For a company that takes Direct Debits from customers and the receipt appears as one line on the bank statement it would be useful to be able to bulk match the receipt to multiple customers rather than having to manually select every invoice the receipt relates to. You could do this by being able to import invoice payments in the same way you can import invoices into Xero.

  3. We often get cheques or direct deposits from companies that are covering 5-10 different invoices. CSV functionality would be overkill for what I need.

    Right now I have to go into each invoice and mark them all separately as paid, and put a note that cites the total deposit amount so that we can keep track of the bank transactions.

    On the customer's invoice page, I would like to be able to click a checkbox button for the invoices that are included on the cheque, and mark them as paid under one transaction.

    Hi team, it sounds like batch deposits would meet your needs here. From the Awaiting payments list view you could select up to 50 invoices to batch together as one payment. When the cheque or deposit appears in your account you could then just select the one transaction to reconcile.

    While you can only batch 50 invoices at a time, you may like to add your vote and support on this idea, Peter. It's not something we have in planned development atm but if there's any change we'll update you all there.

  4. Ability to upload invoice lines into sales invoices (like journal upload) When you have to produce large multi line sales invoices the ability to upload from an excel file would be a huge timesaver instead of having to enter each line individually.

    Hi team, as noted earlier - You can import invoices with a CSV file. If you'd like to add multiple lines for the same invoice you just need to use the same invoice number for each row of the file. See our help and tips on the formatting of the file. 😊

  5. If you enter a duplicate supplier invoice via an email link into Xero bills, then Xero should advise/warn you that there is already an invoice in the system with the same reference/ amount. There should be the same warning that is given when a duplicate invoice is loaded into Xero bills manually.

    Hi team, pleased to share that duplicate detection has now been released and available to you all. Xero will compare the Contact, reference and amounts of bills and credit notes in your org to help identify possible duplicates. You can then go to the Review page to take action on any Unpaid bills (Draft or Awaiting Payment).

    While Paid bills will also be picked up, if you need to take any action or view bills you'll just want to return to the bills list to access these.

  6. Today, I received an email from Xero, enthusing about the upcoming feature called JAX "Just Ask Xero". Apparently, this is a generative AI assistant.

    Once it goes live, I will want to know how to turn it off. I will never use it - if I need help creating an invoice, there's a help file for that, and checking an AI's work takes as long or longer than just doing it myself in the first place - and see no reason to waste processing resources on something I will never use.     Hi everyone, thanks again for your feedback. We’re continuing to make changes to JAX, including how it’s controlled in your organisation.

    While you can’t remove the JAX icon from your organisation (as JAX is in beta), you can change your users’ permissions to access JAX or opt out. To opt out, open JAX, click on ‘Settings’ then scroll down and select ‘Opt out’.

    With the revamp of Xero Product ideas in July, we will no longer accept ideas for the removal of a new feature in Xero. We have provided your feedback to our Product team and will assign this idea to ‘Feedback’.

  7. The 'new' format has made it exceptionally tedious to accept payments and send receipts. PLEASE streamline it

    • Put the send receipt link back on the payment confirmation page
    • Allow easy tab/character type to select things
    • Open PDFs in browser with the print feature triggered like every other commerce website does. LESS CLICKS!

    Old Style.

    1) Approve the Invoice
    2) Click into payment section. Tab to select account (assuming current balance and date), tab to Reference to enter Check #, and click Add Payment
    3) Click 'Send Receipt' link to send an email invoice to customer (with additional upsell messaging)

    HI team, appreciate your feedback here however there are a few ideas in the one. There was a recent change that we've made for the first point here where you'll find confirmation and option to send receipt is now shown once you've added a payment to an invoice. 

    In relation to printing an invoice - from feedback we received the team have updated this flow so now a PDF of the invoice will be directly downloaded when you click Print, rather than having to go to a separate browser tab. If you'd like this to be a direct action to print from the invoice itself you can follow and join this idea.

    In relation to keyboard entry and tabbing through invoice fields, you can use Tab to move to the next field over and Enter will open the field so you can enter data. We have a larger idea

  9. I am not liking downloading an invoice in suppliers invoices/drafts to view the invoice to coorect the draft to then approve. It's more steps, more time and adds another copy of the invoice in download form to my laptop storage. It feels like step backwards. Can we please go back to having a preivew in the drafts screen as that is where the preview was used most.

    Hi Lexi, you can preview a Draft bill as well as view a side by side preview of attached files to the Draft bill from the quick view option on the Bills list.

    If you click the eye icon to the left of the Bill in the list view this will open the Bill so you can view it's contents. From here you can click the 'Files' button to View any attached documents.

  10. HMRC's guidance on invoices in currencies other than GBP, found at https://www.gov.uk/guidance/foreign-currency-transactions-vat-and-tour-operators lists specific requirements that need to be met when creating an invoice in a currency other than GBP, namely:
    1. "the total net value of goods and services at each VAT rate" needs to be shown in GBP (as well as in the foreign currency)"
    2. "the amount of VAT, if any, at each rate" needs to be shown in GBP (as well as in the foreign currency)"
    3. the currency conversion for VAT purposes needs to be calculated in one of the following two ways:

    Hi all, apologies we've not responded here before now. Checking in with our team on this our current invoice templates do accommodate what's needed here.

    With the standard invoice template you can select to 'Show currency conversion as' 'Net amounts with tax totals', which display a currency conversion table with the net amounts and tax grouped by tax rates or tax components. A base currency equivalent is also included. You can see more information on displaying currency conversion on Xero Central.

    We also provide a highly customisable DOCX invoice template that can be used to provide more detail if you choose.

  11. As Xero started to update existing modules, the "new" modules, took on this idiotic philosophy/logic that users should need to click Enter before clicking Tab.

    Previously, I could type an account name (or part of one), use up/down arrows to highlight the account in the list, then click Tab to confirm the selection and move to the next field.

    This is (fortunately) still the case in the Create transaction screen.

    This functionality was removed from New Invoicing.. but fortunately, it was eventually returned.

    This functionality has been removed from Adjustments > Bank Fee function.

    Aah perfect sound like new invoicing is the solution for you here then, Kevin. As mentioned from a draft invoice as soon as you add a contact Xero will begin autosaving any data you enter.

  13. Add another option on the SAVE button for Supplier Invoice entry (and Sales I guess but we don't use XERO for our Sales) to enable a previously entered invoice to be copied from and then SAVED as a RECURRING INVOICE. There have been many times I would love to have had this option.

  14. Can the bill or invoice number be added to the description shown when Xero automatically adds it to the short term cash flow. See picture for item added manually where we add the bill number and then item added by Xero where none is shown. This will really help where we have multiple items for the same customer/supplier for the same amount.

  15. Ability to have the tax amount show on each line item and not just in the total below or even better so that sales tax automatically shows within the line item amount as per on screen, but when Printed to PDF it shows no Tax amounts per line.

    Hi team, returning to the idea. To confirm, with standard branding you can simply choose whether the amounts shown on your invoices to customers are tax inclusive or tax exclusive.

    In terms of default tax the Tax Amount column that can be shown on the invoice within Xero - it's possible to use an advanced branding theme and customise the DocX template to add the TaxOnLineAmount merge field to make this visible to your customer. If you'd prefer to not show Tax Rate or Tax name you can also use the advanced branding template to customise and remove these fields.

  16. To show the customer's VAT/GST/Sales Tax number on the preview version of the customer's invoice, instead of having to download the PDF to check if it is there (after loading it via Xero Contact).

    Hi Kyle, the product team have been working on improving this area and have released a new invoice preview for the PDF. This will display any details you have included in the selected invoice template, so should display the customer's VAT/GST/Sales Tax number if you've included that. We hope this helps!

  17. JAX currently does not pull the customers due date from the customers file. Because that feature isn't live yet, JAX doesn't help our organization to be able to use JAX to create invoices. I wanted to bring it to your attention in the hopes your product team is working on it. You may already be working on it, I just didn't see it listed anywhere.

    Our customers have different invoice due dates depending on how their account is setup. Because of this, we would have to look up each due date for the customer and manually change it. It would…

    Hi Brandy! Did you know it's already possible to do this in Xero via JAX?

    To get JAX to automatically use your contacts’ default due dates, simply prompt it once to apply the default dates set in each contact’s profile.

    From then on, JAX will create draft invoices that use those contacts’ specific due dates.

    Hi Paul, if you're not using all your invoice reminders atm, you could set up a separate Invoice Reminder for Invoices overdue versus those due by - You can use up to 5 Invoice reminders.

    When you set up an invoice reminder you'll be able to set the email template that is used to send that reminder and it will only be used when that reminder is triggered.

  19. It would be fantastic to have the ability to add a web link or QR code to a Googe review page or other external link (website, facebook etc).
    When an invoice or receipt of payment is sent it would be great to follow this up asking for client to give feedback on service provided or to have them follow along on social media etc.

    Hi everyone, we've released a new experience when sending with new invoicing in Xero. You'll find with the side-by-side view along with being able to cc and Bcc others in the email you have the ability to also insert emojis into the email. 🎉

    The preview on the right will show you how these ill appear when sent to the customer. 😁
