  1. It would be great if we could code annual leave to another account code other than salary and wages. Currently we manually journal these costs to another account in the ledger to separate them. This helps with reporting wages like for like.

    Thanks for sharing this idea on coding leave to an expense account other than the employee's ordinary earnings rate. It’s been a little while since this idea was raised, we can see it's been steadily gaining support.

  2. Could Xero start looking at a drop down box on the allowance to have one as Not Reportable (alongside the other catagories eg. Meals, Tools, Car), and to have it out for STP reporting? or another checkbox down the bottom along with the withholding tax, super, and W1 questions?
    Instead of going through the long winding process of creating an ordinary earning, remove as deduction and do a reimbursement as per https://central.xero.com/s/article/Process-special-pay-items-like-living-away-from-home-allowance

  3. An option to automatically do a reversal of pay run that has been filed with STP as currently there is no option to allow this. I had a pay run today and the client had not let me know that there was a change to their pay run until after it had been lodged with the ATO. I subsequently went to the portal and found that both pay runs had been processed as was out to the actual amount in Xero.

  4. Ability to specify a set approver for a specific employee for when they submit leave requests.

    Employees who are nominated as a leave approver should only be able to approve leave for the specific employees who have them nominated as their approver.

    Alternatively, employees who have the "Authorised to Approve Leave" checkbox ticked should only be able to approve leave by employees in the same Employee Group.

    Only payroll admins should be able to approve leave for all employees.

    Thanks for the great discussion and all the votes on this idea. We know that without the ability to set specific leave approvers, it can be harder to keep governance clear, avoid self-approval and ensure requests go to the right person.

    While we’re not planning to develop dedicated approval workflows in the near term, we want to share a tip that many have found useful. You can help streamline the process by guiding employees to select their direct manager from the approver list. While all payroll admins and leave approvers are listed, this step helps make sure requests reach the right person and keeps oversight clear.

    Your feedback here is incredibly valuable for future planning and we’ll continue to keep an eye on this idea’s traction. We’ll keep it open for voting and will share any updates if plans change down the track.

  5. Xero Me App Leave Requests to show the total hours being requested by the employee. When Part Time Employees post leave requests there is no way for xero to know that they are only taking part time hours or days

  6. When using the Leave Paid out on Termination feature in xero, the paid out leave is recorded in the Holiday Leave Accrual category. This means we are unable to run a report showing the value of unused entitlements paid out on Termination. This is important information for Workcover Reconciliations etc. Please set up a report for Unused Leave Paid out on Termination.

    Hi everyone, thanks for your feedback on this idea. We appreciate you sharing how important STP reporting is.

    The existing solution is to view the STP finalisation screen, as this information is included in the employee's STP summary.

    Something to note is that leave paid out on termination has several reporting types depending on the termination reason and leave type (i.e. Type U, Lump Sum A, etc).

    If you use the STP finalisation reports, you may like to view this in conjunction with the ATO’s guide: STP Phase 2 Reporting - Quick reference guide.

    Creating a new report for unused leave paid out on termination isn’t currently on our product team’s road map, so we've updated this idea to Not in Pipeline. The idea remains open for votes though so we can continue to monitor interest.

  7. Be able to produce a payroll report for leave balances with a running balance. I want to be able to see all leave accrued, leave taken and the running balance in one report.

    Hi everyone, thanks for your suggestions regarding consolidating the information provided in the current leave reports and the suggestion to include a running leave balance.

    We appreciate that the current leave reports in Xero require exporting out of Xero and manual work to track running balances. We hear that this can add time to your workflows.

    After reviewing this idea, we're updating this idea to Not in Pipeline. Whilst we can see the value to you for this particular report configuration, this isn’t an idea that’s on our product teams foreseeable roadmap.

    We know this isn't the outcome you hoped for, and we value your input as it helps us understand what matters to the community. The idea remains open for votes so we can continue gauging interest. We’re constantly reviewing the level of support for your ideas, so will keep you updated if the status changes in the future.

  8. It would be good to see the number of notes in the Notes Tab (perhaps in brackets, for example: 'Notes (2)'), so you can see at a glance, if there are any notes for the Employee and if yes, how many.

  9. I have a client that needs to apply the Apprenticeship levy and this is not available on Xero Payroll as this is normally a function for large companies and not small companies that Xero are focusing on. This is a small company, but do form part of a large UK group therefore are sucked into reporting this to HMRC. Can this function be integrated into Xero payroll to be switched on when needed?   11. Inside Xero Me, when you set your Timesheet type to "Start and end times" you can add notes for working days.

    It would be great if we could add notes when we have our Timesheet type set to "Total hours worked".

    As an employee, not being able to add a note & select an earning type is inconvenient and can cause confusion which leads to slower timesheet approvals

  12. Why can't Xero make editing a timesheet easier by automatically showing bank holidays and any days off that have been entered as holiday?

    If the timesheet showed bank holidays or days where time-off has been allocated in a different colour or with an asterisk by the date then checking timesheets against time-cards would be much more straight forward.

  13. When a client fails to pay Superannuation Guarantee levy on time the employer should lodge a Super Guarantee charge form. Is it possible to develop a form where the affected employees can be printed & exported to excel to enable a simple "cut & paste"? If the ATO have started an investigation this can save many hours of work especially if the period covered is several years.

    We’ve shared this idea with our Product Team who see value in developing this.

    While this is not currently on our roadmap, we'll keep you posted if anything progresses.

    Hi everyone, thanks for supporting and sharing how enabling employees to update their own bank details in Xero Me would be beneficial to you.

    We’ve recently released updates to Xero Me so that employees can view and update certain personal details directly from their app. This is part of our ongoing work to give employees more control over their information and reduce manual work for payroll admins.

    However, the ability for employees to update their own payment details in Xero Me is not something we’re currently planning. When it comes to bank account and payment details, there are additional considerations we need to take into account. In many regions, employment legislation as well as fraud-prevention obligations mean we must be especially careful about how payment details are collected, changed and who can authorise those changes.

Add a box to payroll for an employee's preferred name, for those who don't use their legal name as their everyday contact, it doesn't need to link to ATO, so no major coding, just be there for reference when contacting the employee. I have several clients with staff that use their middle name or a different version of their first name, that they prefer when being addressed, and it being there in payroll would simplify things.

    Hey everyone! It's been really insightful reading through your comments on adding a preferred name field to employees. We see how this feature could help with creating a more inclusive environment, while also helping prevent simple administrative mix-ups.

    There isn’t a dedicated way to manage this in Xero right now, but your feedback has highlighted the opportunity for one. For this reason, we have updated the idea's status to Accepted, confirming our product team agrees this is a feature we’ll put on our radar to consider developing in the future.

  16. Please can we have the option in Regular earnings to have pay items that can be setup with day units and not hours so taht it shows on payslip as number of days x rate.

  17. Have the ability to enter employer pension contributions in the opening balances when adding a new client to Xero. At present the resulting payslip is incorrect as the YTD employer pension figure only shows the current month and not YTD.

  18. We are wanting to create a report for timesheet information for hours worked submitted by employees, that have been reviewed by their managers, i.e. rejected and unapproved overtime worked. The timesheet report only lists the paid hours. We would like to know the hours submitted by employees on their timesheets, versus the hours that were eventually approved and paid for. Are we able to create a custom report for this, to work out unapproved (as revised by the approver) overtime hours per employee, for a specific time period.   19. When operating tracking income and expenses in two areas, payroll allows for the primary tracking category when setting up the employee and the time sheet allows the secondary tracking option to be selected.

    Currently the timesheet option only allows for the 'hours worked' to be allocated to the secondary tracking option. Any allowance can only be added at the pay run which means it cannot be added to the secondary tracking category.

    Can we have the ability to add allowances as an option in the timesheet?

    Hi everyone, I wanted to share another update regarding timesheet flexibility.

    Our product team is currently working on a feature that will allow employees to add other unit-based earnings types directly to their timesheets via Xero Me. This means your team will soon be able to record allowances and other non-ordinary earnings pay items alongside their regular hours.

    We know this has been a highly requested feature to help reduce manual adjustments for admins. We are currently in the development phase and will provide a further update here once we’re closer to a release date.

  20. Currently Xero does not assign annual leave and public holiday to a project/job as timesheet doesn't have this function.
    Superannuation generates from payroll (pay run) , however, there is no place to allocate superannuation to different projects/jobs as well.
