Xero Mail - Send as @company-name.com not message-service@post.xero.com
Ability to make an email sent from Xero appear as @company-name.com instead of message-service@post.xero.com, when users send an email to their client/customer.
Purpose: To provide more validity when sending communications from Xero out to clients/customers and avoid items ending up in Spam/Junk mail.
Hi everyone, we understand how frustrating it is when important emails like invoices are filtered or blocked, and how this affects customer trust and timeliness of engagement with your transactional communications. Thank you for continuing to share examples and highlighting the impact this has on your business.
We’ve made meaningful progress towards enabling email sending from your own domain. While progress is taking longer than we’d like, we can confirm that substantial backend work is underway. This work spans multiple interdependent teams across Xero, and there are still important steps we need to work through before we can release the capability to customers reliably.
As we continue to develop this capability, there are a few questions that would help our product teams ensure we’re solving the majority of our users’ needs in this space, with a reliable and secure solution.
We’d really appreciate your input on the following questions, either on the idea here, or by reacting to our update and sharing your internal feedback;
- Within your Xero account would you want multiple Users to be able to manage custom email domain settings, or just Administrators?
- Does your domain have more than one mailbox associated with it?
- Would you want to use the same domain across more than one Xero organisation?
Thanks in advance for your inputs to these questions, which will help validate user requirements for this feature.
We’ll provide another update here as soon as there is more progressive news to share.

COME ON XERO, YOU WASTED ALL THAT TIME AND EFFORT ON THE STUPID COLOUR SPLASHES ON THE LOGIN PAGE, HOW ABOUT FIXING SOMETHING YOUR CUSTOMERS ACTUALLY NEED? I AM REGRETTING MOVING ANYONE TO XERO AND WONT BE DOING ANY OTHER MIGRATIONS UNTIL BASIC FUNCTIONS ARE ADDED.

Yet another effing critical feature that Kelly Munroe is gatekeeping from us, how bloody useless that customers block the bad reputation post.xero.com domains and prevent my clients from sending emails directly and that we must rely on third party systems that add layers of complexity that arent needed. Another thing that many other (cheaper) provides offer FOC.

Usual fobbing off from Xero while they do useless window dressing updates like the log in screen which no one asked for!

I think I'll be looking at finding other accounting software too, this is ridiculous. It is not a very advanced or difficult feature to implement, so it feels like they just don't care all that much.

I have a meeting with Sage later today. Apparently they are migrating Xero customers in droves mainly due to this support case and issue. They even used it in their live demo to me haha! Xero still do nothing its madness.

Seems apparent to me that Xero has no real interest in implementing this feature--a feature, I might add, that is table stakes for any accounting platform in 2026. Given that this feature idea was originally proposed a stunning 13 years ago, I think I'll take this as a sign to close my Xero account and return to my previous accounting platform. But hey, Xero's product people have discovered a shortcut to losing customers, so good job on that front.

Hi Kelly,
It's 6 months since you posted. Please can you give us an update on this.
This is imperative for us because of the trust/perception of our customers receiving a finance based email not from us.
Also, your own security noticeboard says that phishing campaigns have impersonated Xero invoice emails, including emails appearing to come from messaging-service@post.xero.com. In July 2026 Xero specifically warned customers about fake invoice emails using that address and says attackers have misused Xero branding and invoice-style messages!
So really hope you should be treating this as a priority!
I look forward to hearing from you.
Kind regards,
Adam

I would like to add my need for there to be a way to ensure that the invoices do not end up in spam. This is an increasing issue for us and I would also like to be able to add the SMTP details for my company so that the emails can be routed through our servers and be okayed by DKIM DMARC and SPF rules.
Or actually as Austin Smith has written, this would be a very good verison of how to do things and tbh it is something that a lot of other companies are able to offer.

The number of invoices landing in my clients' spam folders is close to 50%. Following up is only possible manually and outside of Xero. The fact that we have to do that makes us look unprofessional (especially as we offer email deliverability audits as one of our services - go figure).
Therefore, the ability to use our own SMTP server for sending Xero invoices is becoming business critical. We would appreciate an update on the above response from March 2026.

@Austin Smith - excellent summary of the problem, the solution, and why this specific issue and the underlying attitude is important enough to make Xero customers become less sticky.

Yes! This would be a total game changer. Spending so much time chasing multiple invoices customers have never seen for a monthly service-based business. In this time of automation, so tedious and time-consuming, while unpaid AR balance grows.

Far out, I'm new to this accounting software and all I hear is automation this and AI that which I'm sure is all wonderful but at the end of the day I can't send a quote from my business email address with a decent sized logo on it.
I can't help but feel I've wasted a ton of time, effort and money switching to this platform...
Particularly when I see the absolute basic issues like this have been open for 13 flipping years.
Your half baked AI can't even tell me how to make a complaint. Jeepers.
Even this text box is tiny and won't show me my whole post, well lesson learned I'll have to start looking for something else

This is just another critical function request lost in the quagmire that is the Product Idea forum - so many ideas and requests in a format that is hard to use for both users (to see if an idea is already listed, vote on something, make sense of due to varied wording), let alone Xero to actually stay on top of, the lists are getting longer. not shorter. If an idea like this (and so many others) hasn't gained enough traction after 13 years - what hope do we have for meaningful improvements!
