return to update you on the deliver of being able to keep the contact when copying an invoice with new invoicing.
This was released a couple of weeks ago. Now when you copy an invoice to a new draft invoice you'll get the option to keep the same contact.
It;s worth noting that while the contacts details will follow through to the new invoice for sending purposes. Defaults are not automatically applied - So, if you'd like contact defaults to be applied to the new invoice you'll need to remove the contact and then re-add in the new draft invoice.

When allocating a credit note to a customer invoice we need to be able to report on this event and no date is stored at the point of allocation.
In the current system you can see credit notes allocated against invoices only when in the documents as a credit note displays similarly to a bank payment. You can to an extent identify credit notes allocated against invoices by running reports against the Accounts Receivable ledger, filtered by source 'credit note allocation' but you cannot filter this in any way to see recent events. Organisation settings - Ability to wind back/restore to a previous date
Ability to restore Xero org to previous date.
Purpose: To make customers able to get the previous data from the previous date if they made mistakes in their Xero org.
73 votesHi everyone, with the recent changes in Xero Product ideas, we will shift this idea to Not in pipeline to set the expectation here.
While a direct option to restore or unwind an organisation to a previous date in time isn't in our plans, as previously mentioned to confirm - Xero performs daily backups of customer data to protect against data corruption and hosting service failures. However, these backups are not available for users to restore their organisation to a previous state.
To reiterate from my last response, most actions in Xero are reversible (for example Remove & Redo on bank transactions) and our help article on Xero Central explains some of these options that can help with needs expressed in this conversation.
The History & Notes report can be highly useful to review actions recently made so you can 'undo' these.

New Invoicing - Files - 'View' and 'Delete' UI
There is a significant design flaw in the new Files UI:
1. The delete button will remove an attachment on a single click, rather than prompting a confirmation.
2. The 'View' file button is directly next to the delete button increasing the chance of accidentally clicking delete instead. Given the point above there's no way of recovering the attachment as clicking it will instantly remove that file.In the old invoicing you could simply click the file name to view rather than clicking a 'View' button. Support French e-invoicing legislation
Purpose : Starting september 2026 or 2027 dependng on the size of business, all the invoices for French companies should respect the new legislation for e-invoicing.
Is Xero planning to be accredited by French admin as a registered software ? (https://www.impots.gouv.fr/liste-des-plateformes-de-dematerialisation-partenaires-pdp-immatriculees-sous-reserve)

UK Payroll - Change payroll journal date
The Payroll Journal dates are currently fixed to be the Pay Date, which is incorrect for any business that has hourly paid employees which must pay after end of month, when all hours are calculated.
Every month all of our P&L figures are wrong because of this. Nobody wants to have to waste time doing loads of manual journals every month, which have the potential for mistakes, when Xero has created a system which is supposed to automate this process.

New invoicing | Allow pasting tracking categories
Sometimes I need to add the same tracking category to multiple lines of the invoice. CLASSIC invoice allowed me to simply paste the category in the box and that's it. NEW invoicing now requires me to CLICK after pasting which doubles the amount of time I'd need comparing to CLASSIC. Please bring that possibility back - OR, EVEN BETTER, maybe let us drag the options to apply them to cells below (like it's done in Excel).

Reporting - Aged Receivables Reports - run as at one date, and view the amount still outstanding at another date
Within the debtors and creditors reports (either detailed or summary) the ability to show balances as of todays date when working on client's system up to 9 months later, would be handy to see which debtors and creditors are still outstanding.
I.e. client has £100k debtors as at their year end 31/3/22, but when we run report on say 31/7/22, how many of that £100k is still outstanding? To have a toggle to the balance at the report date (31/3/22) or the current date would help,35 votesHi everyone, thanks for showing your interest here. - Setting the date of the report to the date you want to include payments up to
- Click Filter
- Set an Invoice Date filter as 'any' - 'invoices raised up to date'
If this is something you'll commonly run you may want to save the report as custom so you can easily open the report anytime. You'll just want to remember to adjust the filter for the Invoice Date. 🙂

New invoicing - Separate edit and copy options
The relocation of ‘edit’ on the drop down feature of options within invoicing.
Reason being, it is far too close to ‘copy’ and on a couple of occasions whilst invoicing I have selected ’edit’ rather than ‘copy’ which has caused some cash flow issues and time explaining to clients where the issue has arisen.
By simply separating them on the drop down would eliminate the accidental selection. Once selecting ‘edit’ or ‘copy’ the only difference is once changes invoice number and the other doesn’t.

Xero UI - Unify date selectors
At a quick count there at least three different date selectors used in Xero. This makes it clunky for users and some date selectors are functionally outdated. Examples, the date selector used in Invoices (best) vs the one used in Reports (worst) vs the one used in Leave.
Use the same date selector(s) across the entire product. One that allows for:
- Keyboard entry of date(s), multiple formats eg 23/08/23 as well as 23 Aug 2023 (Invoices does this)
- Shortcuts like 'This financial year' etc - where applicable

Reporting - Option to remove the Date from the Footer of all reports
The print date that now appears at the bottom of reports is useful for some reports and circumstances, and I understand this date is now turned off for Published Reports.
However we do not 'publish' our financial statements - we send our financial statements to clients in a practical and informative pack instead. This is a more efficient, professional and streamlined approach for us.

New Invoicing - Move the "add last items" option
Move the "add last items" in the invoicing screen. Half the time the Billable items button comes up first in its place, but then moves to a lower point on the screen. The problem is if you click on it before it moves to the lower point on screen or just as it does, you end up with the last invoiced items on the invoice that you don't want.

Invoicing | Payments - Using tab and enter
Most people using accounting software are keyboard proficient. Having to use a mouse to see and click on drop down lists is inefficient. This is particularly bad when applying payments to the new invoicing system. I can see you've updated this so that you can tab across when you're creating a new invoice - please extend this functionality to the payment field. (All we really want is for you to #BringBackClassicInvoicing)

New Invoicing - History to include if invoice is resent
When an amendment is made and the invoice resent it needs to record who it has been sent to

Invoice history will now show the primary recipient email whenever an invoice is sent. This includes the initial and any subsequent send of an invoice.
We appreciate this has been a pain point for everyone that's joined in the idea here and hope this visibility improves your experience in invoicing.
We'd like to confirm how this works;
- This record is only applicable from here on in, there are no updates to any historical entries for sending.
- History will show the email of the initial recipient entered in the 'To' field any emails that you include as a CC or BCC option will not be shown.

25 votesHi team, while not a 'default' option for this within Xero, you could achieve this using a Custom DOCX branding theme, with an advanced invoice template.
With the template open in Microsoft Word, you can add the ContactPhysicalAddress merge field where you want their Delivery Address to appear.
You can add your logo and make any other changes you'd like, before saving the file and uploading it back into your branding theme in Xero.
You'll then want to select this custom branding theme for your invoices.
